Have you helped organise conferences, business events, exhibitions or workshops? Are you confident coordinating speakers, sponsors, suppliers and deadlines?

We’re looking for a proactive and highly organised Events Coordinator with hands-on event experience to support STRIVE Conferences, with additional event-related support across The Accommodation Show and iBooked.online.

Our brands work within the accommodation and short-term rental industry, bringing together owners, operators, innovators and industry leaders.

This role focuses on the coordination and follow-through that make events run smoothly. You’ll help keep people informed, information accurate and preparations on track, from early planning through to post-event follow-up.

What You’ll Be Doing

Event Planning & Coordination
Supporting the planning and delivery of conferences and other business events
Maintaining event timelines, checklists, schedules and run sheets
Tracking deadlines, outstanding requirements and follow-up actions
Coordinating venue information, supplier requirements and event logistics
Keeping event programmes and planning documents accurate and up to date
Flagging potential issues early and helping find practical solutions
Supporting the team with last-minute changes as events approach

Speaker, Sponsor & Exhibitor Coordination
Acting as a reliable point of contact for speakers, sponsors, exhibitors and partners
Following up for bios, headshots, logos, presentation files and other required information
Communicating deadlines, schedules and event instructions clearly
Tracking sponsor and exhibitor inclusions to help ensure commitments are delivered
Coordinating presentation requirements and sharing relevant details with the team
Maintaining accurate contact records and communication trackers

Attendee Communications & Registration Support
Responding to attendee enquiries professionally and promptly
Supporting ticketing, registration and attendee communications
Helping prepare event reminders, joining instructions and essential event information
Keeping attendee lists and registration records organised
Supporting ticket campaigns across Pre-Release, Early Bird, General Release and Last-Minute stages
Helping prepare registration lists, name badges and check-in materials when required

Event Materials & Promotional Support
Coordinating the preparation of signage, presentation screens, programmes and other event materials
Checking names, dates, logos, links and event details before materials are published or printed
Working with the design and marketing team on speaker announcements, sponsor promotions and event updates
Making simple updates in Canva when required
Organising event photos, videos and presentation files
Supporting post-event surveys, thank-you communications and follow-up activities

Organisation & Administration
Keeping Asana tasks, spreadsheets and event trackers updated
Organising Google Drive folders and event documents
Maintaining contact and CRM records
Researching venues, suppliers, speakers and potential event partners
Creating and improving event checklists and simple SOPs
Following up consistently so outstanding tasks reach completion

What We’re Looking For
Previous experience organising or supporting events is essential. This could include conferences, exhibitions, corporate events, workshops or similar professional events.
You should be able to explain the events you’ve worked on, what you were responsible for and how you helped deliver them.

You’ll be a strong fit if you:
Understand the preparation and coordination involved before, during and after an event
Can manage several deadlines and keep track of many moving pieces
Communicate confidently with speakers, sponsors, suppliers and attendees
Are comfortable following up politely and persistently
Have a strong eye for detail, especially names, dates, schedules and commitments
Write clear, friendly and professional English
Stay calm when plans change and respond with practical solutions
Take ownership of tasks and follow them through without constant supervision
Ask questions when information is missing or instructions are unclear
Are reliable, responsive and comfortable working remotely
Experience with Google Workspace, Asana, spreadsheets, CRM systems, ticketing platforms and Canva would be an advantage.
Experience in accommodation, hospitality or short-term rentals would be helpful, but is not essential.

What Success Looks Like
Speakers know what they need to submit and when. Sponsors receive clear communication and their agreed inclusions are tracked. Attendees receive accurate information. Event documents are current, and the team can see what is ready, what is outstanding and what needs attention.
We’re looking for someone who understands how events work and enjoys taking ownership of the details that bring them together.

Working Hours
The role will initially be approximately 20 hours per week, with the possibility of increasing over time depending on performance, availability and business needs.
We’ll agree on regular working hours, with some overlap with the Australian business day. During conference periods, priorities and hours may occasionally shift as events approach.

Why Join Us?
You’ll help deliver events that connect people across the accommodation and short-term rental industry.
You’ll work closely with our team, build relationships with speakers and partners, contribute ideas and improve the systems behind our events. As you grow into the role, there will be opportunities to take on more responsibility.

How to Apply
Please send us:
A short introduction about yourself
Details of the events you’ve helped organise, including their type and approximate size
Your availability and preferred hourly rate
Any relevant examples of your work, such as an event checklist, timeline or run sheet, with confidential information removed
