Remote Bookkeeper

Confidential employer

About the Role Dynamic Decisions is a U.S.-based bookkeeping and fractional CFO firm that helps small business owners maintain clean books, improve financial reporting, and better understand their numbers. We are looking for a detail-oriented Remote Bookkeeper / Accounting Assistant based in the Philippines to support bookkeeping, reconciliations, client follow-up, and month-end close across multiple client accounts. This is a remote independent contractor role. Prior experience working in a bookkeeping firm, accounting firm, CPA firm, outsourced accounting provider, or other multi-client bookkeeping environment is required. We are specifically looking for someone who is already comfortable managing multiple client files, following different procedures for different clients, and working through recurring monthly close processes. What You'll Do Categorize transactions in QuickBooks Online and/or Xero Prepare bank and credit card reconciliations Match receipts, invoices, and supporting documents Review bank feeds and identify transactions that need clarification Prepare organized client question lists Support month-end close checklists Clean up uncategorized or incorrectly categorized transactions Track missing documents and open items by client Prepare basic financial reports for review Identify unusual transactions, duplicate entries, reconciliation issues, or possible errors Organize accounting documents and workpapers Follow written SOPs and document recurring client processes Help keep multiple client files organized and moving toward completion You will initially prepare work for review rather than being responsible for finalizing financial statements or making significant accounting changes without approval. You will also not initially be responsible for filing tax returns, filing sales tax returns, processing payroll, moving money, paying bills, or communicating directly with clients without approval. Required Experience Previous experience working for a bookkeeping firm, accounting firm, CPA firm, outsourced accounting provider, or multi-client bookkeeping team Experience managing bookkeeping for multiple clients at the same time Experience using QuickBooks Online for U.S.-based clients Experience preparing bank and credit card reconciliations Experience working from monthly close checklists and client-specific procedures Strong understanding of bookkeeping fundamentals, including AR/AP, loan payments, merchant deposits, payroll entries, and balance sheet accounts Strong written and spoken English High attention to detail Ability to manage recurring deadlines without constant reminders Ability to recognize when something does not look right and ask thoughtful questions Reliable internet access and comfort working securely with confidential financial information Preferred Experience Xero U.S. small business bookkeeping Monthly close packages Reviewing P&Ls and balance sheets for unusual items Service businesses, professional services, fitness businesses, real estate, or project-based businesses Keeper, Hubdoc, Dext, Bill.com, Ramp, Gusto, Stripe, Square, Shopify, or similar platforms Documenting client-specific bookkeeping procedures What We're Looking For We are not looking for someone who simply "codes transactions." We want someone who thinks like a bookkeeper - someone who notices inconsistencies, double-checks their work, asks questions when something is unclear, and keeps organized notes. Switching between multiple clients without losing accuracy Following different rules and procedures for different clients Tracking open questions and missing information Preparing clean work for review Meeting recurring monthly deadlines Communicating when something is blocking their work Receiving feedback and improving over time Taking ownership of assigned responsibilities Work Schedule This is a remote independent contractor position. We are seeking someone with full-time availability and capacity, approximately 40 hours per week. Some overlap with U.S. Pacific Time is needed for communication and collaboration. Our preferred overlap window is approximately 5:00 PM-7:00 PM Pacific Time, which is morning in the Philippines. Outside of scheduled meetings and agreed-upon overlap periods, the contractor will generally have flexibility in determining when and how assigned work is completed, provided deadlines, quality standards, and client requirements are met. Compensation $7-$14 USD per hour, depending on experience and demonstrated bookkeeping skill. The higher end of the range is intended for candidates with strong U.S. bookkeeping experience, substantial multi-client experience, and the ability to work independently with limited supervision. Please include your desired hourly rate in your application. How to Apply Please send: 1. A short introduction about yourself 2. Your resume or summary of bookkeeping experience 3. Your desired hourly rate 4. Your availability and preferred work schedule 5. A screenshot or description of your internet speed 6. A Loom video answering all of the screening questions below Loom video requirement: Please keep your video to approximately 5-10 minutes. You do not need to create a polished presentation. We simply want to hear you explain your experience and how you approach bookkeeping situations in your own words. Required subject line: Detail-Oriented Multi-Client Bookkeeper Applications that do not include both the required subject line and Loom video may not be reviewed. Loom Video Screening Questions 1. Tell me about your experience working for a bookkeeping firm, accounting firm, CPA firm, outsourced accounting company, or other multi-client bookkeeping environment. 2. How many client files were you typically responsible for at one time, and what types of businesses did you support? 3. Walk me through the bookkeeping tasks you personally handled during a typical monthly close. 4. How did you track client questions, missing documents, outstanding reconciliations, and other open items across multiple clients? 5. Tell me about the most difficult bookkeeping cleanup, reconciliation issue, or accounting problem you have worked on. What was wrong, and how did you help resolve it? 6. Imagine you are supporting 8 different client files in QuickBooks Online. Each client has different coding rules, month-end deadlines, and open questions. How would you organize your work to make sure nothing is missed? 7. You see a $247.83 bank transaction paid to "Amazon," but there is no receipt or description. Walk me through exactly what you would do before categorizing the transaction. Qualified candidates may be asked to complete a short bookkeeping skills test and participate in a video interview.

VIDEO EDITOR, SHORT-FORM REELS (Remote · PHP & SA)

Confidential employer

Summary WHO WE ARE We're a small creator-management agency (Portugal HQ) that builds handmade brands for a tiny roster of creators. The founder works on every account. We're hiring our first dedicated editor for one flagship creator: a cozy homemaker lifestyle brand (warm home, garden, cooking, comfort) with a retro-gaming thread woven through it. WHAT YOU'LL ACTUALLY EDIT Instagram Reels (15 to 30s) for a warm domestic-lifestyle brand. Think lamp-lit rooms, cooking and garden moments, soft-spoken voiceover, a retro game paused on the TV in the background. Warm and cozy, but never slow or boring. Our editing style: 2-3s pacing rule - Something must happen every 2 to 3 seconds: a sound effect, a subtle zoom, a cut, a text pop, an on-screen detail. Micro-events keep retention high. The trick is doing this while the reel still FEELS calm and warm, not chaotic. Gentle movement, not zoom-punch spam. Optimal trimming - Tight cuts, no dead air, no wasted frames. Every clip trimmed to its best moment. Sound design as a core skill - Domestic texture (kettle, chopping, rain on the window, keyboard clicks) layered with retro game SFX accents and a whisper-register voice. You'll integrate sound effects constantly. Our audience recognizes the brand by sound in 3 seconds. Simple, clean transitions and effects - Smooth and purposeful. No flashy transition packs, no trend-chasing effects that fight the cozy vibe. Nostalgia-literate accents - You don't need to be a Nintendo expert. You'll work from our reference bank of era-correct sounds and visuals, and you'll learn why a 1998 chest-opening sound outperforms any trending audio for our audience. You'll get a full style bible, hook templates, banned-elements list, and direct feedback from the founder. We want an editor who becomes THE voice of this brand's edit, not a gig-worker juggling 30 clients. WHAT WE NEED FROM YOU Some experience with short-form vertical content (Reels, Shorts, TikTok). Show us, don't tell us. Strong pacing instincts: you know how to keep a reel alive every 2 to 3 seconds without making it feel loud Clean audio mixing and confident sound-effect work. This brand lives and dies on sound. Solid color grading fundamentals (warm grades, skin tones) CapCut, Premiere Pro, or DaVinci Resolve all welcome. We judge the output, not the software. A good laptop that can handle raw vertical footage and deliver on deadline Fluent written English. Feedback loops are async and fast. Reliable internet Bonus points: you've edited cozy-lifestyle, cooking, home, or ASMR-adjacent content · you understand parasocial audiences · you grew up on PlayStation, Nintendo, or Sega · you've worked with creator brands before.

Administrative Operations & Digital Support Specialist

Confidential employer

Administrative Operations, Newsletter & Website Support Reports to: Program Manager & Assistant Practice Manager Location: Remote PURPOSE OF THE ROLE We are looking for a highly dependable, resourceful, and detail-oriented Operations & Digital Support Specialist who loves getting things done. This person will support our team across a variety of administrative, operational, and digital tasks — from managing recurring processes and updating spreadsheets to creating newsletters, making website updates, organizing information, and solving the unexpected problems that come up along the way. This is not a role for someone who needs every step mapped out for them. We are looking for someone who can receive an outcome, understand what needs to happen, find the necessary information or resources, and take ownership of getting it across the finish line. Some responsibilities will be recurring and process-driven. Others may begin with: “Can you figure out how to do this?” The right person will enjoy both. ? CORE ORIENTATION: RESOURCEFUL, RELIABLE & ACTION-ORIENTED A major part of this role is being someone the team can depend on. You don’t need to know how to do everything on Day 1. You do need to be willing and able to figure things out. When you encounter something you don’t know how to do, your first instinct should be to: Investigate the problem Search for an answer Review existing documentation or SOPs Use available technology and AI tools Test possible solutions Ask thoughtful questions when genuinely needed Take action We value people who come back with: “Here’s what I found, and here’s what I recommend we do.” rather than: “I don’t know how to do that.” ? CORE RESPONSIBILITIES 1. Administrative & Operational Support A significant part of this role is providing reliable, detail-oriented administrative and operational support across the business. Responsibilities may include: Updating spreadsheets and trackers Entering, organizing, and verifying information Maintaining CRM records Creating and updating client/member records Organizing documents and files Preparing forms and reports Tracking participation, sessions, or other program information Sending scheduled forms and reminders Updating internal documentation Creating summaries from meeting or session transcripts Supporting invoicing, expense tracking, and administrative reporting Completing bulk updates or repetitive operational tasks accurately Assisting team members with miscellaneous administrative needs as they arise Some tasks may involve large amounts of information or repetitive processes, so accuracy and attention to detail are critical. We need someone who can be trusted to complete both small and large tasks carefully, even when there are many moving pieces. ? 2. Task & Process Ownership You will be responsible for making sure assigned work doesn’t disappear simply because no one reminded you about it. That means: Maintaining your own reliable task-management system Tracking recurring responsibilities Remembering deadlines and follow-ups Following through until tasks are actually complete Keeping SOPs and documentation organized Noticing when a recurring process has been missed Communicating proactively when something is delayed or blocked Looking for ways to make repetitive processes more efficient We are looking for someone who can increasingly own an area of responsibility, rather than waiting for a new instruction at every step. If something is assigned to you, the team should be able to trust that you will remember it, manage it, communicate about it, and see it through. ? 3. Problem Solving & Special Projects The responsibilities of this role will vary depending on what the business needs. You may be asked to: Research a new tool Figure out how to accomplish something in an existing platform Clean up or reorganize information Perform a bulk update Find a more efficient way to complete a recurring task Troubleshoot a workflow Learn a new system Research potential solutions to a problem Create a process where one doesn’t currently exist You should enjoy being handed a problem and figuring out how to solve it. We don’t expect you to know everything. We do expect you to be resourceful enough to investigate, learn, experiment, and make progress without needing constant direction. ? 4. Newsletter Creation & Management Newsletter creation will be one of the primary recurring responsibilities of this role. You will help manage the newsletter process from beginning to end, including: Creating newsletters from existing content and social media posts Formatting newsletters Preparing content for publication Managing links, images, calls to action, and other newsletter elements Proofreading and quality-checking newsletters before they go out Scheduling and publishing newsletters Maintaining consistency across newsletter communications Troubleshooting formatting or publishing issues Keeping the newsletter schedule organized and moving forward The goal is for the team to be able to trust that the newsletter gets done — accurately and on time. ? 5. Website Management & Digital Support Support ongoing website and digital-platform needs, including: Editing website pages Updating copy, links, images, and other content Creating or updating basic pages as needed Uploading resources and content Checking pages for accuracy Troubleshooting basic website issues Researching solutions when something isn’t working Coordinating with outside technical support when an issue requires additional expertise You do not need to be a developer, but you should be comfortable with technology and unafraid to learn new platforms. ? WHAT WE’RE LOOKING FOR Must-Haves Extremely strong attention to detail Fluent written and spoken English Ability to communicate clearly and professionally in English during calls and meetings Strong organizational skills Demonstrated reliability and follow-through Strong problem-solving ability High level of resourcefulness Self-starter mentality Ability to work independently without constant supervision Ability to manage multiple priorities Comfortable learning new technology Strong internet research skills Comfortable using AI tools such as ChatGPT Ability to follow detailed SOPs while also thinking independently Willingness to take ownership instead of waiting to be told what to do next Strongly Preferred Previous administrative or operations experience Newsletter or email marketing experience Website editing or website-management experience Experience with CRM systems Experience with Google Workspace Experience working with spreadsheets Experience with task/project-management systems Experience supporting an online, consulting, coaching, or service-based business ? WORKING HOURS & AVAILABILITY While we do not necessarily require someone to work a complete U.S. schedule, the ability and willingness to maintain a consistent portion of your working hours during the U.S. Central Time business day is strongly preferred. This overlap will allow you to: Communicate with team members in real time when needed Participate in occasional meetings Resolve questions or problems without a full-day delay Collaborate effectively with a U.S.-based team ? YOU’LL BE A GREAT FIT IF… You are the kind of person who: Writes things down and doesn’t rely on someone else to remind you Notices details other people miss Likes checking things off and finishing what you start Enjoys creating order from messy information Can handle repetitive work without becoming careless Is curious about how systems and technology work Searches for answers before immediately asking for help Takes initiative when you see something that needs to be done Communicates when you are stuck rather than allowing a deadline to pass Can move comfortably between recurring administrative work and unexpected projects Takes pride in being someone others can rely on ? WHAT SUCCESS LOOKS LIKE Within the first 3–6 months: Recurring administrative tasks happen without leadership needing to remember or prompt them Assigned tasks are tracked and completed reliably Spreadsheets, CRM records, files, and trackers stay current Newsletters are consistently prepared and published accurately and on time Website updates are completed quickly and accurately SOPs are followed and improved as needed Problems increasingly come to leadership with proposed solutions, not just questions The team spends less time following up on unfinished tasks Leadership trusts that when something is assigned to you, it will get done ? WHY THIS ROLE MATTERS A growing organization has hundreds of details that need to happen consistently behind the scenes. This role creates the operational reliability that allows the rest of the team to focus on clients, relationships, growth, and higher-level work. You help turn ideas into action, keep important details from falling through the cracks, and make sure the business follows through on what it starts. You are the person who helps make sure things actually get done.

Full-Time Business VA / Ops Assistant for Marketing Agency — Remote, Long-Term

Confidential employer

I run a performance marketing agency. We move fast, run a lot of moving parts, and the work requires someone who actually thinks — not someone who needs every step spelled out. This is not a "do what I tell you" VA role. I need an operator who can take a half-instruction, figure out the rest, and come back with the thing done. If you need hand-holding, this isn't the seat for you and we'll both be miserable. What you'll own CRM management in GoHighLevel — workflows, calendars, tagging, lead routing, pipeline hygiene Ad account ops support — light Meta Business Manager housekeeping, AdsPower profile management, asset organization Email & SMS campaign support — building sequences in GHL, QA-ing automations, list segmentation Sales team support — booking confirmations, lead flow, setter/closer handoff tracking, basic reporting Light project management — keeping creatives, contractors, and tasks moving without me chasing Documentation — turning processes I run from my head into SOPs the team can follow General overflow — whatever's in the way of revenue that doesn't need a specialist Who you are 3+ years as a business VA, ops assistant, or agency coordinator. Hands-on experience with GoHighLevel — workflows, calendars, pipelines, the whole stack. This is non-negotiable. Familiar with Meta Business Manager (ad accounts, pixels, asset structure) at a working level Native-level written English — email s, Slack messages, and SOPs that read clean and don't need rewriting Sharp pattern recognition — you notice when something's broken before I tell you High follow-through — if I assign 10 things on Monday, all 10 have a status by Friday without me asking Comfortable being told you got it wrong, fixing it, and moving on without drama Reliable internet, a backup plan, and a quiet place to work Nice to have (not required) AdsPower or multi-account ad ops experience Direct-response marketing or paid media agency background Notion, Slack, Zapier, ClickUp fluency Experience supporting a setter/closer sales team How to apply Send me: A 60–90 second Loom intro — who you are, your GHL experience, and the most complex workflow or automation you've built or maintained. Your résumé or OnlineJobs profile link. Answer this in your application: Walk me through how you'd set up a GHL workflow that tags a lead as "no-show" when they miss a booked call, sends them a reschedule SMS, and removes the tag if they rebook. Bullet points are fine. Put the word OBSIDIAN at the top of your application so I know you read this carefully. Applications without it will be ignored.

About Us We're a marketing agency working with high-ticket financial services clients. We run a team of salespeople (setters and closers) and marketing contractors, and we need someone meticulous to own our billing operations end-to-end. What You'll Do You'll be the person who makes sure money moves correctly in and out of the business. No layers of bureaucracy. If you're sharp, you'll have a long-term home here with raises tied to performance. How to Apply To filter out copy-paste applicants, please do the following: Start your message with the word "Reconciled" so I know you read this carefully. Record a Loom video (3–5 minutes) walking me through the billing, invoicing, or finance work you've done in previous roles. -Show me actual examples on screen if possible — spreadsheets you've built, processes you've owned, problems you've solved. Applications missing either of the above will not be reviewed.
