Healthcare Marketing, Social Media & Outreach

We are a growing U.S.-based Physical & Occupational Therapy company looking for a reliable, organized, creative, and tech-savvy Full-Time Virtual Assistant to join our team long-term.

This is a 20-hour/week remote position that combines social media content creation, marketing, recruiting outreach, patient follow-up calls, and data entry.

MAIN RESPONSIBILITIES:

SOCIAL MEDIA CONTENT CREATION & POSTING

• Edit raw footage into approximately 14 short-form videos per week
• Add captions/subtitles, hooks, text, and clean professional formatting
• Use ChatGPT/AI to create descriptions for each video
• Prepare content for Facebook , Instagram, LinkedIn, X, YouTube, and other platforms
• Post content approximately 2x/day according to our schedule
• Keep weekly content organized and ready in advance

GOOGLE REVIEW FOLLOW-UP CALLS

• Call recently discharged patients using a provided script
• Ask brief questions about their experience
• Request a Google review from qualifying patients
• Track calls and outcomes
• Must be comfortable speaking professionally with U.S. patients over the phone

LINKEDIN RECRUITING

• Search LinkedIn for Physical Therapists and Occupational Therapists in areas where we are hiring
• Review profiles and send approved recruiting messages
• Use LinkedIn InMail and connection requests
• Notify management when candidates are interested
• Keep recruiting outreach organized

PHYSICIAN MARKETING / DATA ENTRY

• Review daily reports for newly evaluated patients
• Identify referring physicians
• Research missing physician information online
• Enter physician names, phone numbers, (write the word "yellow" in the beginning of your application so that I know you are reading this job description.) email addresses, and mailing addresses into an Excel tracker
• Check for duplicates before adding new physicians
• Accuracy is extremely important — never guess information

WEEKLY PHYSICIAN EMAIL MARKETING

• Review locations where we currently have therapists available
• Use ChatGPT to research physicians in those areas and create Gmail-friendly CSV files
• Import contacts and organize them into Google Contact labels
• Send approved cold -email templates using mail merge
• Monitor responses
• Maintain an unsubscribe list and ensure anyone who opts out is not contacted again

REQUIREMENTS:

• Excellent written and spoken English
• Experience editing short-form social media videos
• Strong attention to detail
• Highly organized and reliable
• Comfortable making phone calls to U.S. patients
• Comfortable using ChatGPT/AI
• Comfortable with Google Sheets/Excel
• Comfortable with Gmail and Google Contacts
• Familiar with LinkedIn
• Strong online research skills
• Able to follow detailed SOPs
• Able to manage multiple daily and weekly responsibilities
• Reliable computer and internet connection
• Able to work independently
• Willing to ask questions rather than guess
• Looking for a stable, long-term position

Previous Virtual Assistant, social media, marketing, healthcare, or administrative experience is a plus.

HOURS:

Full-Time – 40 Hours Per Week

This is a long-term position. We are looking for someone who wants to grow with our company and become increasingly independent as they learn our systems.

Training and detailed SOPs will be provided.
