ABOUT THE COMPANY

Zeal Senior Living operates senior living communities and care coordination services in Southern California.

We are hiring a dependable bilingual coordinator to answer and route calls, track messages, and take ownership of Medi-Cal renewal follow-up for our residents.

This is not a passive receptionist position. The right person follows through until each call, message, or eligibility matter is resolved.

CORE RESPONSIBILITIES

  • Answer incoming calls professionally in English and Spanish.
  • Identify the caller, reason for the call, urgency, and correct team member.
  • Resolve routine questions or route the call appropriately.
  • Record complete messages and follow up until the responsible person responds.
  • Monitor voi cemail , text messages, email , and assigned communication channels.
  • Maintain Zeal’s master Medi-Cal eligibility and renewal tracker.
  • Track renewal dates, notices, missing documents, deadlines, submissions, case numbers, and approval status.
  • Contact county Medi-Cal offices, health plans, residents, families, authorized representatives, and outside service providers.
  • Collect required documents and coordinate signatures.
  • Prepare and organize renewal or application materials for review and submission.
  • Confirm that documents were received and continue following up until eligibility is verified as active.
  • Escalate expired coverage, approaching deadlines, missing documents, and unresponsive parties.
  • Provide a concise weekly report showing completed cases, open cases, deadlines, and obstacles.
  • Assist with related scheduling, data entry, and administrative coordination as needed.

SUCCESS IN THIS ROLE MEANS

  • Calls and messages do not get lost.
  • Staff members are reminded until callbacks are completed.
  • Every resident has a documented Medi-Cal status and renewal date.
  • Renewals begin early and are tracked through final approval.
  • Problems are escalated before coverage expires.
  • Management receives accurate information without having to chase you.

REQUIRED QUALIFICATIONS

  • Professional spoken and written English and Spanish.
  • Clear, confident, and courteous telephone communication in both languages.
  • At least two years of experience in customer service, call-center work, healthcare administration, insurance, benefits coordination, or case coordination.
  • Strong organization, documentation, and spreadsheet skills.
  • Persistent follow-up and a strong sense of ownership.
  • Ability to manage multiple deadlines without losing track of details.
  • Comfortable making repeated follow-up calls when necessary.
  • High discretion when handling personal, financial, and healthcare information.
  • Comfortable using Microsoft 365, Outlook, Teams, Excel, cloud-based trackers, and internet phone systems.
  • Quiet and private workspace, professional headset, dependable computer, stable internet, and backup internet or power.
  • No other employment or commitments during scheduled working hours.

PREFERRED, BUT NOT REQUIRED

  • Experience with U.S. healthcare, Medicaid, Medi-Cal, insurance eligibility, medical offices, senior care, or benefits administration.
  • Experience communicating with government agencies, health plans, patients, residents, or families.
  • Experience maintaining case-management or renewal trackers.

Prior California Medi-Cal experience is helpful but not required. We will train the right person on our workflow. Strong bilingual communication, accuracy, persistence, and follow-through are more important.
