About the Role

We’re looking for a full-time remote admin assistant to support an Australian team working in building certification and surveying.
If you’ve worked in administration for a builder, construction company, surveyor, engineering firm or property business, your experience could be especially useful. Applicants from other industries are welcome too—strong administration skills, clear communication and a willingness to learn are what matter.
The role
You’ll help keep enquiries, paperwork and projects moving. Your responsibilities will include:

  • Managing incoming email s and organising requests.
  • Preparing draft quotes and proposals for review.
  • Setting up projects and keeping records current.
  • Collecting plans, forms and supporting documents.
  • Following up on missing information and outstanding quotes.
  • Supporting invoicing and sending polite payment reminders.
  • Preparing document packs for the team to review.

This is an administration role. You won’t be expected to make technical building or surveying decisions.
Working hours and arrangement
This is a full-time, long-term remote position, working 9:00 am–5:00 pm, Monday to Friday, Sydney time, based on a 40-hour working week.
You must be available during those hours, including adjusting your local schedule when Sydney’s daylight saving time changes.
You’ll work closely with an Australian office team, following established processes and learning its systems. The role suits someone who enjoys consistent work, takes ownership of follow-ups and wants to become a dependable part of a business over time.
What we’re looking for

  • Previous administration, coordination or customer support experience.
  • Excellent written and spoken English.
  • Confidence managing email s, documents and multiple requests.
  • Careful attention to names, dates, figures and missing information.
  • The ability to work independently, follow instructions and ask questions when needed.
  • A reliable computer, stable high-speed internet and a suitable workspace.

Experience with building, construction, surveying or certification paperwork is helpful, but not essential.
How to apply
Please apply through OnlineJobs.ph and include:
1. Your CV and a short introduction explaining your relevant experience.
2. A brief written response: A quote request arrives with missing documents, two clients are waiting for updates, and a colleague needs a project file. How would you organise these requests and keep everyone informed?
3. A personalised 30–60-second Loom video or equivalent, introducing yourself and explaining why this role interests you. A simple recording is fine; no editing is needed. Please check that the link is viewable without requesting access.
4. Confirmation that you can work the stated Sydney hours, along with your earliest start date and any notice period.
To show that you’ve read the full advertisement, include “blue building folder” near the end of your application.
Please submit everything through OnlineJobs.ph so we can review your application in one place.
