JOB OVERVIEW Location: Remote Contract Type: Independent Contractor Position: Part-Time Hours: 20 hours per week Pay: $250 per month Brand: Financial Education / Personal Finance Time Zone: Availability to overlap with UK working hours ABOUT THE ROLE I’m looking for a hands-on Content Strategist & Social Media Manager to help grow a personal financial education brand. This is not simply a role where you will be given a list of posts to create each week. I need someone who can think strategically, understand an audience, research competitors, analyse content and performance, identify opportunities and take ownership of the process from research → strategy → content creation → scheduling → analytics → optimisation. You should be comfortable working independently, bringing ideas to the table and explaining why you believe certain content will work. THE MAIN GOAL Growth is important, but going viral for the sake of going viral isn’t the goal. The priority is attracting the right audience and turning that attention into genuine interest and qualified leads for the brand’s online masterclass and educational offers. I want someone who understands the difference between vanity metrics and meaningful results. WHAT YOU’LL BE RESPONSIBLE FOR Strategy & Research Research the target audience, including their questions, problems, fears, objections and interests. Research competitors and successful creators in the financial education/personal finance space. Analyse existing content and identify what is working, what isn’t and why. Develop and maintain content pillars, themes and a platform-specific strategy. Identify content gaps, trends and opportunities. Use analytics to continually improve the strategy. Content Creation Develop content ideas, angles and hooks. Write short-form and long-form video scripts, captions, titles and descriptions. Adapt content to the brand’s voice and different platforms. Edit short-form and long-form video. Create social media graphics and YouTube thumbnails. Repurpose existing content into new formats. AI can be used to support your workflow, but the final content must have genuine human judgement, creativity and personality. Planning & Publishing Build and manage the content calendar. Schedule and publish content across relevant platforms. Ensure content, captions, CTAs, links and formatting are correct. Keep the content workflow organised and ahead of schedule. Set up, manage and optimise ManyChat automations and workflows, including connecting relevant content CTAs to automated conversations and lead-generation sequences. Analytics & Growth Monitor views, watch time, retention, engagement, saves, shares, comments and other relevant metrics. Identify patterns and use the data to recommend what to create more of, change or stop. Look beyond follower growth and views to assess whether we’re attracting the right people. Identify high-performing content and develop new angles and repurposing opportunities. Support testing of hooks, titles, thumbnails and CTAs. Community Monitor and respond to comments and basic messages. Identify audience questions and conversations that could become future content. Escalate anything requiring my input. WHAT I’M LOOKING FOR Experience in content strategy and social media management, preferably for a personal brand, creator, coach, educator or similar business. Strong understanding of TikTok, Instagram and YouTube. Strong copywriting and scripting ability. Excellent understanding of audience and competitor research. Ability to analyse content performance and turn data into action. Strong video editing skills. Strong graphic design skills, including creating social media graphics and YouTube thumbnails. Understanding of SEO/keyword research for social media and YouTube. Experience with ManyChat, or the ability to learn and set up automations independently. Able to work independently and take ownership. Strong attention to detail and ability to meet deadlines. AI & ORIGINALITY Please read this carefully before applying AI tools can be used to support your workflow, but the final content must demonstrate your own creativity, judgement and understanding of the audience and brand. I’m looking for someone who can take an idea, develop it, add their own perspective and create content that feels natural, engaging and authentic, rather than generic or formulaic. If you rely heavily on AI to produce your content without adding meaningful human input, this role will not be the right fit for you. APPLICATION & SELECTION PROCESS Please note that shortlisted applicants will be required to complete a practical trial before a hiring decision is made. The trial will give you the opportunity to demonstrate your ability to think strategically, understand an audience, develop content ideas, write scripts and create content. HOW TO APPLY Please answer these 4 questions in your application: 1. Please share social media accounts that you’ve personally worked on or managed and briefly explain your role and what you were responsible for. 2. Please share links to examples of content you have personally created, particularly scripts, hooks, captions, videos or other social media content. 3. Imagine you are taking over the social media for a personal brand you’ve never worked with before. What would you want to understand first before creating or recommending content? 4. What tools do you currently use for content creation, scheduling, analytics, SEO/keyword research, video editing and ManyChat? Please make sure your answers are your own and give us a genuine understanding of your experience and approach.

We run a multi-location dog daycare in NYC. Staff already post tons of phone pics and vids daily. We need someone who turns that into steady Instagram/Tiktok posts. We are paying for human judgment and editing, not AI content farms. You will: Triage raw daycare footage and stills (find the few seconds that work) Edit vertical Reels in CapCut (punchy cuts, text overlays, ambient audio) Build 3–8 photo carousels per week Follow our public caption rules: store names; never dog names or parent names Include facility b-roll when it helps (staff on the floor, clean rooms, cameras) — not only cute faces Work with light supervision; we approve week 1, then loosen You will NOT: run ads, text parents, reply to reviews, invent offers, or post partner content. Hard rules (read carefully): Message us ONLY through OnlineJobs.ph. Do not put WhatsApp, Telegram , Viber, or Signal in your application. Applications that push off-platform chat get ignored. No AI-generated dogs, faces, or stock pretending to be our daycare. No FaceSwap. Captions stay short and human. We may rewrite. Do not paste long ChatGPT essays. We are buying your picks and cuts, not an agency package. Must have: CapCut (or equivalent) samples cut from messy phone footage — local service or pet preferred Fast, clean English captions A few hours overlap with US Eastern mornings Comfortable shipping many solid posts, not one cinematic piece a week To apply (required — missing any = no reply): Put the exact phrase PACK PLAY in your application Links to 2–3 short edits you made from phone clips (not stock, not cinema) In 3–5 sentences: how you pick winners when you have 100 mediocre clips A 60–90 second screen recording of your CapCut timeline while you trim one clip (no voiceover needed) Pay: $4–8/hr or $15–25 per finished Reel / $8–12 per carousel on trial; raise fast if volume and taste are good. We produce AI generated video ads for international brands, mostly telehealth and health. Volume has grown past what I can coordinate alone, and I am hiring a producer to run delivery. This is not a virtual assistant role. You will own whether work ships on time and to standard. What the job actually is I hand you a brief. You take it from there. That means breaking it into tasks, assigning to the right person on the team, chasing whatever assets we are missing, checking the work before it comes back to me, and tracking deadlines across several clients at once. The part that matters most is quality control. When a video comes back, you need to spot that the character changed between scenes, or the product name is mispronounced, or it does not match the brief. If you cannot tell good work from mediocre work, this role will not suit you. Who this is for -You have coordinated creative or production work before, agency side ideally -You are comfortable chasing people and holding a deadline without being unpleasant about it -You notice detail. Small errors bother you -You can look at a piece of video and say specifically what is wrong with it -You communicate clearly and quickly, and you follow up without being reminded -You want a long term role where you own something Who this is not for -You want to be told exactly what to do each day -You avoid difficult conversations -You are looking for a stepping stone into your own agency -You juggle several clients and would treat this as one of many What you get -Direct training from me on our standards and process -Real ownership. You run delivery, not a task list -A business that is growing quickly, with international clients, and a role that grows with it -Salary reviewed on performance, not on time served Full time, 40 hours a week, Philippine business hours. Fully remote. Requirements -Reliable internet and a computer that handles video review -Good written English -Experience coordinating work across a team, in any creative or production context -Willing to sign a confidentiality agreement. Client work is private How to apply Read this properly. Applications that skip a step will not be reviewed. 1. Start your application with the word ANCHOR so I know you read the whole post. 2. Tell me about a time you had to deliver something on a deadline when someone on your team dropped the ball. What did you actually do? 3. Send me a link to a video ad, any video ad, that you think is badly made. Tell me specifically what is wrong with it. Be precise. Not it looks cheap, but what exactly breaks and why. 4. What tools have you used for managing work across a team? Trello, Asana, Notion, ClickUp, spreadsheets, anything. 5. When could you start, and what are your salary expectations? Shortlisted applicants get a short paid test on real work. You are paid for it whether or not I hire you.

BUSINESS SYSTEMS & OPERATIONS COORDINATOR CRM | Automation | Operations Remote | Philippines Full Time | 40 hours per week A$10 per hour Long-term position I’m the founder of an established Australian business operating across a busy hair salon, specialist hair loss clinic, professional hair education business and e-commerce. The business has grown significantly and I’m looking for an exceptional Business Systems & Operations Coordinator to help organise, streamline and improve our backend operations across all areas of the business. THIS IS NOT A TRADITIONAL VA ROLE I am not looking for someone who waits for me to give them a task list every morning. I need someone who can come into the business, understand how things currently work, identify what’s inefficient and help create and implement better systems. I want someone who naturally thinks: “There has to be a better way to do this.” Initially, you’ll work closely with me to understand the business. Over time, I want you to take real ownership of the backend so fewer things rely on the founder remembering, checking or following them up. WHAT YOU’LL BE RESPONSIBLE FOR SYSTEMS, PROCESSES & AUTOMATION You’ll help us: Audit and clean up our current systems and processes Identify gaps, duplication and unnecessary manual work Design and implement better workflows Create and maintain SOPs Build useful trackers and dashboards Improve how information moves between platforms Identify opportunities for automation Build automations where appropriate Research and recommend better technology and solutions Continually look for ways to improve how the business operates I don’t want to hand you a perfectly organised system. Helping us create that system is part of your job. CRM & LEAD MANAGEMENT One of your first major projects will be helping us create a centralised system for leads and enquiries across our salon, hair loss clinic and education business. Leads currently enter through multiple channels and platforms. I want someone who can assess our current setup and help determine: Where all our leads should live Which CRM or system best suits our business How different lead sources should connect How leads should be categorised How we track where each lead is in their journey How follow-ups happen consistently What should be automated What needs human contact How we track conversions and opportunities How we make sure nobody falls through the cracks I am not looking for someone who needs me to choose the CRM for them. I want someone with experience using different CRM systems who can understand our requirements, research the options and recommend what will work best. Experience personally setting up, implementing or restructuring a CRM or lead-management system is highly desirable. CLIENT JOURNEYS You’ll help us map, build and improve our complete client journeys, particularly across our hair salon and specialist hair loss clinic. This means looking at the experience from: Lead → Enquiry → Booking → Forms/Information → Consultation/Service → Follow-Up → Ongoing Client Relationship You’ll help determine: What should happen at every stage What information needs to be collected Where that information should live What communication should happen and when What should be automated What should remain personal How enquiries and quotes are followed up How we improve rebooking and retention What internal tasks need to be triggered How we ensure no client is forgotten Our hair loss clinic in particular works with clients who may be going through an emotional or vulnerable experience. Human touch is extremely important to us. I do not want everything automated simply because it can be. I want technology to remove unnecessary administration while allowing our team to provide an even better and more personal client experience. PROFESSIONAL EDUCATION & STUDENT JOURNEY We also operate a professional hair education business. You’ll help organise and improve the student journey from: Lead → Enquiry → Sale → Payment → Onboarding → Training → Post-Training Support → Ongoing Relationship This may include: Education lead management and follow-up Student onboarding Course access Pre-training communication Forms and information Training reminders Post-training follow-up Student engagement Maintaining organised student records Ongoing email communication and nurture Identifying students who may need support Future education opportunities The goal is to create an exceptional student experience without the founder personally having to remember every next step. ORDER MANAGEMENT You’ll eventually take operational ownership of an important ordering process within our education business. This includes: Receiving and checking orders Ensuring required information has been supplied Following up missing information Maintaining a central order tracker Coordinating with suppliers and agents Monitoring order progress Keeping students/customers updated Payment and order administration Tracking shipping Escalating technical decisions when specialist input is required You’ll also be expected to improve and systemise this process, not simply operate it. EMAIL , EDMs & CUSTOMER COMMUNICATION Excellent written English is essential because you’ll communicate directly with our clients, students and leads. You’ll help with: Managing and organising inboxes Responding to enquiries Following up leads Client and student communication Following up missing information Creating email templates EDM campaigns Email segmentation and nurture Automated email sequences Ensuring important enquiries aren’t missed Knowing when something needs to be escalated Communication should always feel warm, professional and human. E-COMMERCE & EDUCATION PLATFORMS You’ll also help manage and organise the backend of our e-commerce and education platforms. This may include: Products and orders Student/customer access Tags and segmentation Email sequences Updating resources Course organisation Customer workflows Basic reporting Troubleshooting Keeping platforms organised OUR CURRENT SYSTEMS We currently use: Phorest | Trello | Typeform | Kajabi | Shopify | Microsoft/Outlook | Google Sheets | ChatGPT/AI You do not need experience with every platform. I care more about finding someone who understands systems, CRM, automation and operations and can confidently research, learn and recommend what will work best for our business. Experience with CRM platforms, no-code automation, Zapier, Make, n8n, APIs, webhooks or similar technology would be highly regarded. We do not currently have a large automation stack in place. Part of your role will be helping us determine what we actually need rather than adding technology for the sake of it. AI IS WELCOME I am completely happy for you to use AI to work smarter, research solutions, improve workflows and assist with communication. However: AI should support your brain, not replace it. I’m hiring your judgement, initiative and problem-solving ability. Our clients and students should never feel like they’re communicating with a robot. WHO I’M LOOKING FOR You are: Extremely organised and detail-focused Proactive and systems-minded Technically confident A natural problem solver Excellent in written English Comfortable communicating directly with customers Experienced with CRM and lead-management systems Quick to learn new technology Able to work independently Comfortable suggesting a better way of doing something Someone who takes genuine ownership Previous experience within the hair, beauty, salon, clinic or professional education industry would be highly regarded, but is not essential. Experience working within an appointment-based or high-touch client business would also be valuable. More important to me is that you have the systems brain and initiative to understand our business and improve how it operates. Most importantly, I don’t want to manage your brain for you. I want someone who will eventually come to me and say: “I’ve noticed we’re doing this manually every week. I’ve looked into it and I think we can improve it this way.” If you prefer receiving a task list every morning and simply completing exactly what you’ve been given, this probably isn’t the right role. If you love taking messy processes and turning them into organised, scalable systems, I’d love to hear from you. HOURS & PAY 40 hours per week A$10 per hour Remote | Philippines Long-term position HOW TO APPLY Please send: 1. A short introduction Tell me about yourself, your experience and why you think you’re suited to this role. 2. A 2–3 minute Loom video Introduce yourself and tell me about your relevant experience. Please don’t heavily script it. I’d like to get a feel for how you communicate and think. 3. Show me something you’ve improved Tell me about one system, workflow, CRM or automation that you personally created or significantly improved. What was happening before? What did you change? What was the result? 4. Tell me about your CRM experience Have you personally helped select, set up, implement or restructure a CRM or central lead-management system? What did you do and why? 5. Show me your initiative Tell me about a time you noticed an inefficient process without being asked and what you did about it. 6. Tell me your technology experience Which CRM platforms, systems and automation tools are you genuinely confident using? 7. Confirm your availability Please confirm that you’re available for a full-time 40-hour-per-week position. Shortlisted candidates will be invited to complete a short paid trial task before final interviews. IMPORTANT Please begin your application with the words: SYSTEMS FIRST This is simply so I know you’ve taken the time to read the full job description.

We produce AI generated video ads for international brands. Demand has grown past what one person can produce, so we are hiring one person to train as our AI video generation operator. This is not a button pushing role. You will be trained directly by the founder to do the real creative generation work. What the job actually is: You will be given a reference video. Your job is to study it, work out how it was built, write the prompts, generate the clips, and pick the best output from everything you generate. Most of the work is reference based, which means you are not inventing from nothing. You are looking at something that already works and rebuilding it. That is a skill that can be taught, and we will teach it. The most important part of the job is judgment. When you generate clips, you need to know which three are actually good and why the other seventeen failed. That is the skill we care about most and it is the one we will build in you. Who this is for: -You have played with AI video tools and you have an eye for what looks right and what looks fake or off -You are willing to generate twenty versions to get three good ones without getting frustrated -You notice small details. Hands, faces, lighting, motion, timing -You want a stable long term role, not a series of short gigs -You are coachable and you want to get genuinely good at something You do not need years of experience. You do not need a long list of tools on your resume. If you have the eye and the patience, we will train the rest. I run a photography and video production company in Delaware, USA (US Eastern Time). We shoot weddings, portraits, and corporate events across three brands, serving Delaware, the Philadelphia metro area, South Jersey, and Maryland. Our work is at ---------- , and I'd encourage you to look at it before applying. I'm hiring one organized, detail-oriented person to run the operations side of the business so I can focus on performing at the top level for our clients. This is a long-term, full-time role with one client. Not project work, not a side gig. Why this shift: most US-facing roles on this board are overnight. This one is not. You work an afternoon and evening shift, 3:00 PM to 11:00 PM Philippine Time, and we overlap live for two to three hours every day. You'll never be guessing what to do or working alone. What you will own Email and client communication, including responding to new inquiries Managing our CRM (Dubsado): workflows, contracts, invoices, questionnaires, follow-up sequences, and keeping every project in the correct stage Maintaining a daily project status report in ClickUp so we always know where every job stands and what it's waiting on Creating, updating, and managing standard operating procedures Building wedding day timelines and family formal shot lists in Google Docs from client questionnaires Coordinating with our photo and video editors, tracking deadlines and chasing deliverables Vendor and venue outreach after each wedding to build and maintain strong working relationships Business paperwork: contractor onboarding, W-9s, insurance certificates, annual permits Research and prospect list building for our corporate photography brand These roles will adjust over time as we continue to grow and you become a solid foundation in our organization Our systems We utilize automation, and I want someone comfortable inside it, not intimidated by it. Understanding ClickUp automations, Dubsado workflows, and Zapier will put you at the top of this list. ClickUp (internal project management), Dubsado (CRM and client facing workflows), Zapier, Google Workspace, Quo (client calls and texting), Pic-Time (photo gallery delivery), Vidflow (wedding film delivery), Flodesk (email marketing), Showit (website), Canva Required Excellent written English. You will be writing directly to couples and corporate clients. This is the single most important requirement and I will be testing for it. Hands-on experience with a CRM (Dubsado, HoneyBook, Tave, or similar) Experience with a project management tool. ClickUp strongly preferred. Genuine interest in learning the US wedding industry: how couples shop for photographers/videographers, what venues and planners expect, how the booking season works. You don't need to know this yet, but you need to want to. Reliable internet plus a backup connection Available 3:00 PM to 11:00 PM Philippine Time, Monday to Friday, long term Nice to have Zapier or other automation building experience Experience working with a photography, videography, or wedding business Strong Google Docs formatting and document building What I offer Steady full-time work with one client, paid twice monthly via Wise 13th month pay 10 days paid time off per year plus Philippine holidays, accruing from your first day and usable after 90 days A live daily check-in, so you always have direction and a real working relationship Room to grow into more responsibility as the business grows HOW TO APPLY Use this exact subject line: GOLDEN HOUR - Operations Assistant Applications with any other subject line will not be read. Answer these four questions in your application: Which of these have you used, and for how long: Dubsado, ClickUp, Zapier? Name the specific tools and how long you used each. Describe one process or workflow you set up or improved for a previous employer. What was broken, what did you change, and what was the result? How many clients do you currently work for, and what hours do you work for each? Look at ---------- . Imagine a couple email s us saying they're getting married next October and asking about pricing and availability, but they don't say where. Write the reply you would send. Applications missing any of these four answers will not be considered.

I run a photography and video production company in Delaware, USA. We shoot weddings, portraits, and corporate events across three brands, serving Delaware, the Philadelphia metro area, South Jersey, and Maryland. Our work is at ---------- . The photography is strong. The marketing around it has not kept up. I'm hiring one person with a real eye for design to fix that. We are working towards a level up with our branding and appearances. This is not a "post three times a week and report the numbers" role. I want someone who cares how things look, who notices when a layout is slightly off, and who understands that the way a studio presents itself is what lets it charge what it's worth. If that's you, keep reading. How this role grows You start on one brand only, our wedding studio, and go deep. Once that's running well we add our portrait brand, then our corporate brand. Your hours and pay grow with each one. Months 1 to 3: wedding brand only, 4 hours per day Months 4 to 6: add the portrait brand, 5 to 6 hours per day Month 7 onward: all three brands, 6 hours per day I'd rather you own one brand properly than spread thin across three from day one. What you will own Social media, with each brand having its own voice and look, scheduled through Pallyy Weekly blog posts on our Showit site, written for couples searching for a photographer/videographer, not for other vendors at this time Pinterest: boards, pinning, keyword-driven descriptions, Rich Pins Designing marketing collateral in Canva: pricing guides, welcome packets, social templates, print pieces Email marketing in Flodesk Google Business Profile upkeep and posts Pulling and organizing images from delivered galleries for marketing use Submitting our weddings to publications and blogs Occasional website updates in Showit Tracking what's working: traffic, engagement, and inquiry volume by source What success looks like I close the sales. Your job is to make the studio look like the studio couples want, and to increase how many of them find us and reach out. You'll be measured on content shipping consistently, on the visual quality of what goes out, and on inquiry volume against a baseline. Not on bookings. Required A portfolio. Show me actual design work you've done: social graphics, layouts, print pieces, brand collateral. This matters more to me than your resume. I want to see your eye. Bonus points if it is in the portrait/wedding industry. Strong written English. You'll be writing blog posts and captions in our voice. Real Canva skill, beyond dropping images into a template Experience running social media for a brand, not just your own accounts. A strong understanding of trends and what is effective An interest in the wedding and portrait industry and how couples choose a photographer and videographer Reliable internet plus a backup connection Nice to have Showit, WordPress, or other website editing experience Pinterest marketing experience SEO and blog writing for local search Flodesk, Mailchimp, or similar email marketing Adobe Creative Suite Experience with a photography, wedding, or creative business Our tools Canva, Pallyy, Flodesk, Showit, Pinterest, ClickUp, Pic-Time, Google Workspace What I offer Steady long-term work with one client, paid twice monthly via Wise 13th month pay Paid time off accruing from your first day, usable after 90 days Clear growth in hours and pay tied to taking on more of the business Creative input. I'm hiring you for your eye, so I want your opinion, not just execution. We are a very team oriented company with strong values and appreciation for our team. HOW TO APPLY Use this exact subject line: GOLDEN HOUR - Marketing & Design Applications with any other subject line will not be read. Include a link to your portfolio, and answer these four questions: Which of these have you used, and for how long: Canva, Pinterest for business, Showit or another website builder, Flodesk or similar email marketing? Show me at least one piece of design work you're proud of and tell me why it works. What were you trying to accomplish, and how did the design choices serve that? How many clients do you currently work for, and what hours do you work for each? Look at ---------- and our Instagram. Tell me one specific thing you would change about how we present ourselves, and why. Be direct. I'm not looking for compliments. Applications missing the portfolio link or any of these four answers will not be considered.

About the Role Our client is a compliance consulting and internal audit firm. They implement international management system standards and run internal audits for companies in electronics recycling, IT asset disposition, and manufacturing across North America. Their clients use that work to prepare for and hold third-party certifications. The team is small and senior, and they hold their own operations to the same standard they hold their clients to: documented, repeatable, and not dependent on one person's memory. They are looking for a Bookkeeper to own the day to day accuracy of their financial records — transaction processing, coding, reconciliation, and the disciplined execution of the payables, receivables, and payroll cycles. This role carries more weight than the title usually implies. Most bookkeeping roles are volume roles. This one is a judgment role with volume attached. Multi-phase engagements bill on milestones, subcontractor invoices have to be matched against agreed rates before anything moves, and expense submissions get checked against policy rather than waved through. The hard part is not entering the transaction, it is knowing where it belongs and saying so when you are not sure. Expect 25 to 30 hours a week during onboarding and training, settling to around 20 once you are running the cycle independently. Hours grow from there: transaction volume is rising, the second company is just launching, and the more of the repetitive work you systematise and take on, the faster the role moves toward full time. You would support two companies under the same ownership. The second is newly launching as an extension of the services the first provides, which means you will be setting up its finance processes rather than inheriting them, and keeping the records for the two entities cleanly separated as it grows. Some context on what it is like to work here. The team is small and growing, and there is no finance department behind you. You will report directly to the Managing Director with no layer in between, and the volume of transactions is rising as both companies grow. Priorities move and several things run at once, but the finance cycle still has to close on time and correctly every month. Holding both of those at once is the job. The business is also part way through replacing a stack of spreadsheets, email threads, and automations with custom software. A meaningful part of this role is learning how the finance processes work today, documenting them properly, and automating the parts that should not need a person at all. We want someone who reaches for a system before they reach for a repetitive workaround. What You'll Own Accounts Payable and Contractor Payment Process vendor bills daily, coding each to the correct account, customer, class, and billable flag in QuickBooks Online Match subcontractor invoices against project records, agreed rates, and time tracking before anything is queued for payment Review contractor expense submissions against the travel and expense policy, and flag exceptions rather than processing them Prepare the semi-monthly payment run and produce the run summary for approval Maintain vendor records, W-9s, and the onboarding documentation set Billing and Accounts Receivable Run the monthly invoicing cycle from time tracking into QuickBooks, ensuring every completed engagement is billed accurately and completely, including recoverable expenses Apply milestone and deposit billing terms correctly for multi-phase engagements Maintain the collections log on a weekly cycle: refresh status, issue past-due notices, and track follow-up dates Report debtor ageing and escalate anything past the defined threshold rather than carrying it quietly Reconciliation and Record Integrity Perform monthly bank, credit card, and inter-system reconciliations on the defined cycle Investigate and resolve reconciling items rather than carrying them forward Maintain expense categorization consistency and flag coding that does not fit the existing chart of accounts Prepare the month-end close file and supporting schedules for review Payroll and Statutory Support Own the payroll change cycle: enter approved new hires, approved terminations, and approved rate or salary changes into the payroll system Verify that every approved change has been entered before the cutoff, and prepare the payroll change summary for review Prepare the monthly payroll run, ensuring deductions, classifications, and filings are correct and on time. (Approval of the underlying changes, review of the change report, and final approval and submission of payroll all sit with the Managing Director.) Maintain a clean distinction between payroll and contractor payment per engagement classification Prepare annual contractor tax forms Assemble the underlying numbers for state tax filings, workers' compensation premium audits, and annual insurance renewals You prepare and support these. You do not own the filing decision or the external relationships. Systems, Documentation and Automation Run each finance process manually and correctly before proposing to change it Write and update the procedure for every recurring task you own, flagging what is missing, outdated, or wrong Build automations and AI-assisted workflows for the repetitive, rules-based work, and store them in a form the company owns rather than locked inside one platform Quality check automated output on a defined cycle rather than assuming it stays correct Support the migration of finance data and workflows into the new operating platform, and own the approval steps it routes to a person Keep a running log of every task you are asked to do and every question you had to ask to complete it Report monthly on which tasks were automated and how many hours of manual work that removed What You Bring Six or more years of hands-on bookkeeping experience, ideally in a professional or technical services environment Demonstrable QuickBooks Online experience: coding, reconciling, invoicing, and closing. Not familiarity — this has been your actual job. Accuracy under volume, and the discipline to resolve a reconciling item rather than carry it The judgment to reason about where a transaction belongs, and the honesty to say "I am not sure about this one" instead of guessing Real working use of AI tools. You should be able to describe a specific repetitive task you handed to an AI tool, which tool you used, how you set it up, and how you verify the output. Experience building or maintaining a workflow or automation in any tool, or clear evidence you look for the systemic fix rather than repeating the workaround Strong written English Ability to record your screen and narrate what you are doing clearly Strong advantages CPA, or an equivalent national professional accountancy qualification A degree in accounting, finance, or a related field Experience maintaining books for more than one entity under common ownership Experience with time tracking systems, relational database tools, expense and card management platforms, payroll providers, or workflow automation platforms Experience through a finance system migration or accounting software implementation Exposure to a regulated, audited, or ISO-certified environment Experience supporting a US-based firm How Success Is Measured 100% of completed engagements invoiced within the defined period Debtor days within agreed target 100% of reconciliations completed on cycle, with no unresolved items carried forward Month-end close file delivered within the agreed timetable Zero payments released against unmatched or unverified documentation Coding accuracy verified on review sample A written procedure exists for every recurring task in the role, and each one is reviewed and updated on a defined cycle rather than written once and left Procedures updated promptly as processes change, including the full rewrite required when the new platform replaces a manual workflow Both entities closed cleanly and separately, with no cross-coding between them Documented reduction in manual hours through automation, reported monthly How to Apply Complete our application form here: ---------- It takes about ten minutes. To confirm you have read this posting in full, include the code BK-2026-READ where the application asks for it. We will respond to every applicant who completes the form.

Right now a large volume of daily operational work sits on the founder's desk. Around 45 recurring administrative and IT tasks are documented, along with a long tail of requests that have never been written down at all. This role takes them over. The business is also part way through replacing a stack of spreadsheets, email threads, and automations with custom software, with the first phase going live shortly. A lot of what you learn manually in your first months will be automated in your later ones. They need someone who understands why the current process works the way it does, so that when the new system takes over, someone there can still tell when it is producing the wrong answer. Some context on what it is like to work here. The team is small and growing, and there is no department to hand something to. If you spot a problem, you either own it or you flag it, and both are fine. Priorities move, several things run at once, and you will report directly to the Managing Director with no layer in between. As the company grows this role will change shape more than once. That suits some people and frustrates others, and it is worth knowing which one you are before you apply. This is not a role where you wait to be told the same thing twice. You learn a process, run it correctly, write down what the instructions were missing, and then help make it faster. What You'll Own Workflow, Automation and Documentation (about 40%) Learn each recurring process by running it manually and correctly before proposing to change it Write and update standard operating procedures as you go, flagging what is missing, outdated, or wrong Build automations and AI-assisted workflows for repetitive work, stored in portable form the company owns rather than locked inside one platform Maintain existing automations across the connected tools: diagnose failures, find where a handoff broke, fix or escalate Review automated output on a defined cycle rather than assuming it stays correct. An automation that quietly produces the wrong result is worse than a manual step, and catching that is part of this role. Support the rollout of the new operating platform: test workflows, migrate and clean data, own the approval steps the system routes to a person, and report what is not working Complete the outstanding data migration work, including backfilling historical engagement records that were never entered into the system of record Maintain the SOP library and the automation library side by side, with consistent naming and version control Keep a running log of every task you are asked to do and every question you had to ask to complete it Report monthly on which tasks were automated and how many hours of manual work that removed. This is the primary measure of the role. Operations Execution (about 40%) Run the new-engagement launch sequence, two to three times a week, across four connected systems Act as the operational glue: keep projects moving, chase what is stuck, and handle the daily requests that keep the firm running Take on work delegated directly by the Managing Director, ranging from research and follow-up to standing responsibilities that move off her desk permanently as you demonstrate you can hold them Quality check the output of the processes you run and the automations you build: verify results against the source, catch errors before they reach a client or a report, and correct the process rather than only the instance Support the quality review process: upload and format audit reports, run and check an AI-assisted first-pass review, track what is waiting on whom, and keep reports from stalling between reviewer and auditor. (You will not perform the review or make audit judgments — you keep the queue moving.) Handle certificate of insurance requests, vendor onboarding packets, and W-9 issuance Maintain the vendor and subcontractor register and the supporting documentation set Calendar and inbox support for leadership, including meeting notes, action item tracking, and follow-through to completion Systems Administration and Records (about 20%) Provision accounts and access for new team members across Google Workspace and eight other platforms, and support onboarding and offboarding Maintain the Google Drive structure, permissions, naming conventions, and file cleanup Maintain the software subscription register: what renews when, what nobody uses, what should be cancelled Maintain email marketing list hygiene: before every send, confirm no unsubscribed contacts remain on the active mailing list Support hiring logistics, credential tracking, and HR administration Bookkeeping and finance are a separate role. You will work alongside the bookkeeper, and there are handoff points between you, but you do not own the finance cycle. What You Bring Six or more years in an operations, executive assistant, business management, or process coordination role supporting leadership directly Experience in a company where processes were not fully documented, and you were part of fixing that Demonstrated experience building or maintaining workflows and automations, in any tool Excellent written English. You will draft internal and occasional external communications. Proven ability to follow a written procedure exactly, and to notice and report when the procedure is wrong Real working use of AI tools. You should be able to tell us about a specific repetitive task you handed to an AI tool, which tool you used, how you set it up, and how you check that its output is correct. Ability to record your screen and narrate what you are doing clearly Comfort with systems administration: user provisioning, permissions, and file structure Reliable internet, a working computer, and a quiet space for video calls Ability to commit to heavy US Central overlap during onboarding, and four to six hours daily thereafter Strong advantages Experience designing or building a CRM, database, or internal system, not only using one Hands-on experience with workflow automation platforms, database automations, or building custom AI skills and agents Experience building or maintaining a knowledge base, wiki, SOP library, or internal training system Experience in an ISO-certified environment: document control, internal audits, management systems, quality or environmental standards Exposure to electronics manufacturing, recycling, IT asset disposition, or data destruction compliance Experience with relational database tools, time tracking systems, project management platforms, or Google Workspace administration Experience being part of a software implementation or system migration Who This Is Not For This is not a data entry role and not a general virtual assistant role. If you need a stable queue of identical tasks, a defined lane, or a manager who assigns your day, this will frustrate you. If your plan is to run everything through an AI tool and send the first thing it produces, you will not pass our assessment. We care as much about how you check work as how you produce it. How Success Is Measured A written procedure exists for every recurring task in the role, and each one is reviewed and updated on a defined cycle rather than written once and left Procedures updated promptly as processes change, including the full rewrite required when the new platform replaces a manual workflow Errors found by quality checks before they reach a client, a report, or leadership Documented reduction in manual hours through automation, reported monthly Engagement launches completed within the defined window, with no missed setup steps Audit reports moved through the review queue without stalling Access provisioning and deprovisioning completed within the defined period, with no orphaned accounts The task and question log maintained continuously and reviewed on cycle Zero sends to a mailing list containing unsubscribed contacts How to Apply Complete our application form here: ---------- It takes about ten minutes. To confirm you have read this posting in full, include the code OPS-2026-READ where the application asks for it. We will respond to every applicant who completes the form.
