AI Operations Assistant who thinks in systems | Work directly with founder | Grow into running client operations
Confidential employer
Do you think in systems, want to help companies scale with AI, and can you stay focused on the bottleneck? Then please watch this video: ----------
If you have only studied IT, this might not be the right job for you.
If you have studied Business and IT, this could be the perfect job for you.
If you have just studied Business, it might be the right job for you.
I would like to see signs of exceptional performance or thinking.
WHAT THIS IS
I run an Irish company that builds AI-driven operations for growing businesses. Right now I'm fractional Operations Manager for multiple agencies, where I build the systems, automations, and tracking that let them scale. I automate everything that can be automated. This role is my right hand for everything that still needs a sharp human.
You would be working directly with me. And you would not be my first Filipino teammate: over the years I have worked with 20+ people from the Philippines through Upwork and OnlineJobs.ph, so I know how to make this work well for both sides. As the work grows, this role grows with it.
A bit about me: I started programming at 13, had my first client at 14, and left the standard education path to learn on my own. I was working as a developer at 17 and made this flowchart at 19 with no guidance: ----------
Since then I have built systems and automations for 50+ companies, including founders from the Forbes 30 Under 30 list.
WHAT YOU WILL DO
The goal of this role: you end up running the operations of one or more of our client companies. You start as my right hand and take over one system at a time.
1. Map how a business actually works. On live calls with me, you lay out flowcharts of how a client gets customers, delivers, and gets paid
2. Find the bottleneck. Work out which part of the system is holding the company back and what to fix first
3. Build the systems from those flowcharts in tools like Notion and GoHighLevel (no prior experience with these tools needed), using Claude and other AI tools to build fast. I will teach you my workflows, and I expect you to get good at them
4. Turn what we build into procedures other people can follow: you take a recording or a live walkthrough, write the procedure, then run the task from your own procedure to prove it works
5. Keep the systems true. Check that tasks, records, and data across several clients match reality, catch what looks wrong, and fix the cause, not only the record
6. Roll out changes. Make sure the people using a system know what changed and how to use it
7. Take ownership. One process at a time, you become the person responsible for it end to end, including improving it
In the first weeks, most of your time goes to points 4 and 5, because that is how you learn the systems. A small part of the role is also personal logistics for me (for example scheduling with my chef, keeping household supplies stocked).
HOW WE WORK TOGETHER
The work has two modes.
BUILD MODE: when we are diving into a system and building it out, we work LIVE on a Zoom call. Both on, screen sharing, I figure out what needs to happen, you take each task the moment it is clear and do it while I keep working on the next thing, and we review and adjust on the spot. Think of it like mob programming: no briefs sitting in a queue for two days, no handover delays, the system gets built fast and you learn extremely quickly because you see the whole thinking process. I have worked this way with people from the Philippines before, sometimes long days on the same call, and it is intense and energizing. If that sounds draining to you, this is not your role. If it sounds fun, keep reading.
RUN MODE: once a system is built and figured out, the work becomes calmer. You get checklists and short screen recordings (Loom) as instructions, you work through them on your own time within our overlap hours, and you send back your results. Over time you graduate to owning these processes fully.
Most weeks are a mix of both. You get real responsibility fast if you show you can carry it.
THE DEAL
1. Part time to start, around 20 hours per week. Paid per hour worked: $5-7/hour, depending on experience
2. Hours vary from week to week. Some weeks are lighter, and busy weeks can reach 40+ hours. I need someone who wants those hours
3. 13th month pay
4. First raise review after 90 days, tied to the processes you own, not time served
5. Working hours: I'm in Europe, so overlap with my day means your AFTERNOON and EVENING (around 15:00-24:00 Philippine time). I need at least 3 hours of overlap. Your mornings stay yours, and the normal working hours are nothing like the graveyard shifts of a US client. The exact schedule inside that window is something we agree on together
Side projects and other gigs are fine. I would honestly rather hire someone who builds things. The deal is simple: the hours we agree on are sacred, and when I need extra hours on short notice (24 to 48 hours), this role comes first. If you can commit to that, everything else is your time.
WHO YOU ARE
1. You think in systems: when one thing changes, you ask what else it affects. You have mapped how work moves between people in a business, not only how IT systems connect
2. You have used Claude Code for actual work and created skills
3. Detail-oriented: you follow instructions exactly and flag anything that looks off instead of guessing
4. You enjoy working live on a call: screen sharing, getting feedback, adjusting in real time
5. Strong written and spoken English (we talk a lot on calls)
6. Reliable internet and your own computer, good enough for long Zoom calls with screen share and remote control. Please test this before you apply
7. Available now, with room to grow your hours
8. Hungry. You want to learn how modern businesses are actually built
HOW THE HIRING WORKS
1. You apply (see below). I review every application that follows the instructions within 48 hours
2. Shortlisted candidates get a career timeline template to fill in: your work history as a timeline, with the highlights, the lowlights, and why you moved on each time, plus two references. Specifics matter more than polish, and I do contact references
3. A short video call with me, where I ask about your timeline
4. Then a PAID live working session: you join me on Zoom, we work on real tasks together, real pay. Both of us see if it fits
5. If it fits, we start properly
HOW TO APPLY
Send these three things (short and honest beats long and polished):
1. Links to flowcharts you have made. At least one must show a BUSINESS process: how work moves between people in a company (for example client onboarding, order handling, hiring). IT system diagrams are welcome in addition. If yours are confidential, map a process from a business you know well.
2. A Loom video of 2 minutes or less where you walk me through the business flowchart, tell me one thing you got wrong in the first version and what you changed, and introduce yourself.
3. A link to something you have built with AI tools that I can open and look at: an application, a dashboard, an automation, or a working tool. If it cannot be shared publicly, send a short screen recording of you using it. A description alone does not count. Add one or two lines on what it does and which parts you built yourself.
And answer this one question:
4. What other work or commitments do you have right now, and what is the maximum weekly hours you could reliably give me?
