Part-Time Bookkeeper (Xero / QuickBooks + Shopify) for a US E-commerce Company

We run a US-registered e-commerce company with Shopify stores selling direct to consumers. We’re starting with one store and adding more, and we’re building our books from scratch. We use Xero today and may switch to QuickBooks Online. We need a careful, reliable bookkeeper to keep the books accurate month after month.

What you’ll do

Categorize and reconcile transactions in Xero (or QuickBooks Online) from our business bank feed (Slash), weekly
Each month, prepare a journal for each store’s Shopify payouts (sales, fees, refunds) using Shopify’s payout reports, and confirm it matches the bank deposits
Tag income and expenses to the right brand using tracking categories (Xero) or classes (QuickBooks)
Match receipts and invoices to transactions and flag anything missing
Record contractor payments with proper backup
Run a monthly close checklist and produce a profit and loss report per brand
Flag anything unusual: duplicates, wrong-brand charges, unclear items
Possibly later: a one-time cleanup of a prior company’s books, quoted as a separate paid project after you’ve reviewed them

What we need

Hands-on experience with Xero or QuickBooks Online, ideally both (bank reconciliation, bank rules, tracking categories or classes, manual journals)
Shopify or e-commerce bookkeeping experience, especially payouts, refunds, fees, and clearing accounts
Attention to detail and honest communication, including when something looks off
Comfort with US business bookkeeping basics (no tax filing is needed; a US CPA handles that)
Clear written English for updates
Comfortable using AI-assisted review tools (a plus)
Available for a monthly call at around 10pm UTC+8; otherwise your schedule is flexible

Arrangement

Independent contractor, part-time, up to 3 hours per week, billed on actual time. We’ll start lower while we have one store. Please tell us before going over.
Pay: $5 to $8 per hour depending on experience, paid via Wise
Hours reported with a short monthly invoice and task list
Updates in writing via WhatsApp, plus one call a month
You’ll handle sensitive financial data and will sign a confidentiality agreement
Access: limited user role only. No bank login and no payment approval rights. Never share logins.
