1. About Our Company
Asset Recovery Agents of America LLC is a growing United States-based surplus funds recovery company.
Our business specializes in locating individuals who may be entitled to surplus funds remaining after foreclosure sales.
We work with a team of virtual assistants who contact potential clients and heirs to help identify individuals who may be entitled to these funds.
We are looking for an experienced, reliable, and knowledgeable GoHighLevel CRM Manager who can help us repair, configure, organize, and maintain our existing CRM system.
This position offers flexible working hours, long-term employment potential, and additional earnings through our company's 5% net-profit bonus program.
We are a small company with plans for continued growth, and we are looking for someone who wants to grow with us.
2. Initial CRM Evaluation and Setup – First Week
Our immediate priority is to get our existing GoHighLevel CRM account fully operational.
We currently have one GoHighLevel sub-account through Excess Elite.
We do not intend to purchase multiple sub-accounts for our cold-calling workers.
During the first week, the selected CRM Manager will be responsible for evaluating our existing account and determining whether our requested setup can be accomplished.
We understand that this initial setup may require additional working hours.
We are willing to pay for additional approved hours during the first week to get the CRM properly configured, tested, and operational.
Your initial responsibilities will include:
1. Review our existing GoHighLevel account and identify problems with current settings, workflows, and automations.
2. Repair or modify existing automations as necessary.
3. Configure three individual cold-calling VA accounts within our one existing sub-account.
4. Set up one dedicated business phone number for each cold-calling VA.
5. Configure automatic equal lead distribution among the three workers.
6. Create separate calling queues so each VA can work independently.
7. Expand our existing three-round calling process into five rounds.
8. Configure approved automated text and email campaigns.
9. Evaluate and adjust our existing follow-up automation.
10. Test the system to confirm that everything operates correctly.
Please identify any technical limitations, additional subscription costs, phone number charges, or usage fees before making changes.
Do not delete existing workflows or make major account changes without approval.
Our goal is to complete the initial setup within the first week, if technically feasible.
Once the system has been tested and approved, the position will transition into the regular part-time schedule.
3. Three Cold-Calling VAs – One CRM Sub-Account
Our company has three cold-calling VAs who need to work independently within the same GoHighLevel sub-account.
Each worker should have:
- Their own CRM login.
- Their own dedicated business phone number.
- Their own assigned leads.
- Their own calling queue.
- Access to the appropriate client information.
- The ability to complete five calling rounds.
- The ability to document calls, voi cemail s, client responses, and potential cases.
We want each VA's outbound calls to use their assigned phone number.
Incoming calls and client responses should also be routed appropriately whenever possible.
The CRM Manager must evaluate whether the existing GoHighLevel calling system can accomplish these requirements.
4. Automatic Equal Lead Distribution
This is one of our most important requirements.
Our CRM Manager will upload new leads Monday through Friday.
We want the CRM to automatically divide the new leads as equally as possible among our three cold-calling VAs.
For example:
Total Daily Leads| VA 1| VA 2| VA 3
300| 100| 100| 100
600| 200| 200| 200
900| 300| 300| 300
1,200| 400| 400| 400
We believe GoHighLevel's Round Robin assignment feature may accomplish this.
We want the CRM Manager to verify and configure this functionality.
The system should:
- Automatically distribute each new lead batch.
- Keep each VA's leads separated through assigned ownership and calling queues.
- Keep contacts assigned to the same VA throughout the calling rounds.
- Identify and properly handle duplicate contacts.
- Maintain accurate call and follow-up records.
- Avoid unnecessary manual work.
We do not want to manually divide hundreds of leads into three separate spreadsheets every day if the CRM can handle the distribution automatically.
5. Five-Round Cold-Calling and Automation System
Our previous CRM setup included approximately three calling rounds, automated text messages, and weekly follow-up messages.
We want to expand the calling process to five rounds.
Because our daily leads will be divided equally among three workers, each VA will have a smaller list and should be able to spend more time completing additional outreach.
Initial Automated Outreach
At approximately 9:00 a.m. Colorado Mountain Time, we want the CRM to initiate the approved daily outreach campaign for eligible contacts.
This includes:
- One initial automated text message to eligible mobile phone numbers with the necessary consent.
- One initial automated email to eligible contacts with valid email addresses, where permitted.
We only want one initial automated email per new lead campaign.
We do not want repeated automated email s after every calling round.
Five Calling Rounds
Stage| Required Action
Initial Campaign| One approved automated text and one email
Round 1| VA calls assigned leads, followed by an approved text
Round 2| VA calls assigned leads, followed by an approved text
Round 3| VA calls assigned leads, followed by an approved text
Round 4| VA calls assigned leads, followed by an approved text
Round 5| VA calls assigned leads, followed by a final approved text
We want the CRM Manager to determine whether text messages can be triggered after each calling round is actually completed.
Calling rounds must be appropriately spaced and comply with applicable outreach requirements. Five rounds do not necessarily mean five calls to the same contact in one day.
If a number is a landline, the VA should call without attempting to send an automated text.
Automated texts must only be sent where the necessary consent and messaging permissions exist.
If a client responds, opts out, signs a contract, or requests no further contact, the CRM should stop inappropriate or unnecessary automated outreach.
Existing Four-Week Follow-Up System
Our previous CRM setup also included approximately four weeks of follow-up outreach.
We want the CRM Manager to evaluate this existing automation and determine whether it should be retained, modified, or replaced.
Our priority is increasing outreach efficiency without creating duplicate or excessive messages.
6. Power Dialer and Calling Queues
We want each VA to log into GoHighLevel and immediately access their assigned calling queue.
Ideally, the system should allow each worker to:
1. Open their assigned lead list.
2. Begin calling using their dedicated business phone number.
3. Progress efficiently through assigned contacts.
4. Record call outcomes and notes.
5. Identify contacts requiring follow-up.
6. Move through Rounds 1–5 in an organized manner.
The CRM Manager should determine whether our existing system supports this through the Power Dialer or another available feature.
Please explain any limitations before configuring the system.
7. Daily Lead Upload Schedule – Monday Through Friday
Our company receives new foreclosure surplus funds leads through our Excess Elite account Monday through Friday.
These leads typically become available around 5:00 p.m. to 6:00 p.m. Colorado Mountain Time.
However, the exact upload time is not guaranteed.
Sometimes the leads may become available earlier or later.
Because of this, the CRM Manager must have a flexible schedule and be willing to monitor Excess Elite during the Colorado evening or overnight period.
Once the leads become available, you will be responsible for retrieving them and uploading them into GoHighLevel.
Daily Responsibilities
1. Check Excess Elite for newly uploaded leads.
2. Retrieve the latest available lead information.
3. Upload the leads into GoHighLevel.
4. Verify that the information imports correctly.
5. Check for duplicate contacts.
6. Confirm automatic equal distribution among the three VAs.
7. Ensure each worker's calling queue is properly prepared.
8. Verify that approved automated messages are scheduled correctly.
9. Monitor the CRM for errors or technical problems.
10. Ensure the following day's calling campaign is ready.
All new leads must be uploaded, distributed, and ready before 9:00 a.m. Colorado time the following morning.
Weekly Work Schedule
CRM Manager Upload Day| Cold-Calling Day
Monday evening/night| Tuesday, 9 a.m.–5 p.m.
Tuesday evening/night| Wednesday, 9 a.m.–5 p.m.
Wednesday evening/night| Thursday, 9 a.m.–5 p.m.
Thursday evening/night| Friday, 9 a.m.–5 p.m.
Friday evening/night| Saturday, 9 a.m.–5 p.m.
All scheduling will follow Colorado local time, using the America/Denver time zone, including seasonal daylight saving time changes.
Our cold-calling VAs must be able to begin calling immediately at 9:00 a.m. Tuesday through Saturday without waiting for the CRM Manager to finish uploading or assigning leads.
If Excess Elite experiences an unexpected delay or technical problem, the CRM Manager must notify management promptly.
