Accounts Receivable Specialist - Direct hire
Confidential employer
Two things before you apply:
1. You must be able to work a U.S. Central Time (CST/CDT) schedule.
2. You must have real accounts receivable or accounting experience.
About the Role
We are a growing U.S.-based outsourced accounting firm looking for a sharp, dependable Accounts Receivable Specialist to manage invoicing, payment application, collections, and outstanding customer balances across a portfolio of U.S. clients.
This is not a basic data-entry position. You will be responsible for keeping client receivables accurate, ensuring invoices are issued on time, following up on overdue payments, and identifying billing or payment issues before they become bigger problems.
You will communicate directly with U.S. clients and their customers, so strong written and spoken English, professionalism, and sound accounting judgment are essential.
We are looking for someone who takes ownership of their work, follows through without constant reminders, and understands that accurate receivables and timely collections directly affect our clients’ cash flow.
What You’ll Own
Invoicing and Billing
- Prepare and issue accurate customer invoices on schedule.
- Review billing information for completeness and accuracy before invoices are sent.
- Verify customer details, billing rates, supporting documentation, and applicable adjustments.
- Process credit memos and invoice corrections when authorized.
- Follow up on missing billing information and resolve discrepancies with clients.
- Maintain organized records of invoices and supporting documentation.
Cash Receipts and Payment Application
- Record customer payments accurately and promptly.
- Apply ACH, check, wire, and credit card payments to the correct customer invoices.
- Identify unapplied cash, short payments, overpayments, and duplicate payments.
- Research payment discrepancies and coordinate resolutions with clients.
- Reconcile customer account balances and investigate differences between accounting records and supporting reports.
Collections and AR Management
- Monitor outstanding invoices and maintain an accurate accounts receivable aging report.
- Conduct timely, professional follow-ups on overdue invoices.
- Communicate with customers regarding payment status, billing questions, and outstanding balances.
- Document collection activities, promised payment dates, and unresolved issues.
- Escalate seriously overdue accounts, disputed invoices, and collection risks promptly.
- Identify recurring late-payment patterns and recommend appropriate next steps.
- Help maintain consistent collection procedures across the client portfolio.
Reporting and Client Support
- Prepare regular AR aging, outstanding invoice, and collection status reports.
- Keep customer accounts accurate and up to date in the applicable accounting systems.
- Research and resolve discrepancies between customer records, invoices, payments, and accounting reports.
- Communicate clearly with U.S.-based clients regarding billing and collection issues.
- Meet recurring deadlines and maintain accurate documentation across multiple client accounts.
- Flag unusual transactions, potential errors, and control issues rather than making unsupported assumptions.
What We’re Looking For
- At least 2 years of hands-on accounts receivable, accounting, or billing and collections experience.
- Practical knowledge of the full AR cycle, including invoicing, cash application, aging reports, and collections.
- Experience with accounting software, preferably QuickBooks Online.
- Strong Excel or Google Sheets skills.
- Excellent written and spoken English, with the ability to communicate professionally with U.S. clients.
- Strong attention to detail and the ability to investigate discrepancies independently.
- Excellent organization and time-management skills when managing multiple clients and competing deadlines.
- A proactive mindset: you identify problems, follow up, and see issues through to resolution.
- Reliable internet connection, a suitable remote-work environment, and the ability to work a U.S. Central Time schedule.
- High standards for confidentiality, accuracy, and professional integrity.
Preferred qualifications:
- Experience working for a U.S.-based accounting firm, bookkeeping firm, or BPO accounting team.
- Experience managing receivables for multiple clients or businesses simultaneously.
- Familiarity with Syncore or similar accounting and workflow platforms.
- Experience with customer payment portals, AR automation tools, and collection tracking systems.
What We Offer
- Stable, full-time, long-term remote employment.
- Direct exposure to U.S. clients and real-world accounting operations.
- A collaborative team environment with clear processes and opportunities to learn.
- Training and professional development.
- Performance-based compensation reviews that recognize accuracy, accountability, and consistent results.
- Opportunities for career growth as our organization expands.
Work Schedule and Compensation
- Location: Remote, Philippines
- Employment: Full-time
- Schedule: Monday–Friday, aligned with U.S. Central Time business hours, including the applicable daylight saving time changes
