Client Success & Onboarding Manager
Confidential employer
AYARX | Telehealth Provider Network
Position Type: Full-Time
Work Arrangement: Remote
Industry: Telehealth / Healthcare Services / SaaS
About the Role
AYARX is seeking a highly organized, resourceful, and patient Client Success & Onboarding Manager to serve as the primary point of contact for new clients once a sale is closed.
We work with telehealth companies at various stages of growth, from established healthcare brands to early-stage startups launching their first services. Some clients have fully developed systems and workflows, while others need significant guidance in understanding how to launch and operate a telehealth business.
This role requires someone who can confidently take ownership of the client relationship, guide clients through onboarding, coordinate with internal and external teams, and help turn ideas into functional workflows.
Most importantly, we're looking for someone who has the patience to guide inexperienced clients, the stamina to navigate startup environments, and the ability to build strong, mutually beneficial relationships.
Key Responsibilities
1. Client Onboarding & Relationship Management
Serve as the primary point of contact for clients following contract execution.
Welcome new clients, conduct kickoff meetings, and establish clear expectations, timelines, responsibilities, and next steps.
Guide clients through onboarding, whether integrating with a third-party telehealth platform or using their own internal systems.
Maintain regular communication, provide progress updates, and proactively address questions or roadblocks.
Build long-term relationships that promote client satisfaction, retention, and growth.
2. Workflow Development & Implementation
Work with clients to understand their business model, patient journey, treatment offerings, and operational needs.
Help develop and document workflows covering patient intake, provider consultations, prescribing, follow-ups, escalations, and communication.
Coordinate with clinical, operations, technology, and platform teams to ensure workflows are practical and properly implemented.
Identify operational gaps and help clients develop solutions before launch.
Coordinate testing, training, and launch readiness.
3. Client Education & Guidance
Provide hands-on guidance to clients who are new to telehealth or unfamiliar with healthcare operations.
Explain provider network capabilities, general licensing considerations, telehealth workflows, and operational requirements.
Help clients understand the differences between clinical responsibilities, platform responsibilities, and administrative support.
Set realistic expectations while maintaining a supportive, solutions-oriented approach.
Know when to escalate clinical, regulatory, or legal questions to the appropriate professionals rather than independently interpreting requirements.
4. Cross-Functional Coordination
Act as the liaison between clients, AYARX's clinical and operations teams, and external SaaS/platform partners.
Track onboarding milestones, outstanding requirements, deliverables, and launch dates.
Coordinate provider availability, state coverage requirements, platform access, and workflow approvals with the appropriate internal teams.
Ensure smooth handoffs and clear accountability across all parties.
Continue managing client relationships after launch, including troubleshooting, service improvements, and identifying expansion opportunities.
Required Qualifications
Experience in client success, account management, implementation, or onboarding within telehealth, healthcare services, or healthcare SaaS.
Working knowledge of HIPAA, patient privacy, and healthcare data-handling practices.
Familiarity with EMRs/EHRs, telehealth platforms, patient intake systems, and related SaaS tools.
Basic understanding of U.S. provider licensing, state-specific telehealth considerations, and clinical versus non-clinical responsibilities.
Experience developing, documenting, or improving operational workflows and SOPs.
Strong project management, organizational, communication, and problem-solving skills.
Ability to manage multiple client accounts and competing priorities independently.
Comfortable leading meetings, educating clients, and communicating with founders, executives, clinicians, and technical teams.
Preferred Qualifications
Experience working with telehealth startups, digital health companies, or white-label healthcare services.
Familiarity with GLP-1 weight management, hormone therapy, wellness, or other cash-pay telehealth programs.
Experience coordinating integrations or implementations involving multiple vendors and software platforms.
Background in healthcare operations, provider networks, or clinical support services.
The Personality We're Looking For
Technical knowledge is important, but the right temperament is essential.
Our ideal candidate is:
Exceptionally patient: Comfortable answering the same questions repeatedly and guiding clients who may have little understanding of telehealth operations.
Proactive and resourceful: Doesn't wait for clients to figure out what they need. Anticipates problems, identifies gaps, and proposes next steps.
Resilient and adaptable: Thrives in fast-moving startup environments where priorities shift, timelines change, and processes are still being developed.
A natural relationship builder: Knows how to make clients feel supported while maintaining professional boundaries and accountability.
Confident but diplomatic: Can manage demanding personalities, push back when necessary, and communicate limitations without damaging relationships.
Detail-oriented and accountable: Follows through, documents decisions, and ensures nothing falls through the cracks.
A problem solver, not just a messenger: Takes ownership of issues and works toward resolution rather than simply forwarding email s between teams.
What Success Looks Like
New clients experience a structured, organized, and welcoming onboarding process.
Clients clearly understand what AYARX provides, what their platform provides, and what remains their responsibility.
Onboarding milestones and launch timelines are actively managed.
Workflows are documented, tested, and operationally ready before launch.
Clients feel supported without becoming unnecessarily dependent on the team for routine decisions.
Internal teams receive clear, complete requirements with minimal confusion or repeated follow-ups.
Client relationships remain productive, professional, and mutually beneficial beyond the initial launch.
Why Join AYARX?
AYARX supports telehealth businesses across the United States by providing access to a nationwide network of licensed healthcare professionals and clinical infrastructure.
You'll play a central role in helping healthcare brands successfully launch, operate, and scale their services. This is a hands-on position for someone who enjoys building relationships, solving operational challenges, and bringing structure to fast-growing businesses.
We're not looking for someone who simply manages accounts. We're looking for someone who can take a newly signed client, guide them through uncertainty, build their confidence, and turn the relationship into a successful long-term partnership.
