About the Company
We're launching five outpatient behavioral health clinics at the same time, with plans to grow to ten. The clinics are Poppy Rise Behavioral Health in Phoenix, AZ; Nightbloom Rise Recovery in Tucson, AZ; Chamisa Grove Family Counseling in Las Cruces, NM; Yucca Light Behavioral Health in Santa Fe, NM; and Vine Maple Rise Behavioral Health in Portland, OR. Each clinic is its own company under one parent organization, Oakline Ventures LLC. We provide counseling and mental health care and accept Medicaid and commercial insurance. Our partners bring established referral networks in New Mexico and Arizona, so patients will start coming in as soon as each clinic opens.

Meet the Founders
Jamal Hansen is a founder with over 100K followers on Instagram (jamal__hansen) who operates multiple businesses in the tax, finance, insurance, and real estate industries. Anthony Bennett is a founder of over 43 companies in hospitality, real estate, entertainment, and more. Mattie Gaffney is a healthcare entrepreneur with over ---------- followers on Facebook who founded and runs Abloom Health Care and Mindful Minds Counseling, a behavioral health agency in Arizona. This is a real, established team building for the long term, and you'll work with both of them directly.

About the Role
You'll be one of two operations assistants, each assigned to 1 to 2 clinics. You'll report to the founders, Jamal Hansen and Anthony Bennett. You're the person who gets a clinic from paperwork to its first patients, then keeps it running smoothly.
Detail matters more in this role than almost anywhere else. One missed email from an insurance company can push a contract back 60 to 90 days, and that delays care and revenue. We need someone who is extremely organized, checks everything twice, and keeps every deadline without being reminded. If you need constant direction, this isn't the right fit. You will be trained in all the intricacies of the job and role. This role will grow as we expand to ten clinics.

What You'll Own

• Entity Setup and Licensing: Track state business filings, city business licenses, and state clinic licensing applications from submission to approval
• Insurance Credentialing: Prepare and submit applications to insurance companies, follow up until you have signed contracts, and keep provider records up to date
• Medicaid Enrollment: Manage enrollment with Arizona's Medicaid program (AHCCCS), New Mexico's Medicaid program (Turquoise Care), and Oregon's Medicaid program (the Oregon Health Plan)
• Insurance Inbox Monitoring: Check the insurance inbox several times a day, log every message, and answer requests the same day
• Patient Intake and Scheduling: Handle new patient inquiries, confirm insurance coverage, send intake forms, and manage provider calendars
• Billing and Admin Support: Help submit insurance claims, follow up on denied claims, track payments, and handle day-to-day admin
• Website and Listings: Keep clinic websites, online directory listings, and referral partner information current
• Tracking and Reporting: Keep a status tracker for every application and send the founders weekly updates

Who You Are

• Extremely organized and detail-oriented; nothing slips through the cracks
• Fluent, professional English, confident on phone and email with insurance companies, state agencies, and patients
• Calm, kind, and discreet with sensitive patient information
• Independent, coachable, and focused on following systems

Requirements

• Fluent English (non-negotiable)
• 2+ years of US healthcare admin experience, such as credentialing, medical billing, or intake
• Experience with Medicaid or commercial insurance enrollment strongly preferred
• Understanding of HIPAA, the US law that protects patient privacy
• Google Workspace proficiency, plus strong spreadsheet and tracking skills
• Experience with electronic health records software a plus
• Available during US business hours, Mountain and Pacific time
• Reliable internet and a private workspace
