*About Brookeland Coaching*
Brookeland Coaching is a growing coaching and education business supporting professionals in the visual effects (VFX) industry to design meaningful lives, develop greater financial freedom and create additional income opportunities.
Our philosophy is built around You Are The Asset, the belief that our greatest asset is ourselves: who we are, how we think, what we learn, and the value we create for others.
Our programmes combine personal development, life design, practical business education and community.
We are preparing to expand our educational offerings in 2027, including:
The Income Studio: A coaching programme helping creative professionals develop and grow additional income streams.
Life Design: An eight-week live cohort helping participants clarify what they want from life, develop their personal strategy and create a 90-day implementation plan.
You Are The Asset: An ongoing membership community supporting members with implementation, coaching, accountability, education and connection.
We are looking for our first team member to help turn these plans into well-organised, effective and scalable systems.
*The opportunity*
We are seeking a proactive, creative and highly organised Marketing & Operations Assistant who enjoys helping an ambitious small business grow.
This is not a traditional Virtual Assistant role focused solely on completing assigned administrative tasks.
We want someone who can understand the bigger picture, take ownership of projects, anticipate what needs to happen next and proactively recommend ways to improve the business.
The successful candidate will work closely with the founder to implement marketing campaigns, coordinate launches, maintain business systems, improve workflows and support the growth of our programmes and community.
Initially, the role will involve a combination of hands-on execution, learning the business and establishing effective processes.
Over time, there is an opportunity to take greater ownership of projects, marketing operations and membership delivery as the business grows.
*Key responsibilities*
1. Marketing and content management
Support the planning, organisation and execution of marketing campaigns.
Repurpose the founder's existing content for LinkedIn, Instagram, Facebook , YouTube and other relevant platforms.
Adapt content specifically for each platform rather than simply publishing identical material everywhere.
Create marketing assets, presentation slides, graphics and other visual materials.
Help manage social media publishing and content schedules.
Research and recommend creative opportunities to improve reach, engagement and qualified lead generation.
Support the development and promotion of lead magnets, quizzes, webinars and other campaigns.
Assist with paid advertising campaign preparation, creative assets and performance reporting, with opportunities to develop further expertise in advertising.
2. Project management and launch coordination
Translate the founder's business vision and strategic plans into actionable project timelines.
Work backwards from launch dates to establish milestones, deadlines and deliverables.
Manage marketing calendars, task lists and project progress.
Coordinate preparation for live webinars, course launches and membership activities.
Monitor outstanding tasks and proactively follow up with the founder when decisions, content or approvals are needed.
Identify potential delays or dependencies before they affect launches.
Take responsibility for ensuring agreed projects move forward without requiring constant direction.
An essential part of this role is being comfortable holding the founder accountable to agreed deadlines and priorities.
3. Marketing systems, CRM and automation
Manage and maintain GoHighLevel, including contact records, lead tracking, workflows and email automations.
Help build and manage quiz funnels using ScoreApp and related platforms.
Connect systems using Zapier, native integrations or other appropriate automation tools.
Monitor lead-generation funnels and help identify technical issues or opportunities for improvement.
Explore practical applications of AI tools to automate repetitive tasks and streamline operations.
Review existing software and workflows to identify unnecessary costs, duplicated work and efficiency improvements.
Assist with webinar platform setup, integrations, testing and potential migrations.
4. Data management and reporting
Keep sales, lead-generation and marketing performance data accurate and up to date.
Develop or maintain simple dashboards showing key business performance metrics.
Automate manual data entry wherever practical.
Track campaign performance, lead conversion, booked calls and sales outcomes.
Help identify patterns and recommend improvements based on the data.
Support the collection and organisation of sales-call insights that may inform future marketing activity.
5. Client and membership operations
Support client onboarding administration, including documentation, agreements and access to relevant platforms.
Help prepare and coordinate live programme sessions, workshops and community events.
Assist with membership communications, event scheduling and operational logistics.
Maintain organised member and client information.
Help create smooth and welcoming onboarding experiences.
As the membership grows, contribute ideas and systems that improve member engagement, satisfaction and retention.
6. Executive and administrative support
Help manage action points arising from email s, meetings and business discussions.
Monitor outstanding tasks and ensure important actions are not forgotten.
Coordinate relevant appointments, deadlines and scheduling.
Maintain organised digital files, processes and documentation.
Take ownership of routine administrative tasks so the founder can focus on business strategy, coaching, sales and creative work.
*Essential skills and experience*
We are particularly interested in candidates who can demonstrate:
Proactive initiative: A proven ability to identify what needs doing and take appropriate action without waiting for detailed instructions.
Project management: Experience coordinating multiple projects, organising timelines and ensuring deadlines are met.
Marketing knowledge: Practical experience with digital marketing, content creation, lead generation and campaign execution.
GoHighLevel experience: Confidence working with CRM systems, contacts, pipelines and automations.
Automation skills: Experience with Zapier or comparable tools and a willingness to explore AI-supported workflows.
Creative capability: The ability to produce attractive, effective marketing materials and adapt ideas for different audiences.
Strong communication: Clear written and spoken English, including the confidence to ask questions, offer suggestions and constructively challenge ideas.
Organisation and attention to detail: The ability to manage information, follow through on commitments and maintain accurate records.
Problem-solving: A willingness to investigate solutions independently and present practical recommendations.
Ownership and accountability: Pride in delivering high-quality work and taking responsibility for outcomes.
*Highly desirable experience*
Experience working within a growing coaching, education, online course or membership business.
Experience supporting a business through a period of growth or expansion.
Familiarity with ScoreApp, webinar platforms and online community platforms such as Skool.
Experience with Meta Ads, LinkedIn marketing, YouTube or Google Ads.
Experience using AI tools such as ChatGPT or Claude for business workflows.
Experience designing presentations and marketing graphics.
Experience with content repurposing and email marketing.
Experience maintaining marketing dashboards and performance reports.
We do not expect one person to be an expert in every platform. We place particular value on demonstrated initiative, practical problem-solving skills and the ability to learn new systems quickly.
*Personal qualities and cultural fit*
We are looking for someone who:
Enjoys being part of a growing business rather than working through an endless list of disconnected tasks.
Is naturally proactive, resourceful and curious.
Is comfortable making suggestions and bringing new ideas to the table.
Takes ownership and follows through on commitments.
Enjoys structure, organisation and turning ideas into plans.
Is motivated by helping people and creating meaningful value.
Can work independently while maintaining excellent communication.
Is excited by personal development, learning and continuous improvement.
Values freedom, fulfilment, personal growth and doing meaningful work.
We want a collaborative working relationship where good ideas are welcomed regardless of where they come from.
