I'm looking for a highly organized Executive Admin to work closely with me as the Managing Director and become a key part of our growing business. This is much more than a traditional administrative role. You'll support our sales, marketing, and operations while helping improve our systems and processes. I'm looking for someone proactive, detail-oriented, and eager to grow with the company long-term. Key Responsibilities Manage my calendar, email s, and daily administrative tasks. Proofread and professionally format sales proposals prepared by our General Manager. Follow up with clients after proposals have been submitted. Respond to new inquiries and assist with estimate and proposal preparation. Create and manage our social media presence using photos and videos from our project site diaries. Develop marketing collateral, capability statements, and other branded materials. Review and clean up field data entered into Varicon. Review job cost timesheets within Varicon. Ensure daily site diaries are completed by supervisors and distributed to relevant project stakeholders. Provide general administrative support to help improve business systems and processes. What I'm Looking For Excellent written and spoken English. Outstanding organizational skills and exceptional attention to detail. Experience using Canva and managing social media platforms. Previous Executive Assistant or Virtual Assistant experience. Confidence communicating professionally with Australian clients. A proactive mindset with the ability to work independently.
