We specialize in full-cycle residential mortgage processing, helping manage loans from initial submission through Clear to Close and funding. Our team is built around four priorities:

We work primarily in the U.S. wholesale mortgage channel with lenders such as UWM, NewRez/Shellpoint, PennyMac, A&D Mortgage, Rocket Pro TPO, Freedom Mortgage, Plaza Home Mortgage, LoanStream, and other wholesale and correspondent lenders.
As our loan volume continues to grow, we are expanding our remote operations team in the Philippines.
We are looking for an experienced U.S. Mortgage Vendor & Third-Party Services Coordinator who can take ownership of the outside services required to move mortgage files toward closing.
Position Details
Job Title: U.S. Mortgage Vendor & Third-Party Services Coordinator
Location: 100% Remote / Work From Home — Philippines
Employment Type: Full-Time
Schedule: U.S. business hours with EST/CST/PST overlap required
Reports To: Director of Operations
Start Date: Immediate opening
The Purpose of This Role
Mortgage processors spend a significant amount of time ordering documents, contacting vendors, following up on outstanding items, and checking whether services have been completed.
Your job is to take ownership of that process.
You will support our Mortgage Processors by managing the ordering, tracking, follow-up, and documentation of third-party mortgage services.
You will work directly with:

Appraisal management companies
Insurance agents
Employers
HOAs and condo associations
Verification vendors
Lenders
Other mortgage service providers
The goal is simple:
When a processor needs a third-party item, you get it ordered, track it, follow up, and make sure it gets into the loan file as quickly as possible.
What You'll Do
Appraisal Coordination
Order residential appraisals through lender and AMC portals
Verify appraisal orders contain accurate property and borrower information
Track appraisal payment
Monitor inspection scheduling
Follow up on delayed inspections
Track expected completion dates
Follow up on overdue appraisal reports
Coordinate appraisal revisions when requested
Track reconsideration of value requests when applicable
Upload completed appraisal documentation to the appropriate system
Title & Closing Services
Order title work
Request title commitments
Request Closing Protection Letters (CPL)
Request wiring instructions when appropriate
Order municipal or property-related documents when required
Request mortgage and lien payoffs
Follow up on outstanding title requirements
Coordinate with title companies on missing documentation
Track title clearance issues
Obtain updated title documents when requested
Upload title documents into the LOS and/or lender portal
Maintain accurate title company contact information
Homeowners Insurance
Contact insurance agents for evidence of insurance
Request homeowners insurance declarations
Request mortgagee clause updates
Verify lender information is correctly reflected
Obtain replacement cost information when required
Request updated coverage when underwriting identifies an issue
Follow up with borrowers and agents on outstanding insurance items
Upload completed insurance documents into the loan file
Employment & Income Verifications
Order Verification of Employment (VOE)
Request written VOEs when required
Coordinate verbal VOEs before closing
Use third-party verification platforms when applicable
Contact employers and HR departments
Track outstanding employment verification requests
Escalate employers who are not responding
Upload completed verifications into the loan file
Condo & HOA Documentation
For condominium transactions, you may be responsible for:
Ordering condo questionnaires
Requesting HOA certifications
Obtaining master insurance policies
Requesting HOA budgets
Requesting current dues information
Obtaining documentation regarding special assessments
Following up with HOA management companies
Tracking condo document completion
Uploading completed documents to the appropriate system
Payoffs & Mortgage Verifications
Order mortgage payoffs
Request updated payoff statements when necessary
Track payoff expiration dates
Obtain mortgage verification documentation
Coordinate borrower authorization when required
Follow up with servicers
Upload payoff documentation to the loan file
Flood & Property Services
Order flood certifications
Track flood-zone determinations
Coordinate flood insurance documentation when required
Order property-related verification services
Ensure completed documents are properly uploaded and assigned to the correct loan
Tax & Verification Documents
Depending on the loan program and lender requirements, you may also assist with:
4506-C requests
Tax transcript orders
SSA-89 verification
Social Security verification
Verification of Deposit
Verification of Mortgage
Verification of Rent
Verification of Assets
Business verification
CPA letters
Other third-party mortgage documentation
Vendor Follow-Up Is a Major Part of This Position
Ordering something is only the beginning.
We are looking for someone who is comfortable following up until the item is completed.
You should be comfortable:
Calling vendors
Sending follow-up email s
Checking portals
Contacting borrowers
Contacting insurance agents
Contacting title companies
Contacting employers
Contacting HOA management companies
Escalating delayed requests
Documenting every update
You should never assume that because something was ordered, it will automatically get completed.
You own the request until it is received.
Pipeline & Task Management
You will support multiple processors and a high-volume mortgage pipeline.
Organization is extremely important.
You will be expected to:
Maintain a daily outstanding-vendor report
Know which items are still outstanding on every assigned file
Track expected completion dates
Follow up before deadlines are missed
Prioritize files based on closing dates
Update the LOS with accurate notes
Notify the processor immediately when an issue could delay closing
Confirm completed documents have been received and uploaded correctly
We do not want processors repeatedly asking:
"What's the status of the appraisal?"
"Did we get title?"
"Did the insurance agent respond?"
"Where is the VOE?"
Your responsibility is to know the answer before you're asked.
Required Mortgage Knowledge
This is a mortgage operations position, so previous experience with the U.S. residential mortgage industry is strongly preferred.
