About the Role

ABOUT US
Prime & Ledger CPAs is a US CPA firm (Arkansas) serving small businesses nationwide - especially restaurants, salons and their owners. The firm is led by a CPA with Big Four and large-corporate tax experience. We prepare individual, partnership, S corporation and C corporation returns, plus FICA tip credit (IRC Section 45B) amended returns.

We work differently from most firms: we built our own tax preparation software ("P&L") that imports last year's return, bulk-imports client data, computes the return, and reconciles it against Drake Tax before filing. You will be trained on it. We want someone who wants to work accurately and efficiently with good tools - not someone who wants to key every number by hand.

SCHEDULE AND PAY

  • Part-time (about 4 hours/day) year-round, moving to full-time (8 hours/day) January 15 - April 30 and August 15 - October 15.
  • $7 - $10 per hour depending on experience and test results (about $600 - $900/month part-time; $1,200 - $1,800/month full-time in season). Raises for accuracy and turnaround.
  • Flexible hours, but you must overlap at least 4 hours daily with US Central Time (e.g., 8:00 AM - 12:00 PM CT = 9:00 PM - 1:00 AM Philippine time).

WHAT YOU WILL DO

  • Import prior-year returns into our software and verify every extracted line and carryforward (capital loss, passive loss, QBI, Section 179, NOL).
  • Organize client documents and bulk-import W-2s, 1099s, K-1s, 1098s, trial balances and payroll data.
  • Prepare Forms 1040 (Schedules A, B, C, D/8949, E, SE), 1065, 1120-S and 1120, including K-1s, depreciation (Form 4562) and state returns.
  • Reconcile each return in our software to Drake Tax line by line, explain every difference, and clear Drake diagnostics and e-file messages.
  • Compare each return to the prior year and explain significant changes.
  • Write clear review notes for the CPA reviewer and resolve review comments promptly.
  • Draft open-items lists for clients (no direct client contact unless asked).
  • Off-season: bookkeeping clean-up, payroll reports for FICA tip credit analysis, and extensions.

MUST HAVE

  • At least 2 full US tax seasons PREPARING returns (not only data entry) for a US CPA or EA firm.
  • Hands-on experience with Form 1040 AND at least one of Form 1065 or 1120-S.
  • Professional tax software experience. Drake strongly preferred; UltraTax, Lacerte, ProSeries, ProConnect or CCH accepted.
  • Solid understanding of K-1s, basis, depreciation, and Schedule C/E reporting.
  • Excellent written English; comfortable following checklists and written procedures.
  • Reliable internet with backup power (UPS or generator) and a quiet, private workspace.
  • A US PTIN, or willingness to obtain one when hired.
  • Willing to sign an NDA, confidentiality and data-protection agreements, and provide an NBI clearance.

NICE TO HAVE

  • Philippine CPA, or US EA / CPA candidate.
  • Restaurant, salon or hospitality clients; payroll registers; Form 8846 (FICA tip credit).
  • Multi-state returns, BBA partnership rules, Form 7203.
  • QuickBooks Online or Xero.

SECURITY (NON-NEGOTIABLE)
You will work only inside our secure remote environment. No client data on personal devices, no downloads, no screenshots, no copying files outside our systems. Access is monitored. These rules protect our clients under US federal law (IRC Section 7216).

HOW WE HIRE
1. Apply using the instructions below.
2. Short video call (20 minutes).
3. PAID test: prepare a sample return with planted issues in our software and Drake, then write review notes.
4. 30-day paid trial, then a long-term role.

HOW TO APPLY (follow exactly or your application will not be reviewed)
Start your application with "P&L Tax Season Ready" and answer:
1. How many US tax seasons have you worked, for what type of firm, and which return types did you prepare yourself?
2. Which tax software have you used, and for how many seasons? If Drake, which years?
3. Describe one difficult return you prepared and how you resolved the issue.
4. Do you have a PTIN? Will you get one if hired?
5. Your expected hourly rate, and whether you can work full-time January 15 - April 30.
