Part-Time Bookkeeper / Accounts Assistant - UK Shops | $3/hour
Confidential employer
We operate approximately 10 UK cafes, takeaways and retail shops. We are looking for a reliable part-time Bookkeeper / Accounts Assistant based in the Philippines to maintain accurate records and prepare clear reports.
PAY AND SCHEDULE
USD $3 per hour. Part-time, flexible work. Review each shop's WhatsApp group every three days; daily monitoring is not required. Record each trading day separately, even when processing several days together. Hours will be tracked, with a weekly hours limit agreed before starting. Please state your availability and expected time needed for this workload.
MAIN RESPONSIBILITIES
- Collect Z reports, sales summaries, invoices, receipts and payment updates from the shop WhatsApp groups.
- Record cash, card and delivery-platform sales by shop and trading date.
- Record purchases, expenses, wages and supplier payments, with supporting documents.
- Check totals, prevent duplicate entries and clarify unclear figures with managers.
- Chase missing reports and receipts during each scheduled review.
- Keep each business's records separate and organised.
- Prepare weekly summaries and monthly reports showing sales, costs, draft profit/loss where sufficient information is available, and outstanding items.
- Use Google Sheets or Excel initially; experience with accounting software is welcome.
BANK RECONCILIATION AND ACCOUNTANT HANDOVER - ONE BUSINESS
We will also provide bank statements and supporting records for one business. You will match transactions to sales, invoices, receipts and payments; reconcile the bank accounts; flag unexplained transactions and missing documents; and prepare organised bookkeeping records and an outstanding-items list for our UK accountant's year-end accounts and tax work.
The UK accountant will review the accounts and handle tax submission. This role is bookkeeping and preparation, not independent tax filing. Do not guess missing figures or force accounts to balance. Keep transfers, loans and owner withdrawals separate from sales and operating expenses. Reconcile delivery-platform sales, fees and payouts without counting the same income twice.
REQUIREMENTS
- Practical bookkeeping and bank-reconciliation experience.
- Strong Excel or Google Sheets skills and attention to detail.
- Clear written English and confidence asking managers for missing information.
- UK retail, cafe or restaurant bookkeeping experience preferred.
- Understanding of cash reconciliation, supplier records, delivery-platform fees and the difference between cash movements and profit.
- Confidential handling of business and staff information.
- Reliable internet access and ability to meet agreed reporting deadlines.
HOW TO APPLY
Please start your application with DAYVIEW BOOKKEEPER and answer briefly:
1. What relevant bookkeeping and bank-reconciliation work have you personally done? Mention any UK retail or hospitality experience.
2. Which spreadsheet and accounting tools can you use confidently?
3. Share an existing redacted example of a report or reconciliation you prepared, if you have permission to share it. Do not disclose client data. A walkthrough of permitted existing work is also acceptable.
4. How would you handle a missing Z report, a duplicate receipt and a delivery-platform payout that differs from reported sales?
5. Confirm that USD $3/hour works for you, your earliest start, weekly availability and UK-time overlap. Explain how you would organise a review every three days across approximately 10 shops.
We value accuracy, clear communication and reliable follow-through. No new unpaid work or coding task is required to apply.
