We’ve built a solid foundation with tools like Operto Teams and QuickBooks and are now ready to take our systems to the next level with automation and streamlined digital workflows.

Your Mission

We’re hiring a Remote Digital Solutions Specialist to help us optimise and automate multiple business processes using cloud-based tools and lightweight, serverless integrations. You’ll be responsible for designing and implementing automation that connects tools we already use, replaces clunky spreadsheets, and supports sales, operations, onboarding, training, and team monitoring.

What You’ll Work On

1. Quoting Automation & Sales Follow-Up System

• Replace the manual Google Sheet quote calculator with a dynamic, form-driven solution.
• Use Google Forms + Apps Script to automate pricing estimates and generate client-ready quotes.
• Create lightweight sales pipeline tracking tools to follow up and convert quotes into jobs.
• Trigger updates to Operto Teams, QuickBooks, and property/job rate spreadsheets when quotes are accepted.

2. Cleaner Onboarding & SOP Platform

• Migrate SOPs into Whale, Trainual (or any other recommended tool) and help structure the training modules.
• Design a tech-based onboarding experience with tracking and automated assignments for new team members.
• Automate status updates based on SOP completion.

3. Quality Assurance Reporting & Monitoring Dashboards

• Connect and simplify existing QA spreadsheets (from Google Forms, WhatsApp images, client feedback).
• Build dashboards to track service failures, team trends, and key cleaning KPIs.
• Automate alerts or reports for internal decision-making.

4. Spreadsheet Process Consolidation & Integration

• Review and clean up multiple existing Google Sheets (e.g. cleaner rates, cleaner availability, categorisation).
• Link them with Google Apps Script and automate updates where possible.
• Provide dashboards or reporting tools to make data more actionable.

5. Operto Teams & QuickBooks Usage Optimisation

• Audit current workflows in Operto Teams (scheduling, tasks) and QuickBooks (invoicing, accounting).
• Recommend better usage of features and ensure integration is seamless.
• Automate manual data entries between quoting, task scheduling, and invoicing.

6. Virtual Assistant Monitoring

• Implement WorkTime, Controlio (or any other recommended tool) to ensure team members are active during working hours.
• Set up dashboards or alerts to flag inactivity or productivity concerns.

7. Basic Website Updates

• Add a new page for the post-construction cleaning service to the company website.
• Edit layout, text, or visuals as needed (basic CMS knowledge required).

Ideal Candidate

• Experience with Google Apps Script, serverless automation, and process mapping
• Strong understanding of tools like Zapier, Make, and cloud-based solutions
• Clear documentation and process development habits
• Familiar with form-based UI, data structure, and process logic
• Bonus: familiar with property services, hospitality, or cleaning businesses
