About the Role

Project Manager: Rehabs & Complex Maintenance

Real Property Management Sunshine City | Pinellas County, FL | Full Time

About Us

Real Property Management Sunshine City is an owner-operated property management company serving about 300 residential doors across Pinellas County. We are a tight team of 8 that takes pride in fast response, clear communication, and protecting our owners' investments.

The Role

We are looking for a highly organized Project Manager to own every maintenance issue that goes beyond a routine work order. These are the jobs that take days or weeks to resolve and involve multiple vendors, significant owner dollars, and careful resident communication: sewer line failures, full AC system replacements, cosmetic and full rehabs, recurring pest infestations, water intrusion, and rent-ready turns on newly onboarded properties.

This is a high-intensity role. You will manage many projects at once, each with its own timeline, budget, vendors, and stakeholders. If you are a maintenance coordinator who is ready to move from dispatching work orders to running projects from start to finish, this is your next step.

What You Will Do

Project Scoping and Estimating

Walk properties (in person or with vendors) and document conditions with photos and notes
Write clear, detailed Scopes of Work (SOWs) that vendors can bid on accurately
Break large projects into phases with realistic timelines

Vendor Bidding and Selection

Solicit competitive bids (typically 2 to 3 per project) from qualified, licensed, and insured vendors
Compare bids line by line and present recommendations to owners with a clear summary
Negotiate pricing, timelines, and warranty terms
Grow and maintain a reliable vendor network across trades

Job Assignment and Payment Management

Issue approved work to vendors with defined scopes, deadlines, and deliverables
Set up payment schedules tied to milestones (deposit, progress, completion)
Verify work is completed to scope before approving payments
Track project budgets against approved estimates and flag overages early

Project Oversight

Keep every project moving: schedule vendors, confirm access, coordinate permits and inspections when required
Conduct or arrange quality control inspections at key milestones and at completion
Manage resident communication during disruptive work (access, timelines, temporary accommodations when needed)
Maintain organized project records in our property management software: photos, SOWs, bids, invoices, lien waivers, and warranties

New Owner Onboarding

Inspect newly onboarded properties and identify what is needed to make them rent ready
Build the rent-ready scope and budget, present it to the owner, and manage it to completion
Hand off market-ready properties to leasing on schedule

Communication

Hold regular phone calls with owners to review scopes, bids, progress, and budgets
Provide proactive updates so owners are never left wondering where their project stands
Report weekly to company ownership on active projects, timelines, and budget status
Who You Are

A maintenance coordinator (or similar) who wants to take your career to the next level
Extremely organized. You track dozens of moving parts and nothing falls through the cracks
Calm and decisive under pressure when a sewer line breaks on a Friday afternoon
Confident on the phone with owners, residents, and vendors
Comfortable pushing back on a vendor's pricing or holding them to a deadline
Detail oriented in both writing and follow-through
Requirements

2+ years of experience in property maintenance coordination, construction, facilities, or a related field
Strong working knowledge of residential systems: plumbing, HVAC, electrical, roofing, and general construction
Excellent written and spoken English. You will write scopes, owner updates, and vendor communications daily
Proficient with AI tools such as ChatGPT or Claude for drafting scopes, summarizing bids, writing owner updates, and organizing project plans

Comfortable with property management software, spreadsheets, and email /calendar tools
Valid driver's license and reliable transportation for property visits across Pinellas County
Ability to handle frequent, sometimes difficult phone conversations with a professional tone
Nice to Have

Experience with Florida permitting and inspections
Familiarity with insurance claims (water damage, storm damage)
Existing relationships with local contractors and trades
Experience with AppFolio, Rent Manager, or similar platforms
What Success Looks Like

Projects completed on time and within approved budgets
Rent-ready turns that get properties to market quickly after onboarding

Owners who trust your recommendations and approve scopes with confidence
Clean, complete project files that anyone on the team could pick up
A dependable vendor bench that shows up and does quality work

Compensation and Schedule
7-10 per hour depending on experience
Monday to Friday, with availability for urgent issues as needed
