Xero Bookkeeper for Australian Ecommerce Brand - GST, bank reconciliation, long-term
Confidential employer
Hi! We run a streetwear and hikewear clothing brand selling online. We're
Australian, GST registered, and we run our books in Xero.
We've grown faster than our bookkeeping and we have a backlog of unreconciled
transactions. We want one person to clear it, and then keep it clean every week
so it never happens again.
This is a long-term role, not a one-off cleanup job. The cleanup is just how it
starts.
THE WORK
- Reconcile the bank feeds in Xero, weekly, and keep them at zero.
- Code transactions correctly, including the GST treatment on each one.
- Reconcile our online payouts. Our sales platform and payment processors pay us
out in lump sums that are already net of their fees, so a single deposit
covers many orders minus a fee - that has to be broken out properly, not
matched to one invoice.
- Handle foreign currency. We buy in USD and from overseas suppliers, so there
are FX differences to deal with.
- Chase and file the paperwork - supplier invoices, receipts, anything missing
behind a transaction.
- Keep supplier and customer accounts tidy, flag duplicates and anything that
looks wrong.
- Prepare our GST position each quarter so our accountant can review and lodge.
- Give us a short monthly summary: what's reconciled, what's outstanding, and
anything you weren't sure how to treat.
THE FIRST JOB
Clearing the backlog. That's more hours than the ongoing work, and we'll pay for
them. Tell us roughly how long you'd expect a backlog clean-up to take once you
can see the file - we're not holding you to a number from a job post, we just
want to see how you'd think about it.
WHAT WE NEED FROM YOU (please read this part properly)
- XERO. Not "I can learn it", not QuickBooks only. Say how long you've used it,
how many businesses you've run in it, and whether you're Xero certified.
- EXPERIENCE WITH AUSTRALIAN CLIENTS AND AUSTRALIAN GST. This is the part most
applicants don't have and it's the part that costs us if it's wrong. If you
haven't done AU GST, say so honestly - it isn't an automatic no, but we need
to know before we start, not after.
- ECOMMERCE BOOKKEEPING. Online store, payment processor payouts, fees, refunds,
chargebacks. Service-business bookkeeping only is not the same job.
- You tell us when you're not sure instead of coding it and moving on. A
confident wrong entry is worse to us than a question. We mean this.
- Excellent written English. You'll be writing us summaries we act on.
- Reliable internet, and a quiet private place to work. You'll have access to
our financial records, so we need to know where you're working from.
WHAT WE DON'T NEED
- An accounting firm or an agency. We're hiring one person directly.
- Someone to lodge anything or give us tax advice. Our accountant does that.
You prepare, we review.
- Someone juggling fifteen clients who fits us in. We want regular weekly hours.
HOURS AND PAY
Heavier for the first month while the backlog is cleared, then around 5-8 hours
a week ongoing, long-term. Paid weekly.
$5-7 USD/hour depending on your experience and your Australian/GST background,
reviewed after the first month.
HOW TO APPLY
Start your reply with the word BEACON so we know you read this.
Then send us:
1. How long you've used Xero, how many businesses, and whether you're certified
2. Which Australian clients you've worked with and what you did on their GST
3. We receive one lump payout from our sales platform that is already net of
their fees, covering many orders. How do you reconcile that in Xero? Answer
it properly, in your own words.
4. A supplier invoice arrives from China with no GST on it. How do you code it?
5. What accounting software you've used other than Xero
6. What hours you can work, in your local time, and your time zone
7. Your WhatsApp number
