About the Role

Part-Time Studio Operations & Bookkeeping Coordinator
Veyebs Design | Remote | 10–15 Hours/Week

Veyebs Design is a boutique interior design studio specializing in residential and commercial interiors in Miami and New York.

We're looking for an experienced, detail-oriented operations professional to help organize and manage the administrative, financial, and procurement sides of our growing studio.

This is not an entry-level virtual assistant role. We're looking for someone who can take initiative, identify inefficiencies, recommend better workflows, and bring structure to an active creative business.

Responsibilities

  • Maintain and improve project budgets, purchasing trackers, and expense records.
  • Assist with QuickBooks categorization, reconciliations, receipt management, and financial reporting.
  • Track vendor orders, invoices, payments, lead times, and deliveries.
  • Follow up with vendors and coordinate outstanding project items.
  • Organize project documentation, schedules, and administrative workflows.
  • Prepare weekly summaries of outstanding tasks, financial discrepancies, and upcoming deadlines.
  • Identify opportunities to streamline studio operations.

Ideal qualifications

  • 3+ years of experience in operations, bookkeeping support, or administrative coordination.
  • Strong QuickBooks Online and Excel/Google Sheets skills.
  • Experience with an interior design, architecture, construction, or procurement business is strongly preferred.
  • Excellent written English and organizational skills.
  • Ability to work independently and proactively solve problems.
  • Comfortable working with a small business owner to establish and improve systems.
  • Availability for some overlap with US Eastern Time.

Position details

  • Remote, with a preference for candidates based in the Philippines.
  • Initially 10–15 hours weekly, with potential to expand.
  • Target compensation: $10–$12/hour, depending on experience.
  • Paid trial period.

To apply

Please submit your resume, your experience with QuickBooks and procurement tracking, and a short response to the following:

"You join a small interior design studio with several active projects, inconsistent purchasing records, and an owner who needs better financial and operational visibility. What would you prioritize in your first two weeks?"
