We are looking for a highly organised and detail-focused H7S Administrator to support our QHSE team, helping to ensure reports are reviewed promptly, actions are followed up and records are accurately maintained.

This is an administrative support role, with a strong focus on data accuracy, communication and ensuring that actions are completed within the required timescales.

About the Role

Working closely with the Head of QHSE, you will be responsible for maintaining accurate records within our reporting systems, coordinating follow-up actions and ensuring that outstanding items are progressed through to closure.

You will play an important role in keeping records up to date, chasing outstanding information and ensuring that the right people are assigned responsibility for investigating and resolving issues.

Key Responsibilities

  • Review and quality-check all new reports within one working day, following up with reporters where further information or photographs are required.

  • Monitor outstanding actions and proactively follow up with managers to ensure progress is made.
  • Escalate overdue actions to the Head of QHSE where necessary.
  • Maintain accurate and up-to-date records in Ask Alfred, including record statuses, closure evidence and days to close.
  • Ensure reporters are informed when actions relating to their reports have been closed.
  • Support the migration of open records from Optimise into Ask Alfred.
  • Handle personal and confidential information appropriately, following company procedures and data protection requirements.

About You

You will be a proactive and methodical administrator who takes pride in maintaining accurate records and ensuring nothing gets missed. You will be comfortable following up with colleagues, chasing outstanding actions and escalating issues when required.

You should be confident working independently in a remote environment, managing your workload and communicating clearly with colleagues across the UK.

Essential Requirements

  • At least two years' experience in an administrative, data management or compliance support role.
  • Strong attention to detail, with a high level of accuracy when entering and maintaining data.
  • Clear written English and the ability to communicate professionally.
  • Confident using Microsoft 365 and online systems or case management platforms.
  • A persistent but polite approach to chasing information and outstanding actions.
  • Experience handling confidential information and personal data appropriately.
  • Good organisational skills and the ability to manage multiple tasks and deadlines.
  • A reliable, self-motivated approach to working remotely and independently.

Desirable Experience

  • Previous experience in health and safety, facilities management or logistics administration.
  • An IOSH Managing Safely qualification or a Level 2 Health and Safety qualification.
  • An understanding of UK health and safety reporting requirements, including RIDDOR.

Working Hours

This is a fully remote offshore position based in the Philippines, working 37.5 hours per week, Monday to Friday, in line with UK working hours.

Why Join SBFM?

  • Fully remote working.
  • The opportunity to support a key business function within a growing UK facilities management company.
  • The chance to develop your experience in compliance administration and QHSE support.
  • The opportunity to work with a collaborative team and contribute to improving processes and record management.
