About the Role

YOU BUILD SYSTEMS. THEY KEEP HIRING YOU AS A VA

You've inherited a GHL account that was marked "finished." Then the first real lead came through and proved it wasn't.

You've been given a ticket that said "fix the workflow," with no account history, no test lead, and nobody who could tell you what it was supposed to do in the first place.

You've done the free trial task, sent the Loom, and never heard back.

You've fixed the last person's broken trigger and been blamed a week later when something else they built fell over.

If none of that sounds familiar, this job isn't for you. Genuinely, stop reading.

If it does, keep going.

HERE'S THE JOB

FullyScale is a US marketing agency. We run Meta ads that bring first-time-homebuyer leads to mortgage teams, and every client runs on GoHighLevel. We have roughly ten client sub-accounts at different stages of migration. Some need a final cleanup. Some need real rebuilding. We need one specialist to sort that queue, finish it, test it, and document it.

It runs on a method, not a queue.

First, you audit. You go through every account, label what's actually left as ready to close, small, medium, complex, or blocked, then list every missing asset and dependency, and give a real estimate. That audit is five paid hours, and it happens before any build work starts.

Then, you work through approved blocks. Every client gets a written task, an hour cap, and an acceptance checklist. You know what "done" means before you start, and it doesn't move once you have.

Then we close the loop. You test against the checklist, document what changed, and hand back an account cleaner than the one you inherited. Defects in accepted work are covered by a 30-day warranty. That's on us to have scoped it properly, not on you to eat.

Then the seat is yours. When the backlog is closed, this doesn't end. Every new client we onboard gets a sub-account look-over from you within 24 hours, before their ads go live, not after. And the small edits and fixes that come up across ten-plus live accounts come to you, on a monthly retainer, with a same-business-day response during your shift.

And once you know the accounts, we want your judgment. Repeat manual work, fragile automation, a handoff that shouldn't exist. Bring us a short list. You won't build anything without approval. You will be expected to notice, and to explain the value.

WHY THIS ROLE EXISTS, HONESTLY

We grew the client list faster than we finished the systems behind it. Ten accounts sit somewhere between started and done, and nobody on our team has the hours to close them properly. And we keep signing clients. Each one needs a real set of eyes on their sub-account before ads go live, and nobody has the hours for that either. That's the whole reason. It's a backlog and a standing need, not a rescue.

WHAT WE'RE NOT

We're not a $4-an-hour VA post. The rate is $10 to $14 USD an hour, set at the paid test. It's stated up front and paid in USD.

We don't run free tests. The technical test is paid: about three hours. The audit is paid: five hours. If we ask for your time, we pay for your time.

We won't move the goalposts. Task, cap, and checklist, all in writing before you start. If the scope changes, the cap changes first, in writing.

We won't hand you a broken account and blame you for it. You audit before you touch anything. What you find is what you're paid to fix, not what you're accused of.

We're not a ticket queue. We're small. You go directly to the founder. There's no project manager between you and the decision.

We're not a one-and-done project. The backlog is how you start. The retainer is how you stay. When the migration is accepted, you move to a fixed monthly block of hours for new-client reviews and small fixes, and every client we sign is work for you.

THE DETAILS

  • Independent contractor, remote, based in the Philippines
  • 9pm to 5am Philippine time during the migration phase. That's the US Eastern business day, and it's the entire reason the role works. It's a real commitment. We'd rather you decline now than burn out in month two. On the retainer the hours drop but the window stays, because "same day" means the US business day
  • $10 to $14 USD per hour depending on demonstrated depth, set at the paid test, paid in USD
  • Part-time during migration. First block capped at 80 hours. Further work is approved in writing before it starts
  • After the migration: a standing monthly retainer: a fixed block of hours at your rate, eight to ten a month as a baseline and more when we're onboarding, for new-client sub-account reviews within 24 hours and small fixes across live accounts. Work beyond the block is approved first and billed at the same rate
  • If this becomes a durable full-time systems role, you'd be first in line for that conversation. That's a possibility, not a promise

WHAT YOU NEED

  • 2+ years of hands-on GoHighLevel work in an agency or for multiple clients
  • Real builds across at least five client sub-accounts, not one personal account and not a course
  • A portfolio you can screen-share and explain the decisions behind
  • The instinct to find why a workflow broke, not just rebuild it from a checklist
  • The discipline to turn a 24-hour review around in 24 hours, tested rather than eyeballed
  • Daily use of Claude, ChatGPT, or another LLM for real technical work, and you can show it live
  • English good enough to document a build so the next person doesn't have to guess
  • Reliable internet and power. Tell us your backup.

Meta CAPI, Make, n8n, Zapier, webhooks: useful, not required. Mortgage or real estate: a bonus, not required. We'll teach you the industry. We can't teach you how to find the missing trigger.

TO APPLY, TWO THINGS

1. A 1-3 minute video. Walk us through one GHL build or repair you're proud of. What was broken or needed, what you personally changed, how you tested it, and what you'd improve now. Phone camera is fine. We're listening to how you think, not your production quality.

Record it with Loom, or upload it to Google Drive or YouTube (unlisted), then set the sharing so anyone with the link can view it and paste the link into the application question below. If we can't open it, we can't review you.

2. Your CV.

Applications without the video don't get read. This is a technical communication role, and we need to hear how you explain a system.

What happens next: we review your video and portfolio, run one recorded technical interview, then invite the strongest candidates to the paid test. Start to finish, about a week. We move fast, and we'll be direct if it's not a fit.

PS. Our selfish reason, stated plainly: ten client systems are half-migrated, and the longer they sit that way the more it costs us. If you close that queue properly, the retainer is yours, every new client we sign is work for you, and you're the first person we talk to when this becomes a full-time seat. That's the deal.

Application Question(s):

Answer Yes or No: Do you have 2+ years of hands-on GoHighLevel experience in an agency or multi-client environment?
Answer Yes or No: Have you personally built, migrated, or maintained at least five client sub-accounts? If yes, name the number and describe the most complex one.
Schedule gate: during the migration phase, can you work roughly 9pm to 5am Philippine time (US Eastern business hours)? Answer Yes or No and note any constraints, including your internet and power backup.
Describe one GHL workflow bug you found that nobody assigned you. What was causing it, and how did you test the fix?
Paste a working link to your 1-3 minute video explaining one GoHighLevel build or repair, including what you changed and how you tested it. Loom, Google Drive, or YouTube (unlisted) - make sure anyone with the link can view it.
