AI Operations Lead

Confidential employer

We are a group of four companies hiring one exceptional person to run operations across the board using AI tools. You will build and operate the systems that enable each company to run efficiently. You will not replace functional managers or assume responsibility for people management. ARC Group: In-office BPO teams (10+) for mid-sized US companies. No onboarding fees, no contract lock-in. ARC Remote: Managed remote staffing for US small businesses. Kipkeh Media: A WhatsApp media channel for the Orthodox Jewish community. SetCo / ---------- : Business entity-formation services. You will report directly to the Founder and work closely with our Chief of Staff. She builds the structures, systems, and trusted ground operations; you bring AI-powered execution, optimization, and intelligence. You offer complementary strengths, not a hierarchy. CORE OPERATING PRINCIPLES Read this carefully: This is a job for a professional who is exceptionally good at using AI tools, not someone who "uses ChatGPT sometimes." You will take entire workflows, lead generation, performance reporting, content planning, billing, and follow-ups, and rebuild them so one person with the right AI stack can do what used to take a team. However, AI is a means, not the objective: Impact over tools: We do not automate for automation’s sake. Every system you build must improve revenue, speed, accuracy, cost, visibility, or operational capacity. Build before you automate: You don’t automate broken processes. First, understand the business objective, map the workflow, identify failure points, simplify the process, and then automate. Human judgment: You know when NOT to automate. You understand where client relationships, management decisions, and executive judgment must remain human. AUTHORITY & ESCALATION You are expected to independently identify problems, recommend solutions, and implement approved operational improvements. You may modify systems and workflows within your area of ownership, but significant changes affecting clients, staffing, pricing, contracts, or company-wide processes require Founder approval. PRIORITIES (In Order) ARC Group Pipeline: This is the money. Build the machine that fills it. ARC Remote: Systematize operations until the Founder only shows up for relationships and closing. Kipkeh Operations: Manage the money workflow, creator direction, and performance intelligence. NewLLC Automations: Set up processes alongside the Chief of Staff so we can hire an admin to handle client relations, billing, and upselling. THE MANDATE Process & SOP Automation: Automate and continuously improve operational workflows. Coordinate with the Chief of Staff and functional owners before materially changing established processes. Data & AI Responsibility: You will handle sensitive business, client, and employee data. You must follow data-handling rules and never upload confidential information into an unauthorized AI platform. Marketing: Our highest-leverage early win (see below). Sales Support: Pipeline tracking, follow-up systems, and proposal/invoice workflows. (Closing stays with the Founder). Recruitment: Help hire the roles behind you via screening support, structured interview workflows, and candidate tracking. Management Oversight (Systems, not people): Build the intelligence layer our managers run on (dashboards, KPI tracking, staffing-ratio models). You make problems visible early with data. When systems flag a problem, you bring the data to the manager/Founder; they handle the human side. Systems Design: Build workflows that don't break, with edge cases handled and clean, documented handoffs. Data & Reporting: Turn raw, messy operational data into decisions (daily numbers, weekly analysis, forecasts). Content Operations: Direct our on-camera creator with data-backed briefs outlining what to film, when, and why. Billing & Invoicing: Build the money workflow from zero and run it. Keep Up & Be Ahead: Your AI stack is never stale. You bring us tools and methods before we know we need them. YOUR FIRST BIG WIN: BUILD OUR MARKETING ENGINE Our Chief of Staff currently runs a manual email lead-gen motion for ARC Group (50–100 email s, no sequences, no A/B testing). It is time-consuming and inefficient. The stack is already paid for: Google Workspace + Instantly + Apollo + NeverBounce. Your job: Turn it into a real pipeline machine. Target: 500+ email s/week with proper sequences, A/B testing, AI-assisted personalization, tracked follow-ups, and a dashboard the Founder can read in 60 seconds. Bonus: You will also run the support system behind the Founder's LinkedIn outreach. The Audience: 50–250 employee companies in logistics/supply chain, medical offices, and voice agents (call centers). The Offer: In-office BPO teams, no onboarding fees, no contract lock-in. This is how we land our next BPO clients, and it is the single highest-leverage thing you can do in your first 60 days. WHAT YOU'LL OWN The Pipeline Machine: ICP list building, Instantly sequences, A/B tests, reply triage, follow-up automation, and weekly dashboards. The engine runs; you report the numbers. ARC Remote Systematization: Map every workflow the Founder touches and pull them off his plate one by one until it runs day-to-day without him. The Money Workflow: Advertiser roster, rate sheets, invoices generated from published logs, overdue tracking, and a Monday money dashboard. Creator Direction: Turn weekly view data into specific daily shoot briefs backed by numbers, not vibes. Performance Intelligence: Daily view-curve reports. Flag underperforming posts within hours. Deliver a one-page weekly "what's working" analysis to drive next week's plan. Management Intelligence: Dashboards, alerts, and KPI tracking. You build the visibility; managers handle the people. Founder's Daily Digest: One morning briefing covering yesterday's numbers, today's plan, and decisions needed. MUST-HAVES Demonstrable AI Expertise: LLMs (advanced prompting, custom agents), spreadsheet automation (complex formulas, Apps Script), data analysis, and workflow automation (Zapier, Make, n8n, etc.). We test this live—claims without proof will not pass. Data Skills: Proven ability to build reports and dashboards from raw, messy data. Lead-Gen Experience: Email outreach, list building, sequencing, and follow-up tracking (or a credible plan to build this fast). Finance Systems: Experience building/running a billing/invoicing tracker (or the ability to design one from scratch in the interview). Communication: Strong written English. Clear, brief, and structured asynchronous communication. Availability: Full-time (40 hours/week), Philippines-based, on a steady, fixed schedule with US-morning (EST) overlap. Exclusivity: No job stacking, no exceptions. This must be your only full-time job. No freelance clients or side gigs that compete for your hours or attention. Professional Setup: 16GB+ RAM, backup internet, and backup power. NICE-TO-HAVES Media or content-operations experience. Experience with remote teams across time zones. Familiarity with Orthodox Jewish community norms (modesty and kashrus guardrails apply to our channel)—or a willingness to learn fast. WHAT SUCCESS LOOKS LIKE Day 14: Email engine is live (500+/week sending on Instantly with sequences and A/B tests). Baseline bounce/unsubscribe rates tracked. First sprint launched; LinkedIn support running. ARC Remote audit complete, with the first workflow pulled off the Founder's plate. Money workflow started. (Trial decision point: You must be performing at band level, or we part ways). Day 30: Email engine at full volume. Focus shifts to quality metrics: positive reply rate, meetings booked, and cost/time per qualified opportunity. Reply triage and follow-up system operating with same-day turnaround. ARC Remote SOPs delivered. Creator working from your briefs. Day 60: The engine runs on rhythm without babysitting. ARC Remote workflows are documented, handed over, and tracking measurable hour/cost reductions. Underperformer alerts firing same-day. You are spotting what's broken across the companies before anyone else does. Day 90: ARC Group top-of-funnel and ARC Remote run without Founder involvement. Kipkeh workflows are humming. We are actively scaling your systems across all four companies. COMPENSATION & TERMS Pay: $400-$500/week, paid weekly via Wise. Growth: Full-time, long-term. Exceptional performers grow fast here, with a clear path for compensation increases across the four companies. Trial Terms: The first 2 weeks are a paid trial. You enter at a band based on your interview, and you have two weeks to prove it was real. If you are not performing at your band's level, we part ways fast and fairly. HOW TO APPLY To be considered, you must provide direct, publicly viewable links (Google Drive, iCloud, etc.) to the following: Updated Resume/CV: Highlighting your AI experience and the tools you are familiar with. System Specs Screenshot: Including RAM (16GB minimum preferred; if your system can be upgraded, please state this). Internet Speed Test Screenshot: Showing primary and backup speeds in Mbps. Workspace & Power Photos: Showing a dedicated quiet workspace, plus your UPS, power station, or generator. 2-Minute Loom Video (Screen Share): Walk us through ONE real workflow you automated with AI tools. Show the "before," what you built, and the "after." This must be a real example, not a tutorial. No Loom = no review. Fast-Track Hiring Process: Candidates who submit a standout Loom video will be highly considered and fast-tracked to an Initial Interview before taking the paid test task. Candidates who pass the Initial Interview will complete our paid test task ($25 USD via Wise). Candidates who advance from the test task to the final Founder interview will receive an additional $25 USD.

Operations Execution Lead Compensation: $1,400/month Mission Turn priorities into finished results. SteelSafe operates self-storage properties across the United States. There is always work that needs to get done: property issues, vendors, purchases, projects, recurring operations, and problems that cross multiple people or systems. Your job is to own that execution. Some work you will do yourself. Some you will delegate to team members, boots on the ground, or vendors. Either way, you own the result. When leadership hands you an outcome, we should be able to forget about it until you come back with the finished result. Operating Rules Own the result. Do not pass problems. Assigning is not completing. Delegated work is still your responsibility. Asana is the system of record. If it is not in Asana, it does not exist. No proof = not done. Move fast. Small problems get expensive when they sit. No silent failures. Surface risks early with a recovery plan. Bring solutions. If leadership must d ---------- , bring the options and your recommendation. Close loops. Nobody should have to ask, “Whatever happened with that?” Build better systems. The better you get, the less time the same work should require. What You Own 1. Property & Rent-Ready Execution Drive property work from problem to verified completion. Examples: Get unavailable units back to Rent-Ready. Coordinate cleanouts. Get doors, locks, leaks, roofs, gates, cameras, fencing, weeds, trash, signs, electrical issues, and other property problems resolved. Coordinate vendors, quotes, scheduling, execution, and proof. The process is: Problem → Owner → Quote → Approval if needed → Schedule → Execute → Verify → Close Every unavailable unit must have a reason, owner, next action, and deadline. Do not report that a unit is stuck. Get it unstuck. 2. BOTG & Vendor Management Own the people who execute work locally. Find and hire BOTG and vendors. Give clear scopes and deadlines. Get quotes. Follow up. Verify work. Correct poor work. Replace underperformers. Maintain backup options. “I asked them” is not a result. The work being completed correctly is the result. 3. Projects & Procurement Own independent projects from idea to completion. Examples include: Source and purchase supplies or equipment. Order signs, locks, parts, cameras, and materials. Research and negotiate vendors or services. Sell unused assets. Coordinate property improvement projects. Build new operational processes. Complete one-off projects leadership assigns. You are expected to figure out the path forward without needing step-by-step direction. 4. Operational Problem Resolution When a customer or company issue requires operational action, own the execution. Investigate the problem, determine what needs to happen, coordinate the people involved, and drive it through resolution. Leadership owns unusual policy, legal, financial, or strategic decisions. Once the decision is made, you own getting it done. What Winning Looks Like Work gets completed on time. Projects do not stall. Rent-Ready units do not sit because nobody followed through. Vendors and BOTG are held accountable. Problems are surfaced before deadlines are missed. Completed work is actually complete. Asana reflects reality. Recurring work becomes simpler and requires less manual effort. This Role Is a Fit If You Are a doer. Take ownership without reminders. Finish what you start. Can manage a small team and still execute personally. Can take an unfamiliar project and figure it out. Follow up relentlessly. Make good decisions independently. Keep many moving pieces organized. Communicate problems early. Hold vendors and teammates accountable. Care about details and proof. Enjoy turning messy work into reliable systems. Own the result, not the clock. Do what it takes to get the job done. Then improve the system so the same result takes less time and effort next time.

Property Operations Lead - Remote

Confidential employer

Location: Remote Core Availability: Monday–Friday, 8:00am–6:00pm Eastern Time (USA) Compensation: $2,000 per month SteelSafe Self Storage operates storage properties across the United States. Customers rent individual storage units and shipping containers from us to store their belongings, business inventory, equipment, and other items. Our properties are managed remotely. When a customer moves out, we need to quickly inspect, clean, repair, and prepare that storage unit so the next customer can rent it. We’re hiring a Property Operations Lead to manage that process remotely. Your main goal is simple: keep our properties Rent-Ready and get units back on the market fast. What you get: A clear scoreboard and a role that matters. Direct access to leadership and fast decisions. A system-driven operation (we run on Asana). Performance bonus opportunity tied to ops execution. High trust and real autonomy. Real authority. You are not here to pass problems to someone else. You have the authority to solve them and improve the systems behind them. Freedom earned through results. We care about outcomes, not looking busy. Own the result, get the job done, then build systems so the job demands less of you tomorrow. What you’ll do: Manage the entire unit turnover process: after a customer moves out, make sure the unit is inspected, cleaned, repaired if needed, and ready for the next customer to rent. Manage local Boots-On-The-Ground (BOTG) contractors who physically inspect, clean, repair, and maintain our properties. Assign maintenance and repair jobs, follow up until they are completed, and verify the finished work using photos or videos. Keep sites customer-ready: gates, locks, cameras, lighting, cleanliness, and curb appeal meet SteelSafe standards. Handle property projects end‑to‑end (example: order a sign, coordinate install, confirm with proof). What you own (outcomes): Median Time‑to‑Rent‑Ready (TTRR) after move‑out. Rent‑Ready Unit % stays high and trending up. Work orders are dispatched quickly, completed quickly, and closed with proof. BOTG tasks are completed on time with proof, and contractor records and payments stay current. Publish a weekly scorecard that identifies misses, drives action, and holds owners accountable. The authority and tools you’ll have: You have the authority to improve the operation: turn workflows, proof standards, BOTG and vendor performance, inspection schedules, and the systems used to keep properties Rent-Ready. Asana as the operating system (tasks, checklists, proof). This role is a fit if you: Own the result, not the clock. You do what it takes when the operation needs you, then improve the system so the same result takes less time, less chasing, and less effort next time. Work independently, make good decisions, and move fast. Communicate early when deadlines, quality, or outcomes are at risk. Manage a small team, vendors, and contractors with confidence. Keep multiple properties and projects organized without losing details. Think in terms of ownership, deadlines, checklists, and proof of completion. Maintain high standards for cleanliness, safety, security, and customer experience. Find and fix root causes, not just recurring symptoms. Turn messy operations into reliable, repeatable systems. Are a doer who takes pride in measurable results, not activity.

Maintain a collection of strong and weak conversation examples with coaching notes. Test approved messaging improvements and report their effect on qualified bookings and attendance. Confirm that feedback leads to changes in future conversations. Intelicoach and Automation Management Own day-to-day monitoring of Intelicoach and coordinate with technical support when needed. Review AI conversations for accuracy, personalization, tone, timing, and compliance with approved rules. Manage approved scripts, follow-up sequences, triggers, sending windows, and handoff instructions. Confirm that campaign keywords route leads into the correct conversation flow. Ensure human and AI messages do not overlap or send conflicting information. Confirm that automation pauses appropriately when a human takes ownership. Identify and resolve incorrect names, repetitive questions, irrelevant responses, missed follow-ups, and failed handoffs. Test changes before broad rollout and monitor results afterward. Keep a record of changes, test results, and unresolved issues. Escalate technical problems promptly and arrange manual follow-up for affected leads. KPI Ownership and Reporting Maintain an accurate daily and weekly appointment-setting scorecard. Track lead volume, response times, meaningful conversations, qualified prospects, call invitations, completed bookings, and call attendance. Track follow-up completion, overdue leads, incomplete applications, cancellations, and no-shows. Compare performance by setter, campaign, lead source, and AI versus human handling where the data supports it. Establish clear metric definitions and realistic targets with leadership. Audit CRM records and reporting for accuracy. Report performance against targets and explain the reasons behind changes. Connect appointment-setting activity to sales outcomes and collected revenue with the sales team. Recommend specific actions based on the data. Revenue Leak Identification and Improvement Identify where prospects drop out between initial inquiry, conversation, qualification, booking, attendance, and enrollment. Investigate slow responses, missed leads, weak call invitations, incomplete applications, inconsistent follow-up, and poor handoffs. Identify scheduling friction, limited appointment availability, and preventable no-shows. Recognize campaigns that generate interest but few qualified, attended calls. Distinguish conversation problems from lead-quality, calendar, technical, or sales-call problems. Prioritize fixes based on likely impact. Assign each improvement a clear owner, deadline, and measurable outcome. Track whether changes recover opportunities and improve conversion. Bring leadership recommendations and solutions alongside the findings. Communication With Nirit and the Team Send a concise daily update covering results, priority opportunities, blockers, and decisions needed. Provide a weekly summary of performance, trends, conversation quality, revenue leaks, and improvement actions. Communicate urgent issues promptly. Keep Nirit informed about prospects requiring her involvement and provide the context needed to respond. Coordinate with marketing on lead quality, campaign messaging, recurring questions, and objections. Coordinate with the sales team on appointment quality, attendance, call outcomes, and follow-up. Maintain a shared record of decisions, responsibilities, and deadlines. Take ownership of follow-through so leadership does not need to chase routine updates. What Success Looks Like Qualified prospects book and attend discovery calls. Active leads receive timely, relevant follow-up. Conversations consistently reflect the FitWINS brand. CRM records and reporting are reliable. Setters receive clear direction and useful coaching. Intelicoach operates within approved rules and hands off correctly. Missed opportunities are identified and addressed. Nirit and the team have a clear picture of performance and next steps.

Head of Marketplace Operations & Growth (eCommerce Marketplaces)

Confidential employer

Job description: About the Role Trojan Commerce, part of the Buy It Direct Group, operates a large multi-brand eCommerce business across Amazon, eBay and other major marketplaces for international brands. We are looking for a highly experienced marketplace leader to take independent ownership of the commercial performance, operational quality, compliance and technical operation of approximately 30 marketplace stores. This is a senior, hands-on role for someone who already has substantial experience operating marketplace businesses at scale. You will be expected to understand how successful marketplace operations work commercially, operationally and technically, and to use that experience to identify what needs to happen rather than waiting to be given a task list. You will be expected to grow marketplace performance as well as protect it — identifying sales opportunities, ensuring stores participate in relevant promotions and programmes, improving listings and pricing, onboarding new clients and marketplaces, and using data to recommend actions that improve revenue and profitability. You will also analyse operational performance, identify risks before they become issues, recommend solutions to senior management and work directly within marketplace platforms to deliver improvements. A major part of the role will be proactive ownership. We expect you to identify underperformance, commercial opportunities, account-health risks, catalogue issues, fulfilment problems, process weaknesses and technical problems independently, investigate their root causes and recommend or implement the appropriate action. You will support expansion into new UK and EU marketplaces, ensuring new stores, fulfilment arrangements and carrier configurations are set up correctly from day one. You will work closely with senior management, account managers, clients, operations, warehouses and IT teams. You must therefore be comfortable translating marketplace data and technical issues into clear commercial recommendations, including the likely revenue, cost, operational or compliance impact. This is not an administrative, VA or PPC role. We need someone who can independently identify what needs attention and take ownership of the commercial and operational outcome. We are specifically looking for someone who can operate as a marketplace subject-matter expert within the business — someone senior management can rely on to understand marketplace performance, challenge existing ways of working where necessary, recommend improvements and drive those improvements through to completion. Key Responsibilities Marketplace Commercial Ownership Own the commercial and operational performance of approximately 30 marketplace stores and accounts. Identify opportunities to increase sales, conversion and profitability across Amazon, eBay and other marketplaces. Ensure stores participate in relevant marketplace promotions, campaigns, seasonal events and platform programmes. Review marketplace performance and proactively recommend pricing, promotional, catalogue and operational actions to improve growth. Work with account managers and clients to ensure agreed commercial plans are executed correctly on each marketplace. Ensure listings, pricing, stock availability and catalogue data are accurate and commercially effective. Support onboarding of new clients, brands, marketplaces and countries. Regularly identify products, categories, stores and marketplaces that are underperforming or have untapped commercial potential. Analyse marketplace traffic, conversion, Buy Box performance, pricing, availability, promotions, fees and other relevant commercial indicators to determine where action is required. Identify missed marketplace opportunities rather than relying solely on account managers, clients or senior management to raise them. Evaluate the commercial impact of proposed changes and prioritise activity according to revenue, profitability, customer experience and operational risk. Develop practical recommendations to improve marketplace performance and clearly communicate the expected commercial benefit to management. Ensure marketplace growth does not come at the expense of account health, fulfilment performance or profitability. Marketplace Health, Compliance & Risk Protect Amazon Account Health, Seller Fulfilled Prime and equivalent marketplace performance standards. Monitor critical KPIs, identify emerging risks and lead corrective action before thresholds are breached. Manage Plans of Action, appeals, policy violations, suppressed listings and other marketplace-performance issues. Maintain a detailed understanding of marketplace policies and proactively identify changes that could affect existing stores, listings or operating processes. Investigate account-health warnings, listing restrictions, intellectual-property complaints, fulfilment-performance issues and other marketplace risks. Personally lead or coordinate responses to serious marketplace issues where revenue or account status is at risk. Ensure corrective actions address the underlying root cause rather than simply resolving individual cases. Establish preventative controls where recurring compliance or performance risks are identified. Escalate material risks to senior management with a clear assessment of the potential commercial impact and recommended action. Operational & Financial Performance Analyse returns, refunds, cancellations, fees and other operational data to identify root causes, financial leakage and improvement opportunities. Investigate abnormal trends in cancellations, late dispatches, refunds, returns, defects, claims, delivery performance and marketplace charges. Identify unnecessary marketplace costs, incorrect fees, operational inefficiencies and processes that are negatively affecting profitability. Work with relevant internal teams to resolve recurring operational problems affecting marketplace performance. Measure the effectiveness of corrective actions and ensure improvements are sustained rather than treated as one-off fixes. Understand the relationship between marketplace KPIs, operational processes and commercial performance and use this understanding to recommend priorities. Marketplace Launches & Expansion Launch and configure new marketplace stores and support expansion into new countries. Manage marketplace configuration, fulfilment, carrier and warehouse changes. Coordinate operational readiness for new client, country and marketplace launches. Take ownership of marketplace launch requirements from initial planning through configuration, testing and go-live. Ensure new stores are commercially and operationally ready before launch, including listings, catalogue structure, pricing, inventory, shipping settings, returns configuration, fulfilment rules, carrier services and relevant compliance requirements. Support expansion across the UK and Europe, taking into account marketplace-specific operational requirements and differences between countries. Identify potential launch risks before go-live and ensure appropriate testing and contingency plans are in place. Conduct post-launch reviews to identify issues quickly and ensure new marketplace operations stabilise successfully. Marketplace Systems, Technical Operations & Integrations Troubleshoot catalogue, order, fulfilment, feed and integration issues, working with internal IT teams and external platforms where required. Manage marketplace configuration, fulfilment, carrier and warehouse changes directly within marketplace platforms where - appropriate. Understand how marketplace platforms interact with internal order-management, inventory, warehouse, carrier and integration systems. Diagnose whether marketplace problems originate from platform configuration, catalogue data, feeds, integrations, warehouse processes, carrier configuration or another operational source. Work effectively with IT and development teams by clearly defining marketplace requirements, expected behaviour and business impact. Support testing and validation following technical changes to ensure marketplace orders, inventory, pricing and fulfilment information continue to flow correctly. Take ownership of marketplace-related i ---------- and coordinate the appropriate internal or external teams until the issue is resolved. Performance Management & Reporting Maintain a clear Red / Amber / Green view of marketplace health and provide concise weekly management reporting covering growth opportunities, risks, recommended actions and financial impact. Develop a clear understanding of what “good” performance looks like for each marketplace and identify deviations before they become significant problems. Provide senior management with concise, decision-focused reporting rather than simply presenting raw marketplace data. Clearly distinguish between issues requiring immediate intervention, emerging risks that need monitoring and longer-term improvement opportunities. Quantify commercial impact wherever reasonably possible, including revenue at risk, potential revenue upside, cost savings or profitability improvements. Track agreed actions through to completion and report whether the expected improvement has been achieved. Use marketplace data to challenge assumptions and support evidence-based commercial and operational decisions. Process Improvement & Scalability Continuously improve processes so the marketplace estate can scale effectively. Identify activities that are overly manual, inconsistent, poorly controlled or difficult to scale and recommend better processes. Develop standard operating procedures, controls and reporting where these will improve consistency across multiple marketplace accounts. Identify opportunities for automation or system improvements and work with technical teams to implement appropriate solutions. Ens
