About the Role

About Us
We are a fast-growing U.S.-based operations company seeking a highly organized, detail-oriented, and experienced Accounting Manager to oversee our daily accounting operations, bookkeeping, payroll processing, financial records, and expense management.

The ideal candidate must have strong bookkeeping experience, a solid understanding of accounting principles, and the ability to maintain accurate financial records while ensuring that all transactions, payments, and reports are properly documented and reconciled.

We are looking for someone who can independently manage our accounting processes, identify discrepancies, maintain financial accuracy, and provide reliable financial information to management.

Key Responsibilities
1. Bookkeeping & Daily Accounting

Maintain accurate and up-to-date financial records and transactions.

Record and categorize company income, expenses, payments, and other financial activities.

Manage accounts payable (AP) and accounts receivable (AR).

Monitor vendor invoices, payments, outstanding balances, and company expenditures.

Ensure all financial transactions are properly documented and recorded.

2. Bank Reconciliation & Financial Auditing

Perform regular bank and credit card reconciliations.

Review financial records and identify discrepancies, duplicate transactions, or irregularities.

Investigate and resolve accounting discrepancies.

Verify the accuracy of financial statements and supporting documents.

Maintain organized records for internal reviews and external audits.

3. Payroll Management

Oversee payroll processing for employees and remote staff.

Verify employee working hours, attendance records, approved adjustments, and payroll calculations.

Ensure accurate and timely payroll preparation and disbursement.

Coordinate with HR and management regarding payroll-related concerns.

4. Claims, Expenses & Vendor Management

Review and process incoming claims, reimbursements, and company expenses.

Monitor vendor payments and ensure proper supporting documentation.

Establish and maintain expense monitoring procedures.

Identify unnecessary expenditures and recommend cost-control measures.

5. Financial Reporting & Month-End Closing

Prepare monthly financial reports, expense summaries, and accounting statements.

Perform monthly and period-end closing procedures.

Reconcile accounts and ensure financial records are complete and accurate.

Provide management with financial updates, cash flow summaries, and budget-related insights.

Ensure all accounting records are properly maintained and readily accessible.

6. Accounting Process Improvement

Develop and maintain organized accounting procedures and documentation.

Identify opportunities to improve bookkeeping and financial workflows.

Ensure consistency, accuracy, confidentiality, and accountability in all financial operations.

Qualifications & Requirements
Minimum of 5 years of professional experience in bookkeeping, accounting, financial management, or auditing.

Previous experience handling U.S.-based company accounts is highly preferred.

Strong understanding of bookkeeping principles, financial statements, accounts payable, accounts receivable, and bank reconciliation.

Experience managing payroll and company expenses.

Proficiency in Microsoft Excel, including formulas, spreadsheets, and financial reporting.

Experience with accounting software such as QuickBooks, Xero, NetSuite, or similar platforms.

CPA license is an advantage but not mandatory.

Strong analytical, organizational, and problem-solving skills.

Excellent attention to detail and ability to identify financial discrepancies.

High level of integrity and ability to handle confidential financial information.

Ability to work independently, manage multiple accounting responsibilities, and meet strict deadlines.

Preferred Qualifications
Experience managing bookkeeping for U.S.-based service or operations companies.

Familiarity with U.S. accounting practices and financial documentation.

Experience overseeing accounting staff or managing an accounting department.

Ability to create financial reports and present findings to executive management.

What We Are Looking For
We need someone who can take ownership of our bookkeeping and accounting operations, not just someone who records transactions.

The successful candidate must be proactive, dependable, highly organized, and capable of maintaining accurate financial records while ensuring that the company's financial activities are properly monitored and controlled.

If you have strong bookkeeping experience, excellent accounting knowledge, and the ability to manage financial operations independently, we would love to hear from you.
