Agency Project Manager (ClickUp Focus)- Remote Philippines
Confidential employer
We are a Sydney-based creative agency looking for a highly organised Agency Project Manager to coordinate delivery across client service, creative, social, influencer, digital and production.
This role is for someone who can create order quickly and keep work moving. You will turn briefs, meetings and conversations into clear project plans, follow actions through to completion and make sure the team knows what is due, what is missing, what is blocked and what needs a decision.
You will own the day-to-day coordination of agreed projects, from brief and kickoff through to delivery and wrap-up. Success means reliable project visibility, fewer missed handovers and less chasing by senior team members.
You will work closely with our Head of Client Service & Operations, Senior Account Directors and creative team. The Head of Client Service & Operations will be your primary escalation point for competing priorities and delivery issues. Account leads will retain responsibility for client relationships, strategy and commercial decisions, and creative leads will retain responsibility for creative quality and approval.
RESPONSIBILITIES
- Build and manage ClickUp project plans from agreed briefs, with clear deliverables, named owners, realistic deadlines, milestones, dependencies and approval steps.
- Check that briefs and handovers contain the information needed to start work, and follow up on missing information before it causes delays.
- Keep ClickUp as the agreed source of delivery status. Capture actions and decisions from Slack, meetings and campaign documents, with links to the relevant files.
- Prepare and coordinate internal work-in-progress meetings, record decisions and follow actions through to completion.
- Follow up professionally and persistently with team members, including senior staff, on agreed commitments.
- Track assets, feedback, revisions and approvals. Check that deliverables are complete, use the correct versions and specifications, and have the required approvals recorded.
- Coordinate handovers between account service, creative, social, influencer, digital, production and external suppliers where required.
- Identify competing deadlines and check team availability before confirming timings. Flag capacity constraints to the operations lead.
- Flag scope changes, extra deliverables and additional revision rounds to the account lead before they become unplanned work.
- Escalate risks and blockers early, explaining the impact, the decision needed and your recommended next step.
- Prepare concise weekly status updates showing milestones, owners, risks and decisions required. Escalate urgent issues as they arise.
- Coordinate launch-readiness checks and post-campaign wrap-up, including final assets, outstanding actions and handover to reporting or finance owners.
- Improve practical ClickUp templates, views, dashboards and workflows so they are consistent and useful for the team.
ABOUT YOU
- You have experience managing multiple projects in a creative agency, marketing team or similar delivery environment.
- You can turn messy information into a clear, workable plan and keep that plan current.
- You are proactive and comfortable asking questions, following up with senior people and escalating problems respectfully.
- You understand campaign timelines, creative production, approvals, dependencies and handovers.
- You can distinguish a status update from a problem that needs a decision, and suggest a practical next step.
- You have hands-on ClickUp experience, including setting up and maintaining project plans, templates, views or dashboards.
- You write clearly and professionally in English and have strong attention to detail without becoming slow.
- You can work independently while staying closely connected to an Australian team.
TOOLS
ClickUp, Slack and Google Workspace, including Google Sheets and Google Slides.
Familiarity with Canva or Adobe production workflows is useful but not essential.
The focus of this role is project coordination and delivery. Specialist team members will handle paid media buying, social media management, creator sourcing, design and strategy.
WORKING ARRANGEMENT
- Remote role based in the Philippines.
- Full-time, 38 hours per week.
- USD $1,300-$1,900 per month, depending on experience.
- Regular weekday overlap with Australia/Sydney business hours is required. A consistent working schedule will be agreed before starting, taking Sydney daylight saving into account.
HOW TO APPLY
Please include:
1. A brief example of a campaign or project that started slipping: what was going wrong, what you personally did and what happened.
