Part-Time Bookkeeper and Admin Assistant (Xero + Gusto) for US Pediatric Therapy Practice

About us
Life Skills Therapy is a private-pay pediatric speech therapy practice in Houston, Texas. We've been running for 11 years and we're growing. We need a reliable, detail-oriented person to take over our back-office work and grow with us.

Pay: $150 USD per month to start, with a rate review at 90 days.
Hours: About 5 hours per week, flexible. Most of the work does not need to overlap with US hours.

What you'll do

Bookkeeping and payroll (main priority)

• Reconcile bank and card transactions in Xero every month and keep the bank feeds connected
• Prepare a monthly profit and loss report, plus a more detailed quarterly report
• Enter therapist visits and run biweekly payroll in Gusto
• Remind therapists to submit their weekly timesheets before payroll

Client paperwork

• Prepare about 20 superbills a month from a template
• Email families their program start and end dates

Admin

• Keep a compliance tracker (licenses, continuing education deadlines, insurance policies) and send reminders before anything expires
• Handle new-hire paperwork as we add therapists
• Match receipts in Xero and track software subscriptions
• Put together a short monthly numbers snapshot (revenue, new clients, payroll cost)
• Help with our yearly liability insurance renewal

Must-haves

• At least 2 years of hands-on Xero bank reconciliation for US clients
• Experience with Gusto or another US payroll system
• Strong written English
• Willing to sign a HIPAA Business Associate Agreement and follow privacy rules, since the work involves client health information
• Reliable internet and a private workspace

Nice to have

• Experience with US healthcare or therapy practices
• Experience preparing superbills
