About the Role

PART-TIME E-COMMERCE LISTINGS & SYSTEMS ADMIN
Catalog, Listings & Systems | Part-time, 10 to 20 hours a week | Remote (some overlap with US business hours) | Reports to Operations Lead

ABOUT LUX & NYX
Lux & Nyx designs architectural handbags for professional women who refuse to choose between style and function. Featured in Forbes, Refinery29, NPR, and Marie Claire. We sell on our own Shopify site, Amazon, Nordstrom, Best Buy, Macy's, Belk, and Kohl's, and to corporate gifting buyers through ESP, SAGE, and rewards platforms like Stark. Remote-first team led by founder Lisa Hu. We move fast. We build systems that compound. We hire people who can think and ship.

THE ROLE
You'll own the accuracy of every product we sell, everywhere we sell it. One bag in one color lives on nine channels, each with its own template, rules, and error reports. You keep one master product sheet as the source of truth, push every launch, price change, and update out to every channel from it, and check each week that what's live matches what's true.

You'll also keep our systems in order: who has access to which tool, which subscriptions we pay for, and how each process is written down. This role is quiet, precise work. Nobody notices it when it's done right. Everybody notices a wrong price on Nordstrom.

WHAT YOU'LL OWN

Catalog and listings
1. Master product sheet: build and keep one source of truth for every SKU: UPC, dimensions, weight, materials, colors, image links, and units per master carton. Every channel template is filled from it. If a number isn't on file, you go get it from the right person. You never estimate it.
2. Launches and new colors: set up each new product on every channel from the master sheet, in each channel's template, and follow it through until it is live and correct.
3. Weekly listing health check: sweep every channel for suppressed or stranded Amazon listings, rejected marketplace uploads, retailer portal errors, broken variations, and feed errors. Fix what you can, escalate what you can't, and log both.
4. Price and promo updates: apply price and promo changes across every channel at once, and confirm no channel undercuts another or shows a price we didn't approve.
5. Corporate gifting and rewards catalogs (ESP, SAGE, Stark): keep quantity price breaks, imprint areas, decoration options, setup charges, and production times current and matched to the prices our sales team quotes. For Stark and our other rewards catalogs, maintain the Excel management file each partner receives: available-to-sell (ATS) quantity and image links for every SKU, checked against live stock and sent every month.
6. Images and UPCs: size and name images to each channel's specs, assign UPCs, and keep the UPC log.
7. Discontinued items: retire discontinued SKUs and colors on every channel, not just some.
8. Open tickets, followed until they clear: open cases with Amazon Seller Support, retailer portals, and marketplace support, and keep every open ticket in one log with its date opened, status, and next step. Follow up on each one every week until it is resolved and confirmed fixed on the live channel. Escalate anything open more than 2 weeks.

Systems admin
9. Onboarding and offboarding: keep an access list of which tools each role needs. Create accounts on a new teammate's first day, and remove every access on their last day.
10. Subscription tracker: keep a list of every tool and app we pay for, its cost, renewal date, and who uses it. Flag renewals 30 days ahead and anything nobody is using.
11. Integration checks: confirm every week that Shopify is syncing stock and listings to every channel, and fix or escalate any sync error the same day. Catch Shopify app failures before they affect orders.
12. Tool documentation: keep a current map of our systems and a how-to guide for every recurring task, so no process lives in one person's head.

Back-end admin
13. Files and folders: keep our Drive organized and files named to our conventions.
14. Weekly channel report: pull a simple sales-by-channel report every week.
15. Retailer documents: upload compliance documents, certificates, and product specs to retailer vendor portals when requested.

WHAT WE'RE LOOKING FOR
1. You catch what others miss. A wrong UPC, a price off by a dollar, a color named two different ways. You find it before it goes live, every time. That's the #1 thing.
2. 2+ years managing product listings for a brand or seller, with hands-on Amazon flat-file uploads and fixing suppressed or stranded listings.
3. Strong spreadsheet skills: VLOOKUP or INDEX-MATCH, filters, data validation, and cleaning messy product data into a template.
4. A builder. When a process was never written down, you write it down, get it checked, and make it the standard.
5. Clear written English. You'll write support cases, how-to guides, and updates to the team.
6. Steady in async, remote, founder-led work, with a few hours of overlap with US business hours each week.
7. Here for the long haul: someone who wants to own this work and get great at it.

A strong plus:
1. Mirakl marketplace experience (uploads and fixing rejected products).
2. ESP or SAGE supplier catalog experience: quantity price breaks, imprint and decoration data.
3. Nordstrom or other retailer vendor portals.
4. Google Merchant Center or Meta catalog feeds.
5. Google Workspace or Slack admin: adding and removing users.

WHAT SEPARATES GREAT FROM GOOD
1. Checks the live listing after the upload, not just that the upload went through.
2. Fixes the master sheet first, then the channel, so the same error never comes back.
3. Notices a channel that quietly stopped syncing before a customer does.
4. Removes a departing teammate's access the same day, without being reminded.
5. Writes the how-to the first time they do a task, not the fifth.

HOW WE MEASURE SUCCESS
Targets calibrate quarterly. These are the outcomes you'll be measured on:

  • Listing accuracy: zero live errors (price, spec, image, UPC) on any channel
  • Health check: every channel checked every week; every issue logged with an owner
  • Rewards catalog files: every ATS and image-link file sent monthly, on time, matching live stock
  • Open tickets: every ticket followed up weekly; none open past 2 weeks without escalation
  • Launch speed: new products and colors live on every channel within 5 business days of approval
  • Price changes: live on every channel within 2 business days, with no mismatch between channels
  • Access control: new accounts ready on day one; all access removed on a teammate's last day
  • Master sheet: every active SKU complete, including units per master carton
  • SOP coverage: every recurring task documented

SCHEDULE AND PAY
Part-time and flexible. About 10 hours a week of steady work (health checks, sync checks, access and admin), rising to as many as 20 hours in launch and batch weeks. Paid hourly with a monthly cap agreed in advance. You set your own hours, with a few hours of overlap with US business hours each week for questions.

Competitive pay tied to experience. Remote-first culture with intentional async work.

HOW WE WORK TOGETHER
1. Weekly check-in with Michelle (operations), your manager: what launched, what's broken, what's stuck, what's next.
2. Day-to-day coordination with our Operations Coordinator and warehouse team on product data, cartons, and stock.
3. Async-first via Slack: decisions documented, same-day response on blockers.

HOW TO APPLY
Start your application with the word LINEN. Then, in three sentences, tell us about a listing upload that was rejected or went live wrong: what the error was, how you found it, and what you changed so it didn't happen again. Then attach your resume. Applications that skip either step won't be read.

That one line is deliberate. This role is about catching the small detail everyone else skims past, and this is where we see it first.

ABOUT THE TEAM
We're a remote-first team. We run on weekly syncs, regular 1:1s, and quarterly goal-setting. We lead before we're asked. We think from the customer's perspective. We grow with intention. We think deeply before we act. If that's how you work too, we'd love to meet you.
