Purchasing & Invoicing Specialist

Job Summary

We are looking for a detail-oriented Purchasing and Invoice Coordinator with direct experience performing similar duties for a U.S.-based client, preferably in the restaurant or food service industry. The role involves managing purchasing records, verifying supplier invoices, tracking orders and deliveries, and coordinating with restaurant staff and suppliers to ensure accurate documentation.

Key Responsibilities:

• Review and verify supplier invoices, purchase orders, and delivery receipts.
• Monitor orders and follow up with suppliers regarding delivery status and discrepancies.
• Coordinate with restaurant staff to verify received items and quantities.
• Maintain accurate purchasing, invoicing, and receiving records.
• Track missing, damaged, or incorrect items and coordinate necessary adjustments.
• Monitor inventory levels and identify replenishment needs.
• Update purchasing trackers and internal systems.
• Communicate with suppliers, restaurant managers, and internal teams regarding purchasing concerns.
• Organize and maintain digital records of invoices, receipts, and purchase orders.

Qualifications

• Required: Direct experience in a similar purchasing, invoice coordination, or receiving role for a U.S.-based client.
• Restaurant or food service industry experience is highly preferred.
• Strong attention to detail and organizational skills.
• Proficient in spreadsheets, email , and online tracking systems.
• Excellent communication and follow-up skills.
• Able to work independently in a remote environment.
