About the Role

Accounts Payable Specialist (Remote — Philippines)

Two things before you apply:

1. You must be able to work a U.S. Central Time (CST/CDT) schedule.
2. You must have real accounts payable or accounting experience.

About the Role

We are a growing U.S.-based outsourced accounting firm looking for a sharp, dependable Accounts Payable Specialist to manage vendor bills, payment processing, vendor reconciliations, and AP records across a portfolio of U.S. clients.

This is not a basic data-entry position. You will be responsible for making sure bills are accurately coded, recorded in the correct accounting period, supported by proper documentation, and paid according to established schedules and client approval procedures.

You will work directly with U.S.-based clients, vendors, and internal team members. We need someone who communicates clearly, follows through on outstanding items, protects client funds, and understands the importance of accurate financial records and timely payments.

We value people who take ownership of their work, exercise sound judgment, and flag discrepancies or potential problems instead of making assumptions or allowing issues to go unresolved.

What You’ll Own

Vendor Bills and Invoice Processing

  • Receive, review, and process vendor invoices across multiple client accounts.
  • Verify invoice details, vendor information, amounts, supporting documentation, and payment terms.
  • Code invoices to the correct general ledger accounts, jobs, departments, or expense categories.
  • Ensure bills are recorded in the appropriate accounting period.
  • Identify duplicate invoices, incorrect charges, missing documentation, and other discrepancies before posting.
  • Follow up with clients and vendors to obtain missing invoices, receipts, approvals, and supporting information.
  • Maintain organized and complete digital records of invoices and related documentation.

Vendor Reconciliations and Issue Resolution

  • Reconcile vendor statements against recorded bills, credits, and payments.
  • Investigate discrepancies between vendor statements and accounting system balances.
  • Research missing bills, unapplied credits, duplicate charges, and payment differences.
  • Communicate professionally with vendors and clients to resolve outstanding issues.
  • Track unresolved discrepancies and follow up until they are resolved.
  • Maintain accurate vendor records and support documentation.

Payment Processing

  • Prepare payment runs according to established schedules, payment terms, and client procedures.
  • Process approved payments through checks, ACH, and wire transfers, as authorized.
  • Verify payment details and supporting documentation before processing payments.
  • Confirm that invoices have the appropriate approvals before they are included in payment runs.
  • Identify duplicate payments, unusual payment requests, and potential fraud indicators.
  • Maintain accurate payment records and ensure payments are applied to the correct vendor bills.
  • Communicate upcoming payment deadlines, cash requirements, and urgent payment issues to the appropriate client contact.
  • Escalate exceptions rather than bypassing approval procedures.

Job Costing and Accounting Accuracy

  • Ensure job completion entries and related AP information are recorded accurately.
  • Verify that expenses are assigned to the correct jobs, projects, or cost categories when applicable.
  • Research discrepancies between vendor bills, job records, and accounting entries.
  • Correct errors through approved accounting procedures and maintain appropriate supporting documentation.
  • Help keep AP records current and accurate in preparation for month-end close.

Reporting and Client Support

  • Maintain accurate AP aging reports and lists of outstanding vendor bills.
  • Identify upcoming due dates, overdue bills, and invoices requiring client action.
  • Provide clear updates on payment status and unresolved vendor issues.
  • Support month-end AP reviews by ensuring invoices, credits, and payments are recorded correctly.
  • Manage competing deadlines across multiple client accounts.
  • Communicate proactively when information is missing or a deadline is at risk.
  • Follow established workflows and document completed work consistently.

What We’re Looking For

  • At least 2 years of hands-on accounts payable, accounting, or bookkeeping experience.
  • Practical knowledge of the full AP cycle, including invoice processing, general ledger coding, vendor reconciliations, and payment preparation.
  • Experience with accounting software, preferably QuickBooks Online.
  • Strong Excel or Google Sheets skills.
  • Excellent written and spoken English, with the ability to communicate professionally with U.S. clients and vendors.
  • Strong attention to detail and the ability to investigate and resolve discrepancies independently.
  • Excellent organizational skills and the ability to manage multiple client accounts and deadlines.
  • A high level of integrity and respect for financial controls, payment approvals, and confidential information.
  • A proactive mindset and the ability to follow through without constant supervision.
  • Reliable internet access and a suitable remote-work environment.
  • Ability to consistently work a U.S. Central Time schedule, including applicable daylight saving time changes.

Preferred qualifications:

  • Experience supporting a U.S.-based accounting firm, bookkeeping firm, or BPO accounting team.
  • Experience managing AP for multiple businesses simultaneously.
  • Familiarity with Syncore or similar accounting and workflow platforms.
  • Experience with job costing, project-based accounting, or businesses with inventory and operational expenses.
  • Familiarity with ACH, wire transfers, vendor payment portals, and electronic payment controls.

What We Offer

  • Stable, full-time, long-term remote employment.
  • Direct exposure to U.S. clients and real-world accounting operations.
  • A collaborative team environment with clear processes and opportunities to learn.
  • Training and professional development opportunities.
  • Performance-based compensation reviews that recognize accuracy, accountability, and consistent results.
  • Career growth opportunities as our organization expands.

Work Schedule and Compensation

  • Location: Remote, Philippines
  • Employment: Full-time
  • Schedule: Monday–Friday, aligned with U.S. Central Time business hours, including applicable daylight saving time changes.
  • Monthly salary: depending on experience and qualifications.

How to Apply

To be considered, please include your resume and a link to a short video answering the following questions:

1. What are the two most important qualities of an effective accounts payable specialist, and why?
2. You are managing AP for several clients. Multiple invoices are due, one vendor statement does not match the accounting records, and a client has not approved a payment. How would you prioritize and handle these situations?
3. Tell us about a real accounting or AP discrepancy you encountered. How did you investigate it, resolve it, and prevent it from happening again?

Include links to both your video and your resume in your cover letter.

We are looking for someone who wants to build a long-term career, takes pride in accurate work, communicates proactively, and can be trusted to manage responsibilities independently.

Please apply only if you have relevant hands-on experience and can consistently work the required U.S. Central Time schedule.
