This is a remote position for someone who can work during Eastern Standard Time business hours, communicate clearly and professionally, and take ownership of assigned tasks while receiving guidance and review from management or a senior estimating team member when needed.

About Natural Elements Painting & Repair
Natural Elements Painting & Repair is a U.S.-based commercial and residential painting, repair, and waterproofing company serving North Central Florida. We are known for delivering reliable service, high-quality work, clear communication, and strong client relationships.
Our team values service, respect, learning, ownership, and health. We are looking for someone who takes pride in accurate work, follows through on commitments, asks good questions, and wants to grow with a team that values accountability and continuous improvement.

Key Responsibilities
Work under the direction of the Senior Plan Estimator.. Begin with smaller, less complex projects and complete work for review before taking on more complex assignments.
Follow the work calendar for bid deadlines, takeoffs, proposals, follow-ups, training, and review meetings. Communicate promptly about questions, conflicts, or deadlines at risk.
Track assigned bids, deadlines, addenda, estimate status, and proposal follow-ups in NEPR’s Estimate Tracking List. Create and organize project folders for assigned bids.
Review plans, specifications, bid forms, and addenda and identify scope of work first before doing takeoffs using the Scope Review Checklist each project.
Prepare Takeoffs and draft estimates, scope notes, exclusions, clarifications, alternates, and proposal information for review
Make estimate revisions based on internal feedback, client updates, addenda, pricing changes, or scope changes
Maintain organized estimate files, plan documents, proposal versions, notes, bid correspondence, and supporting documentation
Follow up on submitted commercial estimates and proposals
Communicate professionally with prospects, clients, general contractors, property managers, builders, vendors, and internal team members
Update Pipedrive and other required systems after client interactions and follow-up activity
Escalate unclear, complex, high-value, or margin-sensitive items to management before proposals are finalized
Participate in estimate reviews, pipeline reviews, sales meetings, and training as assigned
Follow company documentation, communication, cybersecurity, password, device, and confidentiality procedures

What We’re Looking For
Demonstrate understanding of estimating fundamentals, including reviewing project documents, identifying scope, completing takeoffs, and documenting assumptions and exclusions.
Strong critical-thinking skills: able to compare plans, specifications, bid forms, and addenda; notice gaps or conflicts; and ask relevant questions instead of making unsupported assumptions.
Clear, concise, and professional written and spoken English for communicating with GCs, sales representatives, and the internal team; explaining estimate questions; and following up on assigned bids.
Confidence in conducting professional follow-ups and representing NEPR accurately, without making commitments or changing scope without approval.
Ability to research unfamiliar paint, coating, or sealant products using manufacturer specifications and technical data, contact product representatives when needed, and clearly summarize findings for review.
Careful work habits, openness to feedback, and willingness to learn NEPR’s estimating methods, product standards, software, and review process.
Prior estimating, takeoff, painting, construction-document, or construction-product research experience is preferred. Candidates should demonstrate their estimating knowledge through the interview and work sample.
Ability to track follow-ups, bid activity, sales outcomes, and gross margin performance
Willingness to comply with company cybersecurity, password, device, and IT security requirements
Reliable internet service and an updated computer capable of supporting estimating software, online bid platforms, video meetings, and company communication systems

Full time, hourly position

By around 90 days, can manage routine small-to-medium bids with increasing independence, from tracking and document review through takeoff, draft estimate, proposal preparation, and follow-up. Estimates and proposals remain subject to required review.
Completes assigned work on schedule and keeps bid deadlines, addenda, proposal status, follow-up dates, and next steps current in the Estimate Tracking List and calendar.
Keeps project folders, estimate files, proposal versions, notes, assumptions, and supporting documents organized and easy to review.
