We are looking for an experienced, detail-oriented, and proactive Bookkeeping Lead to oversee bookkeeping operations, maintain the accuracy of financial records, and ensure consistent, reliable financial processes across the organization.
In this role, you’ll take ownership of the bookkeeping workflow, oversee the review and reconciliation of financial transactions, monitor the quality of bookkeeping work, and help ensure that financial records are accurate, complete, and properly documented. You’ll also coordinate with bookkeeping staff, address discrepancies, establish clear procedures, and identify opportunities to improve efficiency and accountability.

This is a hands-on leadership position for someone who combines strong bookkeeping and accounting knowledge with excellent organizational, analytical, and team coordination skills. We’re looking for someone who can manage daily priorities, identify issues before they become larger problems, and ensure that bookkeeping tasks are completed accurately and on time.

Key Responsibilities

Bookkeeping Operations & Financial Oversight

  • Oversee day-to-day bookkeeping activities, including transaction recording, expense tracking, accounts payable, accounts receivable, and financial record maintenance.
  • Ensure financial transactions are properly categorized, accurately recorded, and assigned to the correct accounts and reporting periods.
  • Oversee bank reconciliations, credit card reconciliations, payment records, and other assigned account reconciliations.
  • Review bookkeeping entries, invoices, receipts, expense reports, and supporting documentation for completeness and accuracy.
  • Monitor outstanding transactions, unreconciled balances, missing documentation, and other items requiring follow-up.
  • Ensure bookkeeping tasks are completed according to established procedures, deadlines, and quality standards.
  • Maintain organized financial records and ensure supporting documentation is readily available for review.

Team Leadership & Workflow Management

  • Coordinate and oversee the daily workload of bookkeeping staff to ensure tasks are completed accurately and on schedule.
  • Assign responsibilities, establish priorities, and monitor progress across bookkeeping activities.
  • Review completed work and provide guidance when corrections or additional documentation are required.
  • Support team members in resolving complex bookkeeping issues and understanding proper accounting procedures.
  • Establish clear expectations for accuracy, productivity, documentation, and accountability.
  • Identify training needs and help team members strengthen their bookkeeping knowledge and technical skills.
  • Communicate workflow priorities, outstanding issues, and operational updates to management.
  • Promote a culture of ownership, attention to detail, continuous improvement, and reliable follow-through.

Financial Review, Auditing & Quality Control

  • Conduct or oversee periodic reviews of bookkeeping records to verify accuracy, completeness, and consistency.
  • Identify duplicate transactions, incorrect classifications, missing entries, mathematical errors, and unsupported expenses.
  • Investigate discrepancies by tracing transactions to bank statements, invoices, receipts, payment confirmations, and other source documents.
  • Ensure identified errors are corrected appropriately and that adjustments are supported by adequate documentation.
  • Monitor recurring bookkeeping errors and implement measures to reduce repeat issues.
  • Maintain review checklists, quality-control procedures, and documentation standards.
  • Verify that previously identified discrepancies and audit findings have been resolved.
  • Escalate significant financial irregularities, unresolved discrepancies, or potential control weaknesses to management.

Reconciliation & Month-End Close Coordination

  • Oversee the completion and review of bank, credit card, and other account reconciliations.
  • Monitor unreconciled transactions and ensure differences are investigated and documented.
  • Coordinate month-end and period-end bookkeeping activities to support accurate financial reporting.
  • Review account balances and supporting schedules for unusual fluctuations or inconsistencies.
  • Ensure outstanding transactions, adjustments, and reconciliation items are tracked through resolution.
  • Coordinate with relevant team members to obtain missing information and resolve discrepancies before reporting deadlines.
  • Help ensure financial records are complete and ready for management review or external accounting support.

Process Improvement & Internal Controls

  • Develop, document, and maintain standardized bookkeeping procedures and workflows.
  • Identify bottlenecks, repetitive tasks, and process gaps that affect accuracy or productivity.
  • Recommend improvements to transaction processing, reconciliation procedures, documentation practices, and reporting workflows.
  • Strengthen internal controls to support proper documentation, authorization, and traceability of financial transactions.
  • Improve tracking systems and reporting methods to provide better visibility into task completion, outstanding issues, and team performance.
  • Help implement accounting software features, spreadsheet tools, and automation opportunities that reduce manual work and prevent errors.
  • Monitor the effectiveness of implemented improvements and adjust procedures when necessary.

Reporting & Management Communication

  • Prepare regular bookkeeping status reports covering completed work, outstanding reconciliations, unresolved discrepancies, and upcoming deadlines.
  • Provide management with visibility into bookkeeping accuracy, workflow performance, recurring errors, and operational concerns.
  • Maintain documentation of financial reviews, corrective actions, and process improvements.
  • Track key performance indicators such as reconciliation completion, error rates, overdue tasks, and outstanding items.
  • Communicate material discrepancies and operational risks promptly.
  • Support management with reliable financial records and organized documentation for decision-making.

Confidentiality & Professional Standards

  • Maintain strict confidentiality when handling financial records, banking information, payroll-related information, and sensitive business data.
  • Ensure team members follow established privacy, security, and financial documentation procedures.
  • Maintain appropriate access controls and follow authorization requirements for financial adjustments.
  • Promote accuracy, integrity, transparency, and accountability across bookkeeping operations.
  • Ensure financial corrections and adjustments are properly supported, documented, and approved when required.
