AI Implementation Specialist | Accounting Automation, Xero, QuickBooks, Zoho | Full-Time Remote

We are looking for an experienced AI Implementation Specialist to help an accounting practice review, improve, and automate its internal business processes.

This is a full-time remote role for someone who can understand how a business currently operates, identify where automation can create value, recommend the right technical solution, and then implement it.

We are not looking for someone who simply knows how to use ChatGPT or build basic automations. The right candidate should understand business processes, system architecture, integrations, and how to turn operational problems into practical automation solutions.

ROLE OBJECTIVE

Your primary responsibility will be to assess existing accounting and administrative workflows, identify automation opportunities, and implement solutions that improve efficiency, accuracy, and quality control.

Initial projects may include:

1. EMAIL MANAGEMENT & QUALITY ASSURANCE

• Build a searchable system for reviewing staff email responses
• Make client communication history easier to access
• Support quality checks against relevant tax legislation and internal standards
• Identify ways AI can assist with reviewing and organizing communication

2. BILLING ACCURACY

• Review workflows to ensure completed work is billed correctly
• Identify missed or incomplete billing
• Build automated checks or alerts where appropriate

3. DOCUMENT PROCESSING

• Review documents uploaded by clients to OneDrive
• Automate document classification and processing
• Create required files or records
• Upload and organize information within Zoho
• Reduce repetitive manual document handling

4. INTERNAL ACCOUNTING AUDIT

• Compare Zoho records against invoices and supporting documents
• Identify discrepancies, missing information, or unusual transactions
• Develop systems that automatically flag potential issues for review

5. TAX COMPLIANCE CHECKS

• Assist with automating reviews of working papers
• Compare balance sheet information against tax returns
• Flag discrepancies for human review
• Improve consistency and accuracy across compliance workflows

SYSTEMS & TOOLS

The accounting practice currently works with systems including:

• Zoho
• QuickBooks
• Xero
• OneDrive
• Other accounting and business platforms

You should be comfortable learning and integrating different systems based on business requirements.

REQUIREMENTS

• Proven experience implementing AI, automation, or business process improvement solutions
• Strong understanding of system architecture and workflow design
• Ability to analyze an existing business process and identify automation opportunities
• Experience with APIs, integrations, and connecting multiple software platforms
• Experience with Xero, QuickBooks, Zoho, or similar accounting systems is highly desirable
• Experience working with document automation, data processing, or AI-assisted workflows
• Strong problem-solving and analytical skills
• Good written and spoken English
• Comfortable independently researching and recommending technical solutions
• Proactive, motivated, and self-managing
• Able to take ownership of projects without waiting for detailed instructions at every stage

HIGHLY DESIRABLE

• Experience working with accounting firms, bookkeeping businesses, or financial services
• Experience with AI document processing or extraction
• Experience building internal quality assurance or audit workflows
• Experience with email automation and knowledge management
• Experience with tax or compliance-related systems
• Experience with tools such as n8n, Make, Power Automate, Zapier, or custom API integrations
• Experience using LLM APIs or AI agents within business workflows

• Document the workflow
• Identify additional automation opportunities without waiting to be told what to do

This is not suitable for someone whose experience is limited to simple no-code workflows or basic AI prompting.
