In this role, you’ll compare financial records across different sources, verify that transactions match, investigate discrepancies, and ensure that outstanding differences are properly documented and resolved. You’ll play an important role in maintaining reliable financial information and helping the team identify missing transactions, duplicate entries, incorrect amounts, and other inconsistencies.

This position is ideal for someone who enjoys working with numbers, is comfortable investigating discrepancies, and takes pride in ensuring that every transaction is accounted for. We’re looking for someone who is methodical, dependable, and persistent when resolving financial issues.

Key Responsibilities

  • Compare deposits, withdrawals, transfers, fees, and other banking activity with recorded transactions.
  • Reconcile business bank accounts, credit card accounts, payment processor balances, and other assigned financial accounts.
  • Verify that transactions are recorded in the correct accounts and accounting periods.
  • Identify outstanding checks, deposits in transit, unrecorded bank fees, duplicate entries, and other timing or recording differences.
  • Ensure reconciliation schedules are completed accurately and within established deadlines.
  • Maintain supporting documentation for completed reconciliations and account balances.

Transaction Matching & Verification

  • Match receipts, invoices, payment confirmations, bank transactions, and bookkeeping entries.
  • Verify that recorded payments correspond to the correct invoices, clients, vendors, or accounts.
  • Review incoming payments, outgoing payments, refunds, transfers, and adjustments for accuracy.
  • Identify missing, duplicated, misclassified, or incorrectly recorded transactions.
  • Investigate transactions that cannot be matched immediately and determine what additional information is needed.
  • Ensure financial transactions are properly categorized and supported by appropriate documentation.

Discrepancy Investigation & Resolution

  • Investigate differences between bank statements, accounting software, payment records, and internal financial reports.
  • Trace discrepancies to their source by reviewing transaction histories and supporting documents.
  • Communicate with relevant team members to clarify unclear transactions or obtain missing records.
  • Prepare proposed adjustments or corrections in accordance with established procedures and approval requirements.
  • Track unresolved discrepancies and follow up until they are resolved or appropriately escalated.
  • Maintain clear notes explaining the cause of discrepancies and the steps taken to address them.
  • Identify recurring reconciliation problems and recommend ways to prevent them.

Financial Record Maintenance & Reporting

  • Maintain organized and up-to-date reconciliation schedules, transaction logs, and supporting documentation.
  • Prepare reconciliation summaries that highlight matched transactions, outstanding items, and unresolved differences.
  • Assist with month-end and period-end closing activities by ensuring assigned accounts are reconciled.
  • Keep accurate records of completed reconciliations, adjustments, and outstanding items.
  • Help ensure financial records are complete and ready for review by management or the accounting team.
  • Maintain a clear audit trail for transactions, corrections, and reconciliation decisions.

Process Improvement & Internal Coordination

  • Follow established reconciliation procedures and internal financial controls.
  • Identify opportunities to improve transaction matching, documentation, and reconciliation workflows.
  • Help reduce recurring errors and delays through consistent follow-up and accurate recordkeeping.
  • Coordinate with bookkeeping, accounting, operations, and administrative team members to resolve financial questions.
  • Recommend improvements to spreadsheets, reporting templates, and reconciliation tracking systems.
  • Support consistent and timely financial reporting by ensuring reconciliations are completed and documented properly.

Confidentiality & Professionalism

  • Handle bank statements, payment information, financial records, and other sensitive data with discretion.
  • Follow established confidentiality, security, and financial documentation procedures.
  • Maintain accuracy and objectivity when reviewing transactions.
  • Obtain appropriate authorization before making adjustments or changing financial records.
  • Communicate unresolved issues promptly and maintain accountability for assigned reconciliations.
