About the Role

I run a Meta ads agency in Melbourne, Australia for fashion, beauty and wellness ecommerce brands. Our email s are automated and our cold calls are done by a setter. I need one person to run everything else that touches a prospect: Instagram outreach, replies on every channel, sending the videos I record, and booking calls. You are the voice of my inbox so I can spend the day on sales calls and client accounts.

WHAT YOU’LL DO EVERY DAY (5 hours, 8am to 1pm Manila / 11am to 4pm Melbourne)

Replies first. Every reply from overnight on Instagram or email , answered within the hour from our reply playbook, in my voice. Goal: a yes to a 2-minute video. Anything about pricing detail, results detail, someone wanting a call before the video, or anyone annoyed gets flagged to me with one click. You never guess.
Looms list. By 11am Manila you post the list of people who said yes to a video. I record them. When the links land, you send each one with our message on the same channel the conversation is on, same day.
Bookings. When someone wants to talk, you send the Calendly link, confirm the time, and send the reminder the day before and the morning of. Held calls are what your bonus is paid on.
Instagram DMs. 30 first messages a day from my account through Meta Business Suite (you never get my password), to brands our team has already researched. One specific observation about their ads, no pitch. Logged in our CRM in one click.
Morning import. Each morning you move the approved rows from our Google Sheet into Close CRM (a two-minute CSV import) so the setter has his list by 8:30 Melbourne.
Follow-ups. The CRM shows you who is due a bump. One bump per step, then stop.
End of day: your numbers in the WhatsApp group. Five lines.

Everything you need to send is already written: the playbook, the DM scripts, the Loom message, the booking messages. Your skill is reading a reply, picking the right response, and making it sound like a 20-year-old Australian founder wrote it.

YOU’RE RIGHT FOR THIS IF YOU

Write natural, casual English. Short sentences. Never “I hope this message finds you well.”
Have run a business inbox or DMs before (community management, customer support, appointment setting, social media)
Can hold 20 conversations at once without losing the thread
Are reliable to the hour. Replies within 60 minutes during your shift is the standard
Know when to stop and ask instead of improvising
Have a quiet place to work, stable internet, and can commit to the hours above every weekday

TOOLS AND ACCESS WE PROVIDE

Meta Business Suite access to the Instagram inbox, a mailbox that sends as our main address, Close CRM, Calendly, the full playbook, a one-hour screen-share on day one, and a five-minute check-in every morning.

PAY

$4/hour for a one-week paid trial, $5/hour after
Paid weekly via Wise, every Friday
Plus $30 for every call you book that actually happens, and $100 for every one that becomes a client
A normal month: around $500 base + $300 to $600 in bonuses
13th month pay after 12 months

LONG TERM

You’ll be the first person on the outreach team. When we add a second account and a second setter, you run the inbox for both, and the pay goes with it.

HOW TO APPLY (15 minutes, both parts required)

A brand owner replies to our first message with: “Thanks, but we’ve already got an agency.” Write the reply you’d send. Casual, Australian, under 40 words, aiming for a yes to a 2-minute video. For reference, this is how I write: “Hey Ezgi, noticed your ads send people to your Instagram instead of the store. Been following Kombak for a bit, the recent stuff on the grid has gone hard.”
A 90-second Loom or voice recording: who you are, and what you’d do first if you logged in to find 6 new replies and 30 DMs to send.

Put the subject line of your application as: OUTREACH VA + your reply from part 1. Applications without both parts won’t be read. If your reply sounds like a customer service desk, it’s a no. If it sounds like a person, we’ll talk this week.
