Project Manager - Digital Products

Confidential employer

Employment type: Full-time, permanent Location: Fully remote (any location) Working hours: 9:00am – 6:00pm Sydney time (AEST/AEDT), Mon–Fri Team size: 8+ developers plus QA across three products About us We are a healthcare organisation. Alongside our clinical and operational business, we build and run our own software β€” the platforms our practices, partners and customers use every day, spanning both B2B and B2C use cases. Our development, QA and product teams work remotely across multiple time zones, anchored to Sydney business hours. We are a small, hands-on technology group. Decisions get made quickly, the approval chain is short, and the person managing a project is genuinely the person who owns it. About the role We are looking for an experienced Project Manager to take end-to-end ownership of three of our customer- facing digital products. This is a multi-project role, and that is the whole point of it. The three products have different users, different release rhythms and different stakeholders, and you will be moving between all of them in any given week. If you like the certainty of one long-running project, this is not the role. If you are energised by holding several threads at once and keeping every one of them moving, read on. The products Product 1 β€” Booking Widget An embeddable online appointment booking component that lets our business locations take bookings directly from their own websites. High visibility, high traffic, and unforgiving of regressions. Product 2 β€” Content Hub A digital hub for content and imaging assets, serving both internal teams and external partners. Product 3 β€” Product Catalogue The central catalogue of products that feeds our customer-facing systems and partner integrations. Data quality and integration reliability are the core challenges here. What you will do Own end-to-end delivery for all three products β€” scope, plan, schedule, dependencies, risk, budget and release. Run the day-to-day delivery cadence in Jira: backlog grooming, sprint planning, stand-ups, velocity and burndown reporting, and honest status reporting to stakeholders. Keep Confluence current and authoritative β€” requirements, functional specs, architecture decisions, runbooks and release notes. Coordinate a delivery team of 8+ developers alongside QA, working with tech leads on sequencing, capacity and cross-product dependencies. Own the QA/QC gate. Agree the test plan, coordinate UAT, triage and prioritise defects, and make the go/no-go call on every release. Plan releases against AWS-hosted environments (EC2, RDS) with the engineering team β€” environment readiness, release windows, data migrations and rollback plans. Manage stakeholders across operations, marketing and external partners; translate their needs into a backlog the developers can actually work from. Actively manage the trade-offs between the three products when they compete for the same people, and make the resourcing call rather than escalating it by default. Surface risks and blockers early, in writing, with a proposed path forward. Continuously improve how we deliver β€” process, tooling, documentation and handover quality. What you must bring 5+ years' experience as a Project Manager or Delivery Manager on commercial software products (not internal IT projects alone). Proven track record managing large delivery efforts with development teams of 8 or more engineers, plus dedicated QA. Expert-level Jira β€” epics and stories, boards, sprints, workflows, JQL, dashboards and delivery reporting. You should be comfortable configuring, not just using. Expert-level Confluence β€” you treat it as the single source of truth and you keep it that way: specs, decision logs, runbooks, release notes, meeting outcomes. Working knowledge of AWS, specifically EC2 and RDS. You do not need to be an engineer, but you must be able to plan releases, environments, migrations, backups and rollbacks with engineers and understand what you are agreeing to. Hands-on oversight of QA/QC β€” test planning, UAT coordination, defect triage and prioritisation, and release sign-off. Comfortable running Agile (Scrum or Kanban) with the pragmatism to bend it when the work calls for it. Genuinely adaptable and fast-moving. You will switch between products inside the same week and be expected to pick each one back up without losing the thread. Excellent written English and a written-first communication habit β€” this is non-negotiable in a distributed team. Self-managing and highly organised, with the confidence to escalate risks early rather than hope they resolve themselves. Available 9:00am–6:00pm Sydney time, Monday to Friday. Desirable Experience with booking or scheduling systems, e-commerce, or product catalogue / PIM platforms. Health or medical industry experience. Familiarity with PHP/Laravel back-ends and modern JavaScript front-ends β€” enough to follow a technical conversation. Bitbucket or Git branching, pull request and release workflows. Awareness of CI/CD and deployment tooling (Laravel Forge or similar). Experience managing third-party integrations and external vendors. PMP, PRINCE2 or Certified Scrum Master certification. Remote work and hours This role is fully remote β€” you can be based anywhere β€” but you must be online and available during Sydney business hours, 9:00am to 6:00pm (AEST/AEDT), Monday to Friday. Sydney observes daylight saving, so the UTC offset shifts between +10 and +11 through the year. Please only apply if that overlap works for you long term. What we offer Fully remote work, with the autonomy that comes with it. Real ownership of named products, not a slice of someone else's roadmap. Direct access to decision makers β€” short approval chains, fast answers. A small, capable team where your delivery process choices actually stick. How to apply Send your CV and a short cover note to [insert application email or Seek/LinkedIn apply link]. In your note, please tell us: the largest development team you have personally run, how you kept its QA cycle honest, and the last time you had to pick up an unfamiliar project at short notice. We are an equal opportunity employer. We welcome applications from candidates of all backgrounds.

LOGISTICS COORDINATOR ROLE

SPARTAN FILL SOLUTIONS Logistics Coordinator Remote β€” Philippines Β· Independent Contractor Β· Daily Rate + Bonus THE OFFER Pay: $25 AUD per day worked, plus a performance bonus. Bonus: $50 for every $1,000 of revenue you generate in a week. Uncapped. Example: A $3,000 week = $125 base + $150 bonus = $275 for the week. Paid: Weekly, every Monday, via Remitly. Pay increases: Your rate goes up as you gain experience and hit targets consistently. Hours: 8:00am – 5:00pm Brisbane, Australia time (AEST), Monday to Friday. Early 6:00am start only on days trucks are running early β€” you'll be told the day before. Breaks: Yours to manage β€” take a lunch break and short breaks as you need them. Reporting: Short daily report to the business owner at the end of each shift. Agreement: You will sign an independent contractor agreement and an NDA covering all customer, site, pricing and business information. This is a long-term role for the right person. As the business grows, so does the responsibility and the earning. ABOUT THE COMPANY Spartan Fill Solutions provides clean fill delivery and tip site coordination across South East Queensland, Australia. We connect customers who need fill delivered with contractors and businesses that need approved locations to dispose of clean material. We coordinate customer enquiries, material information, tip sites, truck movements, payments and load tracking. THE ROLE You will communicate with Australian customers, contractors, truck operators, landowners and tip site contacts. You will take allocated enquiries from first contact through to payment, delivery coordination and job completion. A DAY IN THE ROLE Contacting new and existing customers by phone, WhatsApp, SMS and email . Confirming customer names, phone numbers, addresses and job requirements. Collecting photos, videos, declarations and required forms. Confirming material type, quantity, truck type, access conditions and delivery timeframe. Following up with customers until they proceed, decline, or need future contact. Advertising tip site opportunities through approved channels, including Facebook groups and industry apps. Finding your own customers through your own advertising β€” this counts toward your bonus. Matching clean fill jobs with available receiving sites. Confirming receiving sites can accept the material and quantity. Coordinating customers, contractors, truck operators and site contacts. Tracking truck movements and load counts. Recording calls, messages, payments, quantities and job updates accurately in company systems. Sending a daily report to the business owner. Escalating unclear, unsafe or non-compliant material immediately. Completing clear handovers for active and unfinished jobs. TARGETS YOU'LL BE WORKING TO We'll be upfront about what good looks like. These are the numbers the role is measured on: THE MAIN ONE β€” conversion rate You are measured on how much of what we hand you actually converts. If we supply $5,000 of enquiries in a week, we expect you to convert most of it. Paid tip site jobs β€” convert 90%. These are quick: search our site list, match it, confirm it. Paid import jobs β€” convert 70%. Harder, because you are advertising and chasing fill to come available. These percentages are confirmed after your first month, once we have measured together what is realistic in this market. They will not be set against you before then. TURNAROUND Paid tip site, under 500m3 β€” confirmed within 1 hour. Paid tip site, 500m3 and over β€” escalate to the business owner, timeframe agreed at the start. Paid import β€” fill sourced, confirmed and delivered within 3 days. Paid import β€” customer updated by day 2 if it is not sorted yet. Nobody is left wondering. REVENUE Building toward $3,000 AUD per week, where enough suitable customers are supplied. This is context, not a stick. If we do not supply you enough leads in a week, that is on us, not you β€” which is why conversion rate is the number that actually matters. EVERY DAY Daily report sent to the business owner at the end of each shift. Log the reason on any job that does not convert β€” no site in range, fill did not come, or customer pulled out. Customer records, payments and load counts kept accurate. New leads followed up promptly and consistently. WhatsApp messages answered quickly during agreed availability. You will not be expected to hit full targets in your first two weeks. Week one is learning the systems. We build from there. ABOUT YOU Previous experience in customer service, sales, logistics, admin or dispatch. Strong spoken and written English. Confident speaking with Australian customers by phone. Comfortable making outbound and cold calls. Organised, with good attention to detail. Able to manage several customers and jobs at once. Stays calm when customers are confused or frustrated. Confident with Excel and Google Sheets, Google Maps, Google Drive, email , WhatsApp and CRM systems. Follows scripts, checklists and procedures. Asks questions rather than guessing. Has worked to deadlines and weekly targets before. Works independently while keeping management updated. WHAT YOU NEED TO HAVE A reliable computer or laptop. A working smartphone you can install apps on (ReadyFill, WhatsApp and others we use). A Facebook account you're happy to post from in clean fill groups. Strong, reliable internet β€” plus backup internet or mobile data. A backup plan for power or internet interruptions. A quiet, professional place to make customer calls. A suitable headset and microphone. Availability matching Brisbane, Australia hours (AEST) β€” 8:00am to 5:00pm, with occasional 6:00am starts. Willingness to sign an independent contractor agreement and NDA. PAY IN DETAIL Base: $25 AUD per day worked, Monday to Friday. Bonus: $50 for every $1,000 of revenue generated in a week. No cap β€” the more you do, the more you earn. Self-sourced work: Customers you bring in yourself, or free customers you convert to paid, count toward your bonus the same as supplied jobs. Pay increases: Your daily rate increases as you gain experience and consistently hit targets. Reviewed openly, not left vague β€” good work gets paid better. Payment method: Remitly, weekly, every Monday for the previous week. What that looks like in practice: $2,000 week β€” $125 base + $100 bonus = $225 $3,000 week β€” $125 base + $150 bonus = $275 $4,000 week β€” $125 base + $200 bonus = $325 $5,000 week β€” $125 base + $250 bonus = $375 Every job is logged as either a supplied lead or self-sourced, so there is never any question about which applies. The bonus is payable only after: The customer has paid the company and the payment has been retained. Required customer records have been completed. The correct sales, logistics and compliance processes have been followed. No refund, chargeback or unresolved dispute applies. No work days. Work volume depends on customer demand and weather. Wet weather can stop or slow jobs. If there is no work on a given day, you will be told by 4:00pm the previous day and that day is not paid. This is normal in this industry β€” some weeks are full, some are quieter. The company aims to supply a good volume of enquiries and job opportunities. However, the number of leads, sales, hours and commission may vary. The clean fill industry is affected by rain and site conditions, so available work can fluctuate. CONFIDENTIALITY + NDA You will sign a Non-Disclosure Agreement before starting. All customer details, leads, tip site locations, prices, databases, training materials and business information belong to the company and must remain confidential β€” during the role and after it ends. Contractors must not: Privately contact or service company customers. Redirect company customers outside the business. Collect customer payments personally. Share confidential site locations or customer information. Use company leads, systems or relationships for personal benefit. Release tip site details before the required approval and payment steps are completed. TRAINING + SUPPORT Full onboarding and direct mentoring from the business owner. Training videos, scripts, templates and checklists. Demonstrations of the customer and logistics processes. Close support during the first one to two weeks. Ongoing guidance for unusual or difficult situations. Leads and existing customer opportunities supplied. Access to company systems and resources. You must complete the required training and demonstrate competency before independently managing sensitive customer, pricing or tip site information. YOUR APPLICATION β€” PLEASE ANSWER THESE What experience do you have in customer service, sales, admin or logistics? Have you worked with Australian, UK or US customers? Are you confident making outbound and cold calls? Have you worked to weekly targets or KPIs before? Tell us about it. What days and hours are you available? Accounts Payable Specialist - Remote

Confidential employer

Company Overview The Compliance Services Organization didn't exist. We built it. MP1 Solutions pioneered the Compliance Services Organization (CSO) β€” a new category of operating partner built to replace the fragmented vendor model that has defined compliance programs for decades. Built on the foundation of MedPro Disposal, the nation's largest privately-held medical waste company serving 35,000+ providers across 48 states over the past 15 years, MP1 Solutions extends that operational infrastructure, vendor network, and customer trust into a category we're actively building β€” and leading. We're doing it with a technology-forward approach, actively developing the AI infrastructure that will make this model smarter, faster, and more scalable as we grow. What we do: We operate as the single compliance partner for non-acute healthcare facilities β€” consolidating every obligation into one coordinated program, assigning one dedicated account manager as the point of accountability, and actively managing the underlying vendor ecosystem through continuous evaluation, negotiation, and optimization on the practice's behalf. Why it matters: Regulated facilities across the country are managing compliance the same fragmented way they always have. We're changing that β€” and we're looking for people who want to help build what comes next. Our technology: We're actively building the AI infrastructure that sits behind this model β€” automating compliance tracking, surfacing risks before they become problems, and creating a system that gets smarter with every client we add. If you want to build at the intersection of compliance and technology, you're in the right place. Our impact: Our clients never have to worry about something falling through the cracks β€” obligations are coordinated, tracked, and documented in one place. We audit costs, eliminate overcharges, and deliver proof of compliance that always keeps practices inspection ready. Position Overview: The Accounts Payable Specialist is the operational backbone of MedPro Disposal and MP1 Solutions' vendor payment process β€” the person who makes sure every bill is entered right, every check run goes out on time, and every vendor and client interaction reflects the accuracy and dependability our finance operation is built on. This is an individual-contributor role for someone who's detail-obsessed and doesn't just process what's in front of them β€” you notice when something's off, and you bring it up. You'll work closely with our Accounting Program Manager to spot and fix process gaps, and report to our Accounting Team Lead. Key Responsibilities: Accounts Payable & Vendor Payments Enter vendor bills accurately and in a timely manner Process weekly check runs Provide vendor remittances as needed Ensure all payable records are properly coded and matched before payment Client & Vendor Support Manually upload client invoices to third-party portals Support finance-related tasks for clients and vendors, including direct client- and vendor-facing communication Respond to vendor and client inquiries with accuracy and professionalism Process Improvement Partner with the Accounting Program Manager to identify and implement accounts payable process improvements Flag recurring errors or inefficiencies before they become bigger problems Qualifications Required: 3-5 years of experience in accounts payable and/or finance operations Accounts payable AND customer service experience β€” this role is regularly client- and vendor-facing Hands-on Salesforce experience Strong verbal and written English communication skills Nice-to-Have: Experience with process improvement initiatives in an AP or finance operations setting Familiarity with AI-enabled finance/AP tools Compensation & Benefits: Starting Rate: $5.00–$6.00/hour. 90-Day Review: Upon successful completion of the first 90 days, compensation may be reviewed for a performance-based rate increase based on results, reliability, ownership, and overall contribution to the team. Permanent work-from-home 40 hours per week, aligned with U.S. business hours (CST β€” overlap with our Naperville, IL accounting team) Fixed weekends off (Saturday & Sunday) Work Anniversary Bonus No work with pay on US Holidays Paid Leaves after 6 months of employment Basic Technical Requirements: Your own laptop/desktop PC with the following minimum specs: i5 5th gen and above/AMD equivalent; 8GB RAM; Mozilla or Chrome installed; Windows 10 upwards A consistent and stable internet connection of at least 20Mbps With back-up computer, internet connection and power supply Noise-canceling headset/headphones A quiet and dedicated workspace at home Application Process: Your most updated resume Submit to all of these email s: ---------- ---------- Equal Employment Opportunity Statement MedPro Disposal and MP1 Solutions are equal opportunity employers. Marketing Lead - Strategy, Meta & Google Ads, and Direct Our Creative Team (US health + LongevityBrand)

Confidential employer

MUST BE AVAILABLE TO WORK US EASTERN TIMEZONE US-based Telehealth brand. Weight loss, Longevity, beauty, and aesthetic products We are LegitScript certified and approved to advertise on Meta and Google. Experienced healthcare marketers will understand this importance. Founder-led, small, fast. You report directly to the founder. THE ROLE You will be the marketing lead. What we say, who we say it to, where it runs, and what the website needs to do to convert the traffic is led by this role. You report directly to the founder and CEO with a strategy . You pitch, he signs off, you execute with the resources available (graphic designer, Web developer + Ad spend account). You will have access to two roles providing resources to you: 1. Graphic designer: Creates graphics and edits video for your campaign 2. Web Specialist: Builds and deploys pages you think will maximize conversion Your Responsibilities: Market research and strategy 1. Research our market: competitors, how they position and advertise, where the gaps are, what our audience actually responds to. 2. Build a marketing strategy from that research and pitch it to the CEO for sign-off - channels, budget split, positioning, targets, timeline, and the reasoning behind each. 3. Once signed off, you own executing it 4. Revisit and re-pitch quarterly, or sooner when the data says the strategy is wrong. Telling us the plan isn't working is part of the job, not a failure. 5.Maintain the angle bank: a running list of campaign concepts to test, ranked by expected impact Campaign concepts and directing the creative team 1.Develop the concept: audience, message, hook, format 2. Write a one-page creative brief for each: reference examples, format specs, claim boundaries 3.Write all ad copy, headlines and hooks 4. You are accountable for the quality of what our Creative Producer ships. Everything they produce must be high quality, on brand, and aligned to the signed-off strategy - if it isn't, that's yours to fix. 4. You have the authority to reject work, request revisions and set deadlines for the creative team. 5. Hold the brand guidelines. If work drifts off-brand, you catch it before it ships, not after. Media buying - Meta and Google 1. Build, launch and manage campaigns on both platforms 2. Audience research, targeting, exclusions, lookalikes 3. Full-funnel structure: prospecting, retargeting, retention 4. Own daily and monthly spend against agreed targets Conversion direction 1. Specify what our landing pages and key site pages need to do to convert: what a visitor sees first, what order sections run in, what to cut, where the CTA sits and why 2. Brief the Web Specialist, who builds it 3. Where you two disagree: you own the conversion intent, they own the implementation and can override on technical grounds like page speed or breakage. Escalate to the founder if it can't be resolved β€” but that should be rare. Creator and UGC partnerships 1. Build a vetted list of micro-creators (roughly 1,000-5,000 followers) in health, fitness, longevity, wellness and beauty 2. Outreach using approved templates, manage replies, coordinate gifting and shipping 3. Secure paid usage and whitelisting rights up front, not just gifting terms. A creator who agreed to one organic post has not agreed to let us run their face as an ad. 4. Run the best creator content as partnership ads and Spark Ads from the creator's own handle 5. Raw footage goes to the Creative Producer, who cuts it into ad assets for you 6. Score the creator channel on CAC the same way you score paid Testing and reporting 1. Structured testing: one variable, a stated hypothesis, a success metric 2.One weekly written report to the CEO: spend, CAC, ROAS, CTR, conversion rate, what changed, what's next 3. A monthly review against the signed-off strategy: what's on track, what isn't, what you're changing 4. Honest reporting. We would much rather hear "this isn't working and here's why" than watch a number get spun. Compliance 1. Keep every campaign inside healthcare advertising policy and our written claim guidelines 2. Ensure every creator partnership is properly disclosed under FTC rules. We are liable for what our creators say, so enforcing this is your job. 3. Protect the ad account. It is a hard-won asset. What you are NOT responsible for Designing graphics or editing video - the Creative Producer Writing or deploying code - the Web Specialist Blog posts, newsletters, product page copy - the founder Medical or product claims - the founder sets those boundaries; you are responsible for staying within them. Requirements 3+ years running paid acquisition for e-commerce or DTC brands, with real budget Hands-on Meta Ads Manager and Google Ads. Tell us the largest monthly budget you have personally controlled. Experience advertising in healthcare, telehealth, supplements, skincare. Proven creative strategy: you have d ---------- what ads should say, not just uploaded them You have researched a market and built a strategy off it, then presented it to a decision-maker and defended it Experience directing designers - briefing them, holding a quality bar, and giving useful feedback when work misses A real point of view on landing page structure and conversion optimization Strong ad copywriting in US English Comfortable with GA4, attribution, Conversions API Nice to have Prior work with a LegitScript-certified advertiser Whitelisted or Spark Ads campaigns with micro-creators Telehealth, GLP-1, hormone or longevity vertical Klaviyo or email marketing Important - please read Healthcare advertising is not normal advertising. Certification lets us run ads; it does not make approvals automatic or creative latitude wide. Campaigns get disapproved, copy gets rejected, costs run higher than in unregulated categories. Pay Base: $1,200/month, paid twice monthly via Wise Performance bonus: paid monthly on new customers acquired at or below our target CAC, above a minimum spend threshold. Realistic total comp at target is $1,600-$1,800/month, with no cap if you significantly outperform. We will agree the exact targets with you in writing in your first two weeks, before the bonus period starts. 30-day paid trial, then permanent We have structured it this way deliberately. If you are confident in your ability to move numbers, you will earn more here than a flat salary elsewhere. Business Development Representative

Applications that do not have the following requirements will not be accepted: speed test short video introduction (camera on) resume Cold Calling Appointment Setter We own and operate websites that generate exclusive inbound customer leads for local contractors (concrete, roofing, masonry, and similar home-service businesses) across the U.S. Your job: when a lead comes in for a business we don't have a contractor lined up for yet, you find a local contractor willing to take that lead for free, communicate with them regularly while sending more leads for free then you book a closing call with our sales representative, who signs them as a paying client. You do not close deals. You get the contractor to agree to receive a few free leads, send them a few leads to prove the value, and set the appointment. That's it. But getting a cold contractor who's never heard of us to say yes takes real cold-calling and sales skill β€” this is not a passive, script-reading role. What You'll Do Answer inbound calls for leads that don't yet have an assigned contractor Capture the lead details accurately Find and contact a local contractor who services that area/trade Pitch them on taking this lead for free, no strings attached Send them a few free leads to build trust and prove the leads are real Check in with them regularly to see how the leads are going β€” are they answering, are they interested, is it working out Let us know if a contractor isn't answering or doesn't seem interested, so we can stop sending them leads and find a different contractor instead Once they're warmed up, book a closing call on our founder's calendar Log every step in Airtable Communicate with the team through Slack Make and receive calls through Quo (we provide access) Daily Goal: Sign up at least 1 new contractor per day (get them to agree to receive free leads). This is the core metric this role is measured on. Who We're Looking For Strong and confident on the phone β€” not timid or shy. You need to sound assertive and sure of yourself from the first sentence of a cold call. Genuinely comfortable cold-calling strangers, every single day Can handle a "no" or pushback without losing energy or confidence Good at building quick trust and rapport with someone who's never heard of us Organized β€” can track multiple leads and contractors at once without dropping the ball Reliable and self-directed β€” this role runs on daily output, not just hours logged Clear, professional English, spoken and written Required Experience: One or more of the following β€” cold calling is the most important: Cold calling (required or strongly preferred) B2B sales or business development Appointment setting Lead generation Customer service involving high phone volume Experience speaking with U.S.-based customers/business owners is strongly preferred. Tools You'll Use Quo (calling) Airtable (tracking every lead and contractor) Slack (team communication) Compensation $4.00 USD/hour base Full-time (40 hours/week) $50 bonus for every contractor that becomes a paying client Paid bi-weekly via PayPal 10 days PTO annually Paid U.S. and Philippine holidays Schedule Monday–Friday, 9:00 AM–5:00 PM EST (U.S. time) Training We provide: Detailed SOPs Scripts for pitching contractors Training videos Ongoing coaching

Executive Assistant

Confidential employer

About Us A Squared Investments is a U.S. real estate investment company. We buy houses, land, and mobile homes directly from sellers across South Carolina and California. We renovate and resell some of them, sell others to cash buyers, and hold a portfolio of rentals. We also operate a second business in medical equipment sales serving physician practices in the same region. We are a small, fast-moving team. Everyone here owns outcomes, not just tasks. The Role This is an Executive Assistant position supporting the owners of the business β€” both professionally and personally. You will work directly with the CEO and his wife, who is also his business partner. You will know what is on their plate before they tell you, and you will clear as much of it as possible. Two things matter more than anything else in this role: you are a self-starter, and you think independently. We are not looking for someone who waits for a task list. We are looking for someone who sees what needs doing and does it, who brings us solutions instead of questions, and who can be handed something unfamiliar and figure it out. If you need to be told the next step every time, this will be frustrating for both of us. This is not a cold calling job. We already have a team handling seller conversations. What You Will Do Business Support Property Research Look up property records, ownership, zoning, tax information, and recorded documents through county and public websites Research flood zones, land use questions, and utility availability Gather and organize comparable sales data, and flag anything that looks inaccurate before it reaches us Verify that property files and photos are complete and correctly organized Prepare clean, concise research summaries so we can make decisions quickly Transaction Coordination Maintain a checklist for every property under contract Track inspection periods, due diligence windows, and closing dates, and give us early warning before anything is at risk Follow up with title companies, attorneys, lenders, contractors, and insurance agents until we have what we need Review closing documents against what we expected and flag any discrepancy, no matter how small Collect, name, and file signed documents where they belong Marketing & Buyer Support Build and maintain buyer and prospect lists using our research tools Prepare and send email campaigns, then report on results Keep buyer preferences and criteria recorded in our CRM after every conversation Assemble property marketing materials from information we provide Property Management Field calls from tenants, determine the issues and find the appropriate resource to resolve the situation whether it be a maintenance repair or an administrative task. Process tenant applications and screening, post and respond to openings on vacant units. handle evictions etc. CRM & Reporting Keep our CRM clean and current β€” no duplicates, no missing information, no stale records Deliver a weekly summary of key numbers across the business Flag leads and deals that have gone quiet so our team can act Monitor the CEO's mailbox to flag anything that needs his immediate attention. Medical Sales Support Build targeted contact lists for physician outreach Load and schedule email campaigns, monitor responses, and route interested contacts to our sales lead Follow up on paperwork and orders with our supplier Executive Support Calendar and schedule management across business and personal commitments Inbox triage β€” sorting what matters, drafting replies, and surfacing what needs a decision Travel planning and booking, including itineraries and confirmations Preparing documents, agreements, spreadsheets, and reports Expense tracking, receipt organization, and light bookkeeping support Research on vendors, services, tools, contractors, or anything else we are evaluating Coordinating with team members, vendors, and partners on our behalf Meeting preparation, notes, and follow-up on action items Personal Support This role includes personal and household assistance for the owners and their family. It is a real part of the job, not an occasional favor. Expect things like: Managing family calendars, appointments, and reminders Scheduling and coordinating with home vendors, service providers, and contractors Online ordering, returns, and tracking purchases Researching and booking personal travel, reservations, and events Organizing personal documents, records, and subscriptions Handling accounts, renewals, insurance, and utilities for personal properties Research on personal decisions, purchases, and services we are considering Whatever else comes up that we do not have time to handle ourselves Some weeks the business work will dominate. Other weeks the personal side will. You need to be comfortable moving between the two without treating either as less important. Discretion is essential β€” you will see personal and financial information, and we need to trust you completely with it. How We Will Measure You You will be evaluated on results, not hours logged: No missed deadlines. No inspection period, due diligence date, or closing date is ever missed because it was not tracked. Closing files complete well before closing day. Not the morning of. Buyer criteria recorded promptly after every conversation, every time. Research turned around within one business day. Weekly reporting delivered on schedule without being asked. CRM accuracy that holds up to spot checks. Requests acknowledged same day and either completed or given a clear timeline. Problems brought to us with a recommendation attached, not just a description of the problem. Who We Are Looking For Required Fluent written English β€” you will be email ing U.S. title companies, attorneys, and vendors, and your writing needs to be professional enough that they cannot tell you are not in our office Strong spoken English for calls with our team and outside parties At least two years of remote work experience supporting a U.S. company, ideally as an assistant to an owner or executive Comfortable with spreadsheets, web-based software, and learning new tools quickly Reliable high-speed internet with a backup option, a working computer, and a quiet place to work Able to work U.S. Eastern business hours β€” our vendors and title companies are only reachable during their business day, and we cannot compromise on this Complete discretion with confidential business and personal information Preferred Prior experience in U.S. real estate β€” transaction coordination, title, escrow, property management, or investor support Experience with real estate CRMs, property data tools, or email marketing platforms Comfort reading U.S. purchase contracts and closing documents The kind of person who does well here You start things. You notice what needs doing and handle it before anyone asks. You think for yourself. Given an unfamiliar problem, you research it, form a view, and come to us with a recommendation rather than an open question. You use judgment. You know which decisions are yours to make and which ones need us, and you rarely get that line wrong. You are bothered by an inconsistency until you resolve it You tell us when you made a mistake, immediately, before we find it You take a process you were taught and improve it, then write down the improvement You can shift from detailed research to a last-minute personal request without losing the thread on either You are steady and consistent rather than dramatic and heroic This job is not for you if you need constant supervision, you want a fixed and predictable task list, you would feel that personal and household tasks are beneath you, you dislike detailed work, or you are looking for something to fill gaps between other clients. Compensation & Growth Starting pay: $1,200 – $2,000 USD per month, full-time, depending on experience Performance review at 90 days with a pay increase for meeting expectations Paid U.S. holidays and paid time off after 90 days 13th month pay where customary Annual raises based on performance Paid monthly via Wise We are building a long-term team. The person in this role will help shape how we hire and train everyone who comes after them, and there is a clear path into a senior operations position as we grow. Hiring Process Application β€” see instructions below Written screening questions sent by email Video interview with our founder Reference checks with previous supervisors Offer We move quickly. Expect about two weeks start to finish. How to Apply Send your application with the subject line "Executive Assistant β€” [Your Name]" and include: Your resume A short paragraph, no more than five sentences, describing something you took on for a previous employer that nobody asked you to do Your available working hours in U.S. Eastern Time Applications missing any of these three items will not be reviewed. We are testing whether you follow detailed instructions, because that is most of this job.
