About Us
We are a growing U.S.-based real estate investment and property management company with a portfolio of over 100 rental units across multiple properties.
We are looking for a highly organized, experienced, and proactive Senior Operations Manager to oversee our daily business operations, manage our virtual assistant team, coordinate with contractors and tenants, and develop systems that keep the company running efficiently.
This is NOT a typical virtual assistant position.
We are seeking someone who can think like a business owner, lead a team, solve problems independently, and take full accountability for getting things done.
You will work directly with the business owner and have the authority to manage daily operations.
Key Responsibilities
1. Team Management & Leadership
- Directly manage and supervise our existing virtual assistant team.
- Assign tasks, establish priorities, and enforce deadlines.
- Conduct daily check-ins and weekly performance reviews.
- Monitor employee productivity and hold team members accountable.
- Coach, train, and discipline underperforming employees.
- Recommend hiring, termination, and staffing changes to ownership.
2. SOP Development & Process Improvement
- Develop, document, and implement Standard Operating Procedures (SOPs).
- Ensure every department follows established processes.
- Identify operational inefficiencies and implement improvements.
- Create workflows, checklists, and accountability systems.
- Train employees on new procedures.
- Continuously improve our systems as the business grows.
3. Property Management Operations
- Oversee day-to-day operations of our U.S. rental portfolio.
- Coordinate tenant communications and maintenance requests.
- Follow up on late rent, lease renewals, vacancies, and turnovers.
- Ensure maintenance requests are completed promptly.
- Escalate serious tenant disputes and legal matters to ownership.
4. Construction & Contractor Coordination
- Communicate directly with U.S.-based contractors and vendors.
- Coordinate repairs, renovations, and property turnovers.
- Track project timelines, budgets, and deadlines.
- Obtain estimates, compare bids, and follow up on incomplete work.
- Review project progress using photos, videos, and reports.
- Approve routine expenses within company guidelines.
- Escalate major budget overruns and project delays.
5. Financial & Administrative Oversight
- Supervise VAs responsible for rent collection tracking, mortgage schedules, and accounts payable.
- Review financial dashboards and weekly reports.
- Ensure mortgage payments, vendor invoices, and other obligations are tracked accurately.
- Identify upcoming payment deadlines and cash flow concerns.
- Report discrepancies and financial risks directly to ownership.
- Coordinate administrative tasks without independently authorizing major financial transactions.
6. Reporting & Accountability
- Provide a concise daily operations report.
- Conduct weekly management meetings.
- Monitor KPIs across property management, construction, and administrative departments.
- Identify problems early and propose solutions.
- Ensure tasks are completed without constant reminders from ownership.
Required Qualifications
- Minimum 3–5 years of experience in U.S. real estate operations, property management, or construction coordination.
- At least 4 years of experience managing remote teams or virtual assistants.
- Demonstrated experience writing and implementing SOPs.
- Strong knowledge of U.S. rental property management processes.
- Experience coordinating with American tenants, contractors, and vendors.
- Excellent written and spoken English.
- Strong leadership, problem-solving, and decision-making skills.
- Experience with project management software such as ClickUp, Asana, ---------- , or Trello.
- Proficiency with spreadsheets, reporting dashboards, and tracking operational KPIs.
- Ability to work independently during U.S. Eastern Time business hours.
Preferred Qualifications
- Experience managing large rental portfolios (50+ units).
- Background in residential construction, renovation, or maintenance coordination.
- Experience with RentRedi, AppFolio, Buildium, or similar software.
- Experience overseeing multiple departments or remote employees.
- Ability to create automation systems and improve operational efficiency.
What We're Looking For
We value ownership, accountability, communication, and results.
Our ideal candidate:
- Does not need to be reminded repeatedly to complete tasks.
- Follows up proactively until issues are resolved.
- Can confidently manage employees and difficult conversations.
- Thinks ahead and identifies potential problems before they happen.
- Is comfortable making routine decisions independently.
- Understands when to escalate important matters to ownership.
- Builds systems instead of relying on memory or constant supervision.
We are not looking for someone who simply completes assigned tasks. We want a leader who makes sure the entire team delivers results.
Compensation & Growth
- Starting salary: $1,500–$2,500 USD monthly, depending on qualifications.
- Full-time, long-term opportunity.
- Performance-based salary reviews.
