Financial & Operations Controller + Cash Collection + Bookkeeper

About the role

We are an international luxury fashion company shipping collections from China to the EU, USA and Asia through a 3PL partner. We are looking for a Financial & Operations Controller to take control of our cash collection, shipment tracking and payment administration. This is a 6-month bridge position, with the possibility of extension.

All of our operational and financial tracking runs in Google Sheets. You will own that system.

Responsibilities

•. Collect outstanding balances on past seasons

• Collect deposits for the upcoming season
• Track all inbound and outbound shipments through the 3PL
• Give direct instructions to the 3PL and monitor execution
• Follow up with our warehouse contact on deliveries
• Prepare and track payments to the 3PL, suppliers and vendors
• Reconcile customer payments against orders and invoices
• Build and maintain our Xero environment
• Help design the structure that will take over when the 6-month period ends

Requirements

• Proven experience in the fashion or apparel industry, including seasonal collections and deposits
• Solid knowledge of Xero, logistics and 3PL operations, including how goods move from China to the EU, USA and Asia
• Experience in accounts receivable, accounts payable and payment follow-up
• Advanced Xero, Google Sheets skills: QUERY, ARRAYFORMULA, XLOOKUP, IMPORTRANGE, dashboards and automation (Apps Script is an advantage)
• Dashboards that work reliably on iPhone and iPad
• Assertive communicator, comfortable negotiating with suppliers, customers and logistics partners
• Strong attention to detail and a careful approach to company funds
• Excellent written and spoken English

Preferred

• Experience with Xero, Shopify, and ERP systems (such as Uphance)
• Experience with luxury or high-fashion brands

Travel
Travel to Hong Kong is required twice a year, 10 days per trip, with all expenses covered. Occasional trips to Paris, Los Angeles and New York are possible but not mandatory.

Working conditions

• Full-time
• Monthly compensation in USD + bonus !!!
• 6-month contract with the possibility of extension
