About the Role
Key responsibilities:
Bookkeeping and close
- Process all purchase and sales invoices for four entities, assigning every cost and revenue line to the entity that economically carries it.
- Run the month-end close per entity: accruals, prepayments, depreciation of the station and power bank fleet, GL reconciliation.
- Maintain clean AR/AP ledgers, chase missing invoices and receipts, and keep a complete audit trail.
- Process expense reimbursements and kilometre declarations against policy.
Cash, payments and reconciliation
- Reconcile Stripe payouts, fees and refunds daily/weekly to the correct entity, in UTC with CET normalisation.
- Reconcile Airwallex (HK entities, multi-currency) and ABN AMRO/Revolut/bunq (NL entities) monthly, using account statements and MT940 exports.
- Prepare payment runs and maintain a 14-day payment overview per entity.
Intercompany
- Book and invoice monthly intercompany recharges (payroll cost allocation, management fees, licence/royalty fees, product mark-up).
- Keep current-account (rekening-courant) and loan balances between entities reconciled and agreed every month, including interest accruals.
- Maintain the supporting schedules finance and tax advisers need for transfer-pricing documentation.
Settlements and commissions
- Produce dealer settlements and venue/partner commission statements (self-billing) from platform data, reconciled to Stripe before they go out.
- Flag any gap between portal, Stripe and settlement figures before booking, not after.
Tax and compliance
- Prepare NL VAT returns and ICP listings for both B.V.s, including reverse-charge on non-EU (e.g. US SaaS) suppliers and intra-Community supplies to EU dealers.
- Prepare payroll journals from Nmbrs and track loonheffing payments and assessments.
- Support the HK annual audit, profits tax filings and Business Registration renewals together with the company secretary.
- Prepare year-end files for the NL accountant (jaarrekening, VPB) and the HK auditor.
- Escalate any VAT or cross-entity question to the external accountant for sign-off; you prepare, they confirm.
Systems and reporting
- Help migrate bookkeeping from Exact Online to Odoo (chart of accounts, VAT codes, entity setup, bank feeds).
- Deliver monthly management accounts input per entity (P&L, balance sheet, cash) and an NL vs. HQ split for Finance.
- Document every recurring process as an SOP and automate wherever the volume justifies it.
Must have:
- A bachelor's degree or other higher education in accounting, finance or a related field; a professional accounting qualification (e.g. CPA, ACCA, CMA) is a plus.
- 5+ years of hands-on bookkeeping, including multi-entity groups with intercompany flows.
- Solid working knowledge of EU VAT mechanics (returns, reverse charge, intra-Community supplies); hands-on Dutch VAT and ICP experience is a strong plus.
- Experience running a monthly close independently, end to end.
- Fluent English, written and spoken; able to read Dutch invoices and statements (tools like translation software are fine).
- Comfortable with Exact Online or a similar package, and strong in Excel/Google Sheets.
Nice to have
- Experience serving European clients remotely, as an independent freelancer.
- Experience with Hong Kong entities (audit cycle, profits tax, company secretary) or other non-EU group companies.
- Odoo accounting, ideally a migration.
- Payment-platform reconciliation (Stripe, Adyen, Airwallex) at high transaction volume.
- Startup or scale-up background: you build the process while running it.
- Familiarity with transfer-pricing documentation and royalty/licence flows.
How you work
- You own the outcome and flag problems early, with a proposed fix.
- You document what you do so it can be checked, repeated and automated.
- You know where your expertise ends and when to bring in the accountant.
