NOTE: MINIMUM 2 YEARS' EXPERIENCE SUPPORTING A LAW FIRM REQUIRED. AUSTRALIAN PERSONAL INJURY OR INSURANCE CLAIMS EXPERIENCE STRONGLY PREFERRED. LAW DEGREE A PLUS.
About Us
We are a boutique plaintiff-side personal injury firm based in Brisbane, Australia. We act for injured people in motor vehicle (CTP), workers' compensation and public liability claims across Queensland, because we believe injured people deserve skilled, tenacious representation. We are a small, fast-moving firm that handles each claim with care and strategic discipline, and we are looking for an experienced legal assistant who shares that commitment and is ready to own their files from day one, not just support them.
Our Values: Genuine Integrity · Client-First Focus · Relentless Advocacy · Accountability · Continuous Growth · Mutual Respect · Results That Matter
The Role
This is a fully remote, full-time legal assistant position for someone who thrives in a high-volume plaintiff personal injury environment and does not need to be managed to get things done. You will independently drive claims from first consult through to settlement across a substantial active caseload: preparing and serving claim documents, gathering and disclosing records, arranging medical examinations and conferences, briefing barristers and experts, and coordinating every step of case progression. Work is assigned and tracked in Slack, every draft is reviewed by the Principal Solicitor before it goes out.
Hours are Brisbane business hours, Monday to Friday, 8:30am to 5:00pm AEST (6:30am to 3:00pm Philippine time). Full training on Australian personal injury procedure and our systems is provided.
Responsibilities
- Independently manage a high-volume active caseload across all stages of a claim, prioritising competing deadlines across multiple matters
- Drive case progression proactively, identifying what needs to happen next and executing without prompting
- Prepare and serve claim documents on insurers and WorkCover, and track compliance responses and liability due dates
- Draft a wide range of documents, including client correspondence, statutory declarations, schedules of loss, lists of documents and briefs to counsel, using AI tools to accelerate drafting while maintaining rigorous accuracy
- Request, review and disclose medical, employment and financial records with care for accuracy, redaction and confidentiality
- Arrange independent medical examinations, conferences and client appointments, including interpreters where needed, and send clients the relevant notifications
- Serve as a consistent point of contact for clients by email and phone, providing clear communication and genuine empathy throughout their claim
- Liaise with insurers, WorkCover, medical providers, barristers and other solicitors
- Manage and maintain the firm's electronic case files in the practice management system with precision, including file notes, calendars, invoices and reimbursements
- Review and finalise drafts for accuracy, formatting and completeness before they go to the Principal
- Flag issues, deadlines and case developments proactively; communicate early, not after the fact
- Identify opportunities to streamline workflows and use technology, including AI tools, to improve efficiency without sacrificing quality
What We're Looking For
- At least 2 years' experience as a legal assistant, paralegal, claims officer or legal virtual assistant supporting a law firm; experience with an Australian personal injury, compensation or insurance practice strongly preferred
- Law degree or paralegal qualification a plus
- Demonstrated ability to manage a high-volume caseload independently with minimal supervision
- Strong legal drafting skills across a range of document types
- Excellent spoken and written English; you will speak with clients and insurers on the phone and write under the firm's name
- Experience with Smokeball preferred; proficiency with legal practice management and cloud platforms required
- Resourceful, self-directed and able to pick up a matter from the file notes and chat history without hand-holding
- Proficiency with Microsoft 365 (Outlook, Word, Teams) and Slack
- Sound judgment in time-sensitive or high-stakes situations
- Exceptional attention to detail and organisational discipline
- Exceptional follow-through: if you commit to something, it gets done
- Discretion and the ability to maintain strict confidentiality
- Composure, warmth and professionalism with clients who are stressed, in pain or speaking English as a second language
- Genuine curiosity and commitment to ongoing professional development
- A reliable home office: quiet workspace, own computer, stable high-speed internet with a backup connection
- Bilingual English/Mandarin, Cantonese, Vietnamese or Korean is a plus, though not required
