Executive Operations Analyst | CEO Support & Business Reporting
Confidential employer
SimulEYE is an established, innovative U.S.-based company headquartered in Southern California. We develop and manufacture specialized surgical training models used by ophthalmic surgeons and leading medical device companies to advance surgical education.
We are a small, entrepreneurial company with an international presence, working with customers and partners across the United States, Europe, and beyond.
Our team values intelligence, initiative, integrity, exceptional attention to detail, and people who take genuine ownership of their work. We believe in building long-term relationships with talented professionals who want to contribute, grow, and make a meaningful difference.
The Opportunity
We are seeking an exceptionally capable Executive Operations Analyst to become a trusted right hand to our CEO and Chief Strategy Officer (CSO).
This is not a traditional Executive Assistant role, and it is not an accounting position.
It is a unique combination of high-level executive support, business operations, analytical reporting, financial administration, and problem-solving.
Your primary responsibility will be supporting our CEO (approximately 80%) and CSO (approximately 20%), helping them stay organized, informed, and focused on the highest-value activities.
You will also serve as a central point of coordination across our business, interacting with operations, sales, marketing, accounting, and other team members on behalf of our executive leadership.
You are not being hired to support every department independently. You are being hired to help our executives move important work forward, gather information, create useful reports, coordinate projects, and ensure commitments are fulfilled.
We are looking for someone who thinks, not simply someone who completes tasks.
You should be comfortable receiving an objective, asking intelligent questions, determining what information is needed, and figuring out how to deliver an accurate, useful result.
For example:
Our CSO may ask you to develop a cash-flow forecast to help evaluate upcoming business decisions. You’ll work with the appropriate people, gather the data, build the spreadsheet, and present the information clearly.
Our leadership team may need a consolidated sales report. You’ll coordinate with our sales executives, obtain the information, troubleshoot reporting issues, and develop a useful report.
We may be planning several international medical conferences. You’ll coordinate with sales and marketing, create a tracking system, monitor deadlines, and ensure nothing falls through the cracks.
Our CEO may need help managing a busy inbox, organizing priorities, scheduling appointments, or following up on important commitments.
We will explain our objectives and train you on our business and processes. However, we want someone who naturally takes initiative, thinks critically, anticipates needs, and finds solutions without requiring constant direction.
What You’ll Be Responsible For
Executive Support & Organization
Manage and organize the CEO’s email inbox, prioritize important communications, prepare draft responses, and ensure timely follow-up.
Coordinate executive calendars, meetings, appointments, and business travel.
Arrange flights, hotels, transportation, conferences, and occasional personal appointments.
Track priorities, deadlines, commitments, and action items for the CEO and CSO.
Conduct research, prepare documents, and coordinate special projects.
Anticipate executive needs and proactively identify ways to improve organization and efficiency.
Business Operations & Project Coordination
Coordinate projects and initiatives on behalf of the CEO and CSO, working with our operations, sales, marketing, and accounting teams.
Gather information from different departments and organize it into useful reports and tracking systems.
Monitor project timelines, deliverables, and follow-up to ensure work is completed.
Develop and improve spreadsheets, workflows, tracking tools, and standard operating procedures.
Identify inefficiencies, investigate problems, and recommend practical solutions.
Analytical Reporting & Financial Administration
Build and maintain spreadsheets, management reports, cash-flow forecasts, revenue projections, and sales performance reports.
Compile and analyze financial and operational data from QuickBooks Online, HubSpot, Excel, Google Sheets, and other business systems.
Prepare commission calculations, expense reports, reconciliations, and other recurring reports.
Assist with routine financial administration, including payroll processing, invoicing, bookkeeping coordination, and financial recordkeeping.
Work with our outside accounting professionals as needed to obtain information and support accurate reporting.
Review data for accuracy, identify inconsistencies, and communicate findings clearly to leadership.
You do not need to be a CPA or professional accountant. However, strong financial literacy, excellent numerical skills, and the ability to create sophisticated, accurate spreadsheets and reports are essential.
Who We’re Looking For
We are looking for an unusually capable professional who combines analytical intelligence with exceptional organization, sound judgment, and a proactive approach to work.
The most important qualities are:
Exceptional analytical and problem-solving ability. You can take an unfamiliar challenge, understand the objective, identify the necessary information, and develop a solution.
Advanced Excel or Google Sheets skills. You are highly proficient with formulas, data analysis, reporting, and building useful spreadsheets from scratch.
Strong financial fluency. You understand business financial information, can work confidently with numbers, and are comfortable preparing financial and operational reports.
Outstanding attention to detail. You naturally verify information, catch discrepancies, and take pride in delivering accurate work.
Excellent judgment and initiative. You anticipate needs, ask thoughtful questions, identify opportunities for improvement, and know when to escalate an issue.
Strong executive presence and communication. You have excellent spoken and written English and can communicate professionally with senior executives.
Independence and accountability. You manage priorities, follow through on commitments, and take ownership of results without constant supervision.
Technological adaptability. You learn new software quickly and are comfortable using modern productivity tools, including AI, to work more effectively.
Discretion and professionalism. You can be trusted with confidential business, financial, and personal information.
Preferred Experience
We welcome candidates with backgrounds in:
Executive operations or senior executive support
Business operations or business analysis
Financial or operational reporting
Project coordination or operations management
Process improvement and workflow development
Experience with QuickBooks Online, HubSpot, payroll administration, and executive inbox management is highly desirable.
A bachelor’s degree in Business, Finance, Accounting, Engineering, Economics, or a related field is preferred, but demonstrated capability and relevant experience are more important than a specific degree.
We are especially interested in candidates who have personally created reports, developed systems, solved operational problems, or improved business processes - not simply maintained systems created by someone else.
What the Work Environment Is Like
Although this position involves a broad range of responsibilities, it is not an expectation that you will be performing every task simultaneously.
Our current executive support professional successfully manages the established responsibilities on a part-time schedule. We are expanding the position to full-time to provide greater availability, strengthen executive support, and create capacity for additional projects and operational improvements.
You will receive training on our business, systems, and existing processes, with the opportunity to assume greater ownership as you become familiar with the company.
We are a collaborative, professional team that values thoughtful work, accuracy, direct communication, and mutual respect.
Our CEO has high standards for quality, attention to detail, and follow-through. The right candidate will appreciate those standards and take personal pride in meeting them.
We are looking for someone who wants to build a long-term career relationship with us and become an important, trusted member of our team.
