Back-Office Systems Administrator M, W, F 6am-11am
Confidential employer
We're a small remote startup team building and running real e-commerce and web businesses. We're hiring ONE Back-Office Systems Administrator this intake — 12 hours a week, on real accounts from week one. A core part of your role is creating systems and processes, checklists and quality control for others to follow and working with AI to develop back-office and finance work rapidly but to a high quality.
If you've ever spotted a broken process nobody would let you fix, this is the team where fixing it is the actual job.
THE WORK
Audit finance and accounts systems across live businesses. Reconcile the numbers, find what doesn't add up, then fix the process that let it happen. Clean and structure messy data so it's trustworthy. Support client onboarding and day-to-day client support. Write documentation so what you fix stays fixed. You publish your own process and reporting updates too — you won't be handing off to a separate team.
WHO FITS
- You've built or run something real — even small, even if it failed — and can show it
- You've done bookkeeping, ops or finance work and got frustrated nobody would let you fix the underlying process
- You pick up systems and tools without being taught step by step
- Same three days and hours every week, reliably
- You ask a direct question instead of quietly guessing
- Comfortable with AI tools for research, reporting and data cleaning
- Happy to work outside pure audit and finance. We want adaptable generalists, not narrow specialists.
WHO DOESN'T FIT
Not suited to those who need structured training or close supervision to learn new skills. You should be disciplined, resourceful and comfortable taking the initiative to research, experiment and teach yourself. You will have mentors, but not trainers….
-Anyone who spots problems but won't own fixing them.
-Anyone who needs a manager checking in before they start.
-Unreliable availability.
HOURS
Monday, Wednesday, Friday — 6:00am to 11:00am Philippine time.
4 paid hours per day plus a 1-hour unpaid break.
First and last hour compulsory, break flexible in between.
Overtime available on demand.
PAY
₱110 p.h. A paid trial of two weeks, then you start as a permanent contractor at the same rate.
Rate reviewed every 3 months, each review adding up to AUD 50 cents an hour.
LOCATION
Philippines only this intake. Remote work from home.
APPLICATIONS
Open now and read as they arrive. The role closes when it is filled, so applying early is an advantage.
THE TIMELINE — CHECK YOUR AVAILABILITY BEFORE YOU APPLY
Shortlisted applicants' assessment takes an hour or two on each of three days. All times below are Philippine time.
- Applications are read as they arrive. A strong one may be shortlisted straight away.
- Shortlist announced. Everyone hears back either way. If you're in, your Day 1 project arrives and the clock starts.
- Day 1 — your first project (a 24-hour window; about 1-2 hours of work).
- Day 2 — you get a critique of Day 1, rework it, and propose your own improvement sized one to three hours.
- Day 3 — the final project. This one carries the most weight.
Every shortlist assessment day is paid.
- Day 4 or 5 — a short live interview for the candidates still in contention; the hiring decision within a day or two, and successful applicants start straight after.
Each project day is a 24-hour window, not a full day of work — but you need to be free to work inside each one. We may also ask for a short voice call after your first project. Most people won't get one; we use it to talk to strong candidates early, or to sort out a problem fast rather than let it cost you a day. Please be reachable on Telegram across the assessment days.
If your days aren't free, or you can't interview and start on time, this isn't the right time for you. Tell us when you apply that you'd like to be considered for a later opening instead.
WHAT YOU NEED
Good spoken and written English and fast reliable internet — both tested early.
Spellcheckers and grammar tools are expected and fine. Telegram is our team channel.
HOW TO APPLY
1. Create a Google Drive folder and share it with ----------
2. Add your CV, named exactly: FIRSTNAME LASTNAME - CV - Office Administrator (compulsory)
3. In the same folder, create a Google Doc titled: Projects To Review - YOURNAME
List every project you want us to look at and describe each one properly — what it was, what you did, how it turned out. If all you have is a link, that's fine: put the link in this document next to its description. Links on their own are enough. You do not need files or finished samples to apply.
4. Apply at ---------- and paste in your Drive links
5. Email ---------- to confirm — no links in the email , everything goes in the Drive folder. In that email , tell us three things:
- Why you want this job.
- What you most want to learn or explore in your own study.
- Where you'd like to be in three years — a bigger role here, freelance, your own business, anything.
There's no right answer. We ask because we'd rather shape a role around you than fit you into a box. We expect good people to outgrow us — training a replacement and moving up, spinning something new off with us, going freelance, starting their own thing. Tell us what you're aiming at and we'll try to help you get there.
No project to show yet? Apply to our Tech Club instead for mentoring, then come back once you've built something.
Everyone gets reviewed.
