Chief of Staff – Operations, Growth & Marketing
Company: Rentercasa
Location: Remote – Philippines
Schedule: Full-Time | U.S. Eastern Time
Salary: ₱120,000–₱150,000 PHP per month, based on experience and leadership ability
About Rentercasa
Rentercasa is a growing U.S.-based property management company specializing in co-living, room rentals, and residential property management.
We are looking for an experienced Chief of Staff who can help run the business, manage department leaders, improve performance, and drive growth.
This is NOT a Virtual Assistant or administrative position. This is a senior, hands-on leadership role for someone who can manage managers, analyze KPIs, solve problems, improve systems, and turn company goals into execution. You will report directly to the Founder.
Who You Will Manage
- Operations Manager
- Leasing Manager
- Marketing Manager/Specialist
- Collections Manager
- Other team leads as assigned
Your responsibility is to make sure these departments work together and consistently achieve their goals.
Main Responsibilities
Operations & Execution
- Turn company goals into actionable plans.
- Hold managers accountable for deadlines and results.
- Lead weekly management and accountability meetings.
- Monitor departmental KPIs.
- Identify operational problems and implement solutions.
- Coordinate projects involving multiple departments.
- Improve communication between teams.
- Ensure company policies and SOPs are followed.
- Reduce routine operational issues requiring Founder involvement.
Maintain an executive dashboard and provide weekly reporting on performance, missed targets, risks, opportunities, and matters requiring executive decisions.
Co-Living Operations
Oversee performance across the entire co-living lifecycle: Property Onboarding → Room Readiness → Marketing → Lead Generation → Leasing → Move-In → Resident Management → Collections → Retention → Turnover.
Monitor property onboarding, room readiness, occupancy, vacancies, resident onboarding, leasing, collections, delinquency, evictions, maintenance coordination, inspections, room turns, and resident and owner escalations.
Leasing & Occupancy
Work closely with the Leasing Manager to ensure rooms are getting filled. Track occupancy, vacant rooms, days vacant, leads, response times, tours, applications, approvals, move-ins, conversion rates, and leasing-agent productivity. When rooms are sitting vacant, work with Leasing, Marketing, and Operations to identify the cause and implement an immediate action plan.
Marketing Management
Supervise the Marketing Manager/Specialist and ensure marketing generates measurable business results. Oversee property advertising, listing performance, social media, lead-generation campaigns, email and SMS campaigns, referral marketing, local marketing, owner-acquisition campaigns, partnerships, and new marketing channels.
Marketing will be measured by qualified leads, cost per lead, conversions, occupancy generated, owner leads, and marketing ROI—not simply the number of posts created.
Collections & Revenue
Supervise the Collections Manager and monitor collection percentage, delinquency, past-due balances, payment commitments, eviction status, bad debt, and resident payment trends. Ensure collection procedures are consistently followed and financial risks are addressed quickly.
Business Development & Growth
Help grow Rentercasa's management portfolio by developing relationships with property owners, real estate investors, Realtors, brokers, builders, housing organizations, employers, nonprofits, referral partners, and strategic partners.
Maintain a measurable business-development pipeline and track owner leads, sales meetings, proposals, follow-ups, signed management agreements, properties and rooms added, pipeline value, and conversion rates. Assist with new-market expansion, strategic partnerships, portfolio acquisitions, and other growth opportunities.
KPI & Performance Management
Own the company-wide management scorecard. When a KPI is missed: Identify the problem → Determine the cause → Create a corrective action plan → Assign accountability → Follow up → Measure improvement.
You must be comfortable managing a business through numbers and measurable results.
People Leadership
Manage department heads, conduct weekly accountability meetings, review manager scorecards, establish priorities, identify staffing and training needs, address performance problems early, and build a culture of ownership, urgency, communication, and accountability.
Systems, SOPs & Automation
- Create and improve SOPs.
- Document workflows.
- Eliminate unnecessary manual work.
- Identify automation opportunities.
- Use AI to improve efficiency.
- Audit processes.
- Improve reporting and communication.
- Ensure company systems contain accurate information.
Experience with Google Workspace, Rentvine, Follow Up Boss, CRMs, property-management software, project-management systems, and marketing platforms is helpful.
Special Projects
Lead projects involving new-market launches, new service offerings, portfolio acquisitions, technology implementations, operational restructuring, marketing initiatives, strategic partnerships, process improvements, and company expansion.
Who We're Looking For
- Thinks like an operator, not an assistant.
- Comfortable managing managers.
- Takes ownership without constant direction.
- Understands KPIs and dashboards.
- Can analyze numbers and identify problems.
- Can move between strategy and hands-on execution.
- Understands sales, business development, and marketing.
- Can manage multiple departments simultaneously.
- Communicates professionally and clearly.
- Is comfortable challenging underperformance.
- Solves problems instead of simply reporting them.
Preferred Qualifications
- 5+ years of operations, leadership, project management, real estate, property management, hospitality, co-living, or related experience.
- Experience supervising managers or team leaders.
- Experience working with U.S.-based companies.
- Experience managing remote teams.
- Excellent spoken and written English.
- Strong Google Workspace skills.
- Experience with KPIs, dashboards, CRMs, and performance reporting.
- Strong analytical and problem-solving skills.
- Property management or real estate experience strongly preferred.
What Success Looks Like
Within your first 90 days, we expect you to establish clear departmental KPIs, implement a company-wide management scorecard, establish weekly manager accountability meetings, improve visibility into occupancy and financial performance, identify operational bottlenecks, strengthen cross-department communication, improve owner service, and build a measurable business-development pipeline.
Ultimately, success means: Rooms are getting filled. Collections are performing. Managers are accountable. Owners receive excellent service. Marketing produces measurable results. The portfolio is growing. Problems are solved quickly. The Founder can focus on strategy and expansion.
Compensation
₱120,000–₱150,000 PHP per month
Final compensation will be based on experience, demonstrated leadership ability, and qualifications. This is a full-time, long-term position working primarily during U.S. Eastern Time business hours.
How to Apply
1. Submit your resume.
2. Provide a brief explanation of your experience managing teams or managers.
3. Provide an example of a KPI or scorecard you have previously managed.
4. Describe a business or operational problem you identified and solved.
5. Submit a 1–2 minute introduction video explaining who you are, your leadership experience, your experience managing managers or departments, and why you would be an excellent Chief of Staff for Rentercasa.
Applications without the requested information and introduction video may not be considered.
