This position requires an individual who can independently manage onboarding activities, train physicians and staff, identify workflow inefficiencies, and ensure consistent and effective utilization of eClinicalWorks across multiple locations.
Key Responsibilities
1. Provider and Staff Onboarding
- Coordinate and manage eClinicalWorks onboarding for newly hired physicians, advanced practice providers, nurses, medical assistants, and administrative staff.
- Configure user accounts, role-based permissions, provider profiles, and appropriate system access in coordination with authorized system administrators.
- Assist with provider scheduling templates, appointment types, clinical documentation templates, and practice-specific workflows.
- Ensure new employees receive appropriate training before independently using the EHR.
- Develop standardized onboarding checklists and training completion requirements.
- Support onboarding of newly acquired or established practices transitioning to eClinicalWorks.
2. eClinicalWorks Training and Education
- Conduct individual and group training sessions for physicians, clinical staff, and administrative personnel.
- Provide comprehensive instruction on eClinicalWorks functionality, including:
- Patient registration and demographics
- Appointment scheduling and provider calendars
- Clinical documentation and progress notes
- Electronic prescribing (eRx)
- Medication reconciliation
- Laboratory and diagnostic imaging orders
- Referral management
- Clinical templates and order sets
- Patient portal and communication workflows
- Billing, charge capture, and practice management
- Task management, telephone encounters, and clinical messaging
- Develop training manuals, quick-reference guides, instructional videos, and competency assessments.
- Provide refresher training following software updates, workflow changes, or identified performance deficiencies.
3. Workflow Development and Optimization
- Evaluate existing clinical and administrative workflows to identify inefficiencies and opportunities for improvement.
- Collaborate with physicians, clinical leadership, and operations teams to standardize workflows across multiple practice locations.
- Assist in developing and optimizing documentation templates, clinical protocols, order sets, and specialty-specific workflows.
- Support improvements in documentation accuracy, charge capture, and revenue cycle processes.
- Recommend system configuration changes to improve operational efficiency and user experience.
- Ensure eClinicalWorks workflows support regulatory requirements and organizational policies.
4. Implementation and System Support
- Participate in new practice implementations, EHR deployments, and system upgrades.
- Assist with practice setup, testing, workflow validation, and go-live readiness.
- Provide hands-on support during implementation and post-go-live stabilization.
- Troubleshoot common user issues involving documentation, scheduling, prescriptions, orders, and other EHR functions.
- Escalate technical problems to eClinicalWorks support or internal IT personnel when appropriate.
- Track reported issues, corrective actions, and resolution status.
- Maintain standardized system configuration and training documentation.
5. Compliance and Quality Assurance
- Train personnel on accurate clinical documentation and proper use of electronic health records.
- Promote compliance with HIPAA, patient confidentiality, and organizational information security requirements.
- Support appropriate documentation, coding, and billing workflows.
- Monitor completion of required onboarding and system competency assessments.
- Identify recurring user errors and implement corrective education.
- Collaborate with clinical leadership to support documentation quality and operational performance.
Required Qualifications
- Minimum 3 years of hands-on experience using eClinicalWorks, preferably in implementation, onboarding, training, or EHR administration.
- Demonstrated experience training physicians, clinical staff, and administrative teams.
- Strong understanding of eClinicalWorks EHR and Practice Management functionality.
- Experience configuring clinical workflows, scheduling templates, provider profiles, and user permissions.
- Knowledge of medical office operations, patient registration, clinical documentation, and billing workflows.
- Ability to troubleshoot application-related issues and communicate effectively with technical support teams.
- Strong organizational, presentation, and interpersonal communication skills.
- Ability to manage multiple projects and onboarding schedules simultaneously.
- Proficiency in developing training materials, standard operating procedures, and competency assessments.
- Ability to work independently in a remote or multisite healthcare environment.
Preferred Qualifications
- Previous experience as an eClinicalWorks Trainer, Implementation Specialist, Application Specialist, or EHR Administrator.
- Formal eClinicalWorks training or certification, if available and applicable.
- Experience supporting multiple medical practices or multispecialty healthcare organizations.
- Familiarity with specialty-specific clinical workflows, including orthopedics, pain management, spine, physical medicine, and outpatient surgery.
- Experience with eClinicalWorks reporting, population health tools, and operational dashboards.
- Knowledge of revenue cycle management, charge capture, and claims workflows.
- Experience supporting EHR conversions, practice acquisitions, or multisite implementations.
- Clinical background as a Registered Nurse, Licensed Vocational Nurse, Medical Assistant, or other healthcare professional is beneficial but not required.
Performance Expectations
The successful candidate will be expected to:
1. Independently coordinate and complete provider and employee EHR onboarding.
2. Deliver effective training that prepares employees to perform assigned responsibilities within eClinicalWorks.
3. Maintain accurate training records and onboarding documentation.
4. Reduce recurring system-related errors through targeted education.
5. Support consistent EHR workflows across all assigned locations.
6. Respond promptly to training requests and application support issues.
7. Identify opportunities to improve provider productivity, clinical documentation, and operational efficiency.
8. Provide regular progress reports regarding onboarding completion, training activities, and outstanding issues.
Ideal Candidate
We are looking for a hands-on eClinicalWorks expert, not simply an individual who has used the software in a clinical or administrative role.
The successful candidate must understand how eClinicalWorks is configured, how physicians and staff use the platform, and how to train personnel to use the system accurately and efficiently.
This role requires exceptional troubleshooting skills, independent problem-solving, and the ability to translate complex EHR functions into clear, practical instructions for healthcare professionals.
Application Requirements
Applicants should submit a current resume highlighting their direct eClinicalWorks experience, including:
- Number of years working with eClinicalWorks.
- Specific eClinicalWorks modules and functionality supported.
- Experience onboarding providers and clinical staff.
- Experience developing and delivering EHR training.
- Number and types of medical practices supported.
- Experience with implementation, system configuration, and workflow optimization.
- Availability, preferred work arrangement, and compensation expectations.
Important: Direct, hands-on eClinicalWorks experience is required. General EHR experience with Epic, Cerner, Athenahealth, or other platforms alone will not satisfy this requirement.
