This is a patient-facing position that requires someone who is professional, personable, organized, proactive, and exceptionally comfortable speaking with patients over the phone.
Below is an outline of the responsibilities and qualifications we're looking for.
Primary Responsibilities
1. Incoming Phone Calls & Existing-Patient Scheduling:
Answer incoming calls to our main office phone number using our existing Carolina Digital phone system.
Assist existing patients with scheduling, rescheduling, and canceling appointments.
Schedule appointments directly within ChiroTouch, our electronic health record/practice management software.
Answer routine questions regarding office hours, appointments, and general administrative matters.
Transfer or escalate calls to our in-office team when necessary, particularly for clinical questions, complex billing matters, or situations requiring immediate attention.
Manage voi cemail s, return missed calls, and assist with appointment confirmations and reminders.
2. New-Patient Lead Management & Follow-Up:
We receive new-patient inquiries through Facebook advertising, online marketing, and other sources. We use GoHighLevel (GHL) as our CRM and lead-management platform.
Responsibilities would include:
Promptly contacting new leads by phone and text.
Managing conversations, opportunities, and pipeline stages within GHL.
Following established communication scripts and automated follow-up workflows.
Answering questions about our services and helping prospective patients schedule their initial appointments.
Following up consistently with leads who have not responded or scheduled.
Handling common objections and concerns professionally and confidently.
Scheduling new patients directly into ChiroTouch.
Following up with prospective patients who cancel, miss, or fail to confirm appointments.
Our primary services include chiropractic care, spinal decompression, peripheral neuropathy programs, and red-light therapy. We will provide training on our specific services, offers, and procedures.
3. Patient Retention & Reactivation:
Contact patients who have missed appointments or fallen off their recommended schedule.
Assist with filling cancellations and openings in our schedule.
Reach out to inactive patients as part of organized reactivation campaigns.
Help maintain accurate patient and lead records.
Required Qualifications:
Excellent Spoken English & Telephone Communication
This is one of our highest priorities. The person will frequently be the first voice a patient hears when calling our office.
We need someone who communicates naturally and confidently in English, with excellent comprehension, a warm and friendly personality, and the ability to carry on unscripted conversations.
