Practice Operations Coordinator (Virtual, Full-Time) β US Dermatology Practice Full-time | Long-term, dedicated role | Pacific Time hours | $12-15/hour based on experience We are an established, independent dermatology and skin cancer surgery practice in Southern California. Our physician-owner runs a tight, well-documented operation β written SOPs for every workflow, shared tracking logs, and a small team of long-term virtual staff β and we are hiring a senior-level coordinator to become the operational backbone of that system. This is not a task-list VA position. We are looking for someone with real US healthcare insurance experience who can monitor, audit, and follow through without being reminded β a person who notices what's slipping before the doctor does. What you'll own Daily operations report. Each morning, you'll review our tracking systems (authorization queues, pathology follow-up, compliance calendar) and send the physician a short daily report: what's on track, what's aging, who owns what. This report is the heartbeat of the role. Compliance calendar. You'll own our deadline calendar (trainings, renewals, audits, regulatory items) β not just watching the reminders, but converting each one into an assigned, tracked task and following it to completion. Refund adjudication. You'll review credit balances at the ledger level β charges, contractual adjustments, insurance and patient payments β and determine whether each credit is a true overpayment, a posting error, or a payer takeback in waiting. You'll prepare documented refund requests (correct payee, amount, and evidence) for physician approval. (You will not disburse funds β approval and payment stay with the practice.) Medication prior authorizations. You'll own our low-volume medication PA queue end to end: submission, follow-up, and tracking to approval or appeal, with status visible in your daily report. Insurance quality audit. You'll spot-check the team's insurance verifications, authorizations, and referrals against our written protocols and payer rules, and flag anything done wrong or not done at all. Backup coverage. You'll cross-train on our pathology results and authorization workflows so critical queues never depend on a single person. What we require 3+ years supporting US medical practices in a role involving insurance: verification, prior authorizations, referrals, eligibility, denials, or billing. You should be comfortable explaining the difference between an HMO, a PPO, and a Medicare Advantage plan β and what each means for getting a surgery authorized. Payment-posting literacy. You can read an EOB/ERA and a patient ledger β charges, contractual adjustments, payments β and explain why an account shows a credit balance. If you have worked payment posting, credit balance resolution, or refunds for a US practice, say so specifically. Self-directed follow-through. Most of this work is silent. No patient will complain if you skip it β which is exactly why it matters. We need someone who treats an unwatched queue the same as a watched one. Excellent written English. Your daily report goes directly to the physician. Reliable infrastructure: backup power source and backup internet connection are required, and you'll be asked to describe your setup. Availability during US Pacific business hours (at minimum, a substantial overlap including mornings). Dermatology experience is a plus, not a requirement. Experience with ModMed/EMA, prior authorization portals, or medical fax platforms is a plus. What we offer A stable, long-term seat with a physician-owner who invests in systems and in people. Our virtual tea ---------- mbers are treated as core staff, not contractors passing through. Clearly documented workflows β you will never be guessing what "done right" looks like. A defined growth path: as you demonstrate judgment, your decision-making authority expands on a written schedule, and this role is positioned to grow into revenue-cycle work if the practice brings billing in-house. Paid trial week so both sides can evaluate the fit with real work. How to apply Send the following. Applications missing any item will not be reviewed. Your resume, with US healthcare clients/employers and dates. A short answer (5β10 sentences) to this scenario: A patient calls to book a surgical consultation and provides an insurance plan you've never seen before. Walk us through, step by step, everything you would do to assess this plan before the visit β and tell us what you would report back to the practice when you finished. A short answer (3β6 sentences) to this scenario: A patient's account shows a $180 credit balance. List what you would check, in order, before d ---------- whether it should be refunded β and how you would know whether the refund belongs to the patient or the insurance company. One paragraph describing a time you caught a problem your employer didn't know existed. Your internet and power backup setup. Use the subject line: Coordinator β [your first name] β Sentinel We respond to every complete application within one week.

I run an SEO consultancy in the UK that works with professional-services businesses, mostly law firms and solicitors. I'm looking for someone reliable and genuinely good with words and design to take social media off my plate completely β planning it, creating it, and keeping it consistent. You'll be managing several client accounts at once, so being organised matters as much as being creative. This is a long-term role for the right person, not a one-off gig. If you do good work, we grow together and so will your hours. If you do apply, send me examples of your work please

Ecommerce Growth Operator | Beauty, Health, Wellness and Fitness Brand | Private Label Product Research to Scaled Ads --- We are building a private label beauty, health, wellness, and fitness ecommerce brand, starting with one hero product and scaling into a full brand portfolio over time. We need someone who can own the entire process from product research to a live, selling store under our own brand name. Not someone who waits for direction. Someone who has done this before and can do it again, faster and better. This is not a task based VA role. This is an operator role. You will start from zero, find the winning product yourself, source a supplier who can private label it under our brand, build the store yourself, launch the ads yourself, and scale what works. --- Why private label matters here We are not building a one time dropship test. We are building brand equity we can own, protect margin on, and scale into a real portfolio. That only works if the product carries our name, our packaging, and our identity from day one, not a generic version anyone else can sell too. --- What success looks like A validated hero product with a live, fully built Shopify store within the first few days of starting. First sales within the first two weeks. From there, a clear kill or scale decision backed by real data, and ---------- ntum toward testing the next product in the portfolio. --- What you will actually be doing You will research products in the beauty, health, wellness, and fitness space using more than one method, not just one tool. You are validating real demand through revenue data, active ad counts, ad run duration, and competition levels before a single product moves forward. Once you find a winning concept you will find and vet a supplier who can manufacture or package it under our brand, negotiate minimum order quantities, and build a relationship you can depend on long term. You will build a dedicated Shopify store around that product fast. Premium theme, conversion focused landing page, bundle pricing, and trust elements that make a stranger feel safe buying from a brand they have never heard of. Before anything goes live you set up tracking properly. Facebook Business Manager, pixel installation, event verification, and a secondary attribution tool to cross check your data. Then you launch. You test with a small structured budget, monitor daily performance signals, and make kill or scale decisions based on the numbers. Once a product wins you manage it ongoing while starting research on the next one. --- Tools you need to have real experience with For product research: Kalodata, PiPiAds, Facebook Ads Library, and organic TikTok scrolling to catch what is trending before it shows up in the data tools. We want someone who cross references multiple sources, not someone relying on one tool alone. For store building: Shopify and premium conversion focused themes such as Shrine or Elixir, or a close equivalent. For tracking and ads: Facebook Business Manager including pixel setup and event verification, plus a secondary independent attribution tool such as WeTrack or similar. For conversion and retention: bundle pricing apps such as Kaching Bundle, and subscription apps such as Loop Subscription, or close equivalents. For creative: Canva and AI image tools such as Midjourney or Adobe Firefly. For daily workflow: AI assistants such as ChatGPT or Claude. If you have used a direct equivalent to any tool listed, tell us specifically which one and how it compares. Start your application with the word "HERO" so we know you read this in full. Right after that, in your first line, tell us how many products you typically need to test to find one validated winner, based on your own experience. --- Trial period and working hours This role starts with a 30 day paid trial. The purpose is simple, we want to see real execution and reliability before committing long term, not just a good interview. During the trial your working hours need to be 7 PM to 1 AM CDT so we can collaborate and communicate in real time. Communication will be in Slack throughout. If the PAID trial goes well, we move into a long term role, full time or part time depending on what you are looking for, with a base rate plus performance upside tied to the sales you generate. --- You are the right person if You have personally researched and validated a product before spending money on it, using more than one method. You have found and vetted a supplier for private label manufacturing, not just dropshipping. You have built a Shopify store from scratch fast, without needing a template handed to you. You have launched and managed Meta ad campaigns and can walk us through what happened. You can commit to the 7 PM to 1 AM CDT schedule for the full trial period. You move fast and do not need constant supervision once you understand the standards. --- You are not the right fit if You have never done product research on your own. You have never built a Shopify store independently. You have no private label sourcing experience, only basic dropshipping. You have never managed a live ad account with real budget. You cannot commit to the trial hours. You need heavy hand holding to get started. --- How to apply Do not just tell us you can do this. Show us. Submit a short plan for how you would approach your first product test with us, from research through to launch, including which tools you would use at each step and your estimated timeline to get a store live and ads running. Walk us through a product you personally researched and validated before, including what data convinced you it was worth testing. Tell us about a private label supplier relationship you built and how you managed it. Walk us through a Shopify store you built from scratch, including the theme you used. Tell us which attribution tool you use alongside Facebook Ads Manager and why. Share a Meta ad campaign you ran, the budget, and what happened. Applications that copy and paste generic experience will not be considered. Applications that show a real plan and real process will get a fast response.
