About the Role

Healthcare Provider Outreach & Business Development Virtual Assistant
Specialty Pharmacy / IVIG / Home Infusion

We are seeking a highly organized, confident, and results-driven Healthcare Provider Outreach & Business Development Virtual Assistant to help grow an established specialty pharmacy.

We are looking for someone who can help build and manage a complete provider-acquisition system—from researching potential referral partners and identifying decision-makers to conducting outreach, following up consistently, scheduling meetings, and tracking opportunities through our sales pipeline.

The goal of this position is to help increase the number of active physician practices, hospitals, discharge planners, case managers, and healthcare organizations that work with our pharmacy.

What You Will Be Responsible For:

*Provider & Hospital Lead Generation
*Research and build targeted prospect lists.
*You will identify the correct contacts within each organization.

Outbound Provider Outreach:

You must be comfortable making professional outbound calls to medical offices.
Your objective will NOT simply be to ask:
“Can you send us patients?”

Instead, you will learn how to introduce our pharmacy professionally, understand the practice’s needs, identify who manages specialty pharmacy or infusion referrals, and begin building the relationship.

Outreach may include:
*Cold calling medical offices
*Email outreach & follow up
*Scheduling meetings for our pharmacist, owner, or business-development representative

CRM & Sales Pipeline Management
You will maintain an organized CRM containing:

Provider Marketing

You will also assist with creating and managing provider marketing campaigns, including:
*Educational email campaigns

  • Provider newsletters
  • Webinar invitations
  • Referral-resource distribution
  • Provider follow-up sequences
  • Existing-provider reactivation campaigns

Insurance & Network Research:

You will organize opportunities for pharmacy leadership to review and pursue.

Healthcare Compliance:

Because this is healthcare marketing, compliance is extremely important.

You must understand that healthcare referral marketing is different from ordinary sales.

Our strategy is based on providing exceptional service, education, responsiveness, administrative support, and patient care.
You will be expected to follow approved scripts, marketing materials, and company policies.

What Success Looks Like:

We are not looking for someone who simply says:
“I made 100 calls today.”
We care about RESULTS.

Your performance will be measured using metrics including:

  • Qualified medical practices identified
  • Decision-makers reached
  • Referral coordinators identified
  • Provider information packets sent
  • Follow-ups completed
  • Qualified opportunities created
  • Meetings scheduled
  • New referral sources
  • First referrals received
  • Active referring accounts
  • Reactivated accounts
  • Repeat referral sources

Our ultimate goal is:

More qualified healthcare organizations consistently referring appropriate patients to our pharmacy.

Ideal Candidate:

We would strongly prefer someone with experience in one or more of the following:

  • Healthcare virtual assistance
  • Medical sales
  • B2B lead generation
  • Specialty pharmacy
  • Home infusion
  • Medical billing
  • Insurance verification
  • Prior authorization
  • Physician-office outreach
  • Healthcare business development
  • Pharmaceutical sales support
  • Medical-office administration
  • Hospital outreach

Experience specifically with IVIG, specialty pharmacy, infusion therapy, biologics, physician referrals, prior authorizations, or healthcare insurance is a major advantage.

You Should Be:

  • Extremely organized
  • Confident on the phone
  • Persistent without being aggressive
  • Comfortable speaking with gatekeepers
  • Excellent at follow-up
  • Detail-oriented
  • Comfortable maintaining a CRM
  • Results-driven
  • Comfortable working with KPIs
  • Able to communicate professionally in English
  • Able to follow healthcare compliance guidelines
  • Able to manage hundreds of prospects without losing track of follow-ups

Technology:

You should be comfortable learning new software quickly.

Important: This Is a Sales & Growth Position

If you are looking primarily for data entry, graphic design, social media posting, or general administrative work, this position is not the right fit.

You should genuinely enjoy:

Researching → Calling → Connecting → Following Up → Building Relationships → Scheduling Meetings → Tracking Results → Growing Accounts

You must be comfortable hearing “no,” getting past gatekeepers, following up multiple times, and continuing to build the relationship professionally.

How to Apply
1. Please submit:
2. Your resume.
3. A brief explanation of any healthcare, pharmacy, medical-office, lead-generation, or B2B sales experience.
4. Tell us whether you have experience making outbound sales calls.
5. Requested pay rate
6. Describe how you would handle this situation:
You call a neurology office and the receptionist says, “We already have a specialty pharmacy that we use.” What would you say next?
7. Submit a short voice recording introducing yourself as though you were calling a physician’s office on behalf of our pharmacy.
