  • Keep the Controller informed of unresolved issues, proposed adjustments, and deadline risks.

Accounts Payable, Accounts Receivable, and Invoicing

  • Manage assigned AP and AR responsibilities with accuracy and timely follow-through.
  • Review vendor bills for proper coding, supporting documentation, duplicates, and approvals.
  • Reconcile vendor statements and resolve invoice, credit, and payment discrepancies.
  • Prepare payment schedules and support payment processing under established approval procedures.
  • Prepare and review customer invoices, including pricing, terms, classifications, and required details.
  • Record receipts, apply payments correctly, and reconcile customer balances.
  • Review AP and AR aging reports, investigate outstanding balances, and coordinate follow-up.
  • Reconcile billing and operational records to QuickBooks.

Controller Support and Process Improvement

  • Research accounting questions and present clear findings with recommended next steps.
  • Track open items and coordinate with the appropriate team members to resolve them.
  • Maintain organized accounting records and documented procedures.
  • Identify recurring errors, gaps in documentation, and opportunities to improve accounting processes.
  • Follow established internal controls and approval requirements.
  • Handle confidential financial, employee, healthcare, and education-related information with discretion.

Required Experience and Qualifications

  • Five or more years of hands-on accounting experience, including general ledger reconciliations, journal entries, and month-end close.
  • Experience supporting a U.S.-based business.
  • Experience working directly with a Controller, Accounting Manager, Finance Manager, or external accountant.
  • Strong professional proficiency in both QuickBooks Online and QuickBooks Desktop.
  • Solid understanding of accrual accounting and how transactions affect the balance sheet and income statement.
  • Demonstrated ability to independently prepare reconciliations, investigate discrepancies, and recommend appropriate corrections.
  • Practical experience with accounts payable, accounts receivable, and high transaction volumes.
  • Strong Excel skills, including lookup functions, SUMIFS, pivot tables, and comparisons across large datasets.
  • Ability to produce organized, accurate work that is ready for Controller review.
  • Strong written and spoken English, including the ability to explain accounting issues clearly.
