About the Role

Remote Office Operations & Payroll Coordinator — US Home Improvement Company (Philippines-based, Long-term)

Remote · Full-time · Pacific Time (California) hours

We're a growing home improvement company in California with multiple licensed contractor brands and a lead-generation operation. We're hiring one highly organized person based in the Philippines to run our back office remotely — the person who keeps every job, payment, and document moving and makes sure nothing slips through the cracks.

This is a long-term position, not a project or short contract. We want someone who will grow with the company.

Responsibilities

  • Payroll — collect and verify time sheets, submit hours to our payroll company every two weeks, and communicate any changes
  • Time sheets — track worker hours and keep them accurate and ready for each pay period
  • Payroll company — be the main point of contact with our outside payroll provider
  • Onboarding — set up new hires and make sure all employee paperwork is complete
  • Invoices — track incoming vendor and material invoices, log every payment, and run our weekly invoice cycle
  • Deposits — record and track client deposits and payments on every job
  • Material orders — place and track material orders and get approvals when needed
  • Permits and inspections — pull permits, schedule inspections, and follow each one through to sign-off
  • Job progression — keep every active job updated in our CRM so the team always knows where things stand
  • DocuSign — prepare, send, and track contracts and documents; review signed packets for completeness
  • EXP / insurance — handle workers' comp and insurance reporting, audits, and communication with our insurance agent
  • Google Drive — keep job folders and company files organized and current
  • * *Email s and WhatsApp** — manage company inboxes and keep group chats with reps, crews, and vendors organized and answered

Requirements

  • Extremely organized — you think two steps ahead and build systems so things don't fall apart
  • Solid understanding of payroll; familiarity with California labor law is a strong plus
  • Must know DocuSign (sending, templates, tracking signatures)
  • Strong Google Sheets skills and comfortable working inside a CRM
  • Experience managing invoices and vendor payments
  • Fluent English, written and spoken
  • Available during California business hours (Pacific Time)
  • Reliable high-speed internet, your own computer, and a quiet workspace
  • Experience with a construction, home improvement, or US-based company is a plus

What we offer

  • Stable, long-term role with a growing company
  • Paid in USD, on time, every two weeks
  • Direct access to ownership — your work shapes how the company runs

To apply: Send your resume and a short note describing your experience with payroll, invoices, and DocuSign to [email ]. Please include your available hours in Pacific Time.
