About the Role

OPERATIONS & MARKETING COORDINATOR

Part-Time | Approximately 20 Hours/Week | $700–$800 USD/Month, Based on Experience | Long-Term | Remote

Hi! I’m Charesse, founder of Level Best, an operations consulting firm serving financial advisory firms, and creator of FinOps Co-op® (FOCO), an online community and resource hub for financial operations professionals.

I currently run the business independently, and I’m ready to bring on someone who can take meaningful ownership of the recurring work that keeps the business moving.

I do my best work when I can focus on vision, relationships, business development, and creating great work for our audience and clients. I’m looking for someone who does their best work on the other side of that equation — bringing organization to moving pieces, turning ideas into action, and making sure the details and follow-through happen.

This role requires someone who can work independently and take ownership while communicating well. We’ll primarily collaborate asynchronously using tools like ClickUp and Loom, with a weekly meeting to align on priorities, questions, and what’s ahead.

This is a long-term role, and I’m looking for someone who wants to grow with the business.

Responsibilities generally fall into four areas. Percentages are approximate and may shift over time.

WHAT YOU’LL OWN

FOCO OPERATIONS & ONLINE COMMUNITY — APPROX. 40%

FOCO is an online membership community with virtual programming, resources, and events.

  • Coordinate virtual speakers, including scheduling, collecting materials, reminders, and follow-up
  • Support webinars, open sessions, and other online programming from planning through follow-up
  • Post session replays and supporting resources
  • Support new member onboarding and routine member requests
  • Maintain our online Training & Templates Library
  • Keep programming calendars, deadlines, and recurring responsibilities organized

Attendance at live FOCO events is not required.

MARKETING EXECUTION — APPROX. 35%

  • Build and prepare email newsletters
  • Create and update graphics in Canva
  • Turn webinars and other long-form content into short promotional clips
  • Repurpose existing content for social and other marketing
  • Prepare speaker, event, and partner promotional materials
  • Prepare and schedule LinkedIn content
  • Upload and organize YouTube content
  • Make routine website and content updates

SALES & BUSINESS DEVELOPMENT SUPPORT — APPROX. 15%

I’ll continue to lead sales conversations, relationship building, and closing business. You’ll help make sure the process around those activities stays organized.

  • Maintain lead and opportunity information
  • Keep the sales pipeline organized and current
  • Track leads generated through speaking engagements, webinars, referrals, and marketing
  • Coordinate follow-up, scheduling, and sales materials
  • Flag opportunities and next steps that need my attention

This is not a cold-calling or sales-closing role.

LEVEL BEST OPERATIONS & PROCESS SUPPORT — APPROX. 10%

  • Support special projects, research, and general business operations
  • Maintain and update existing SOPs and checklists as processes evolve
  • Help establish recurring weekly, monthly, quarterly, and event-driven routines as you learn the role
  • Keep shared resources and documentation organized
  • Identify opportunities to make recurring work simpler or more efficient

WHAT I’M LOOKING FOR

  • At least 3 years of relevant professional experience in operations, marketing coordination, project coordination, online community management, executive support, or a similar role
  • Highly organized with experience owning recurring responsibilities, managing deadlines, and coordinating multiple moving pieces
  • Clear and professional written and spoken English
  • Takes initiative, follows through, and is comfortable figuring things out without needing step-by-step direction
  • Tech-savvy, resourceful, and comfortable using AI and learning new systems
  • Good judgment about when to move something forward independently and when to ask for input

Financial services experience is not required. I care more about your ability to learn, organize, communicate, execute, and take ownership.

TECHNOLOGY

Our current technology stack includes:

Circle, Canva, Descript, Mailchimp, WordPress, YouTube, LinkedIn, Google Workspace, Zoom, ThriveCart, ClickUp, Zapier, CRM/sales tools, Loom, and AI tools.

You do not need experience with every platform.

You should have strong hands-on experience with Canva and Google Workspace, along with experience across several areas such as email marketing, social/content publishing, video editing, project management, online community platforms, CRM, or website management.

Experience with Mailchimp, Descript, Circle, ClickUp, WordPress, or similar platforms is especially helpful. Familiarity with Zapier or other automation tools is a plus, but not required.

You should also be comfortable using AI tools in your work and learning unfamiliar technology independently.

SCHEDULE & ROLE DETAILS

  • 20 hours per week
  • $700–$800 USD/month, based on experience
  • Long-term opportunity
  • 100% remote
  • Majority of work can be completed asynchronously during your preferred working hours
  • Must be available for one recurring weekly meeting on Tuesdays between 8:00 AM and 3:00 PM U.S. Central Time; we’ll select the specific time together
  • Attendance at live FOCO events is not required
  • External email s, posts, and other communications should be scheduled for appropriate U.S. business hours when needed
  • Opportunity for increased responsibilities and hours as the role and business grow

You must have reliable internet, your own reliable computer, and a private work environment appropriate for handling confidential business information.

HOW TO APPLY

I’d love to learn a little about you beyond your resume.

IMPORTANT: Please include the word “PINEAPPLE” in the subject line of your application.

Please also include:

1. Your resume
2. A brief introduction sharing why this particular opportunity interests you
3. A 1–2 minute video introducing yourself and sharing why you believe you’d be a great fit for the role. No professional editing or production is necessary — I simply want an opportunity to learn a little more about you.
4. Examples of relevant work, if available. This could include newsletters, Canva designs, social content, video clips, project plans, online community work, or other work you’re proud of.
5. Your current availability and potential start date
6. Your availability on Tuesdays between 8:00 AM and 3:00 PM U.S. Central Time

At the end of your application, please answer:

Which responsibility in this job description would you feel most confident taking ownership of, and why?

WHAT TO EXPECT

Selected candidates will be invited to a short video interview.

A small number of finalists will then complete a paid work exercise based on the type of work you would actually do in this role.

Before an offer is finalized, selected finalists will be asked to provide professional references and consent to a background check.

I’m looking for someone who wants to become a trusted, long-term part of Level Best and FOCO. If you enjoy bringing organization to moving pieces, turning ideas into action, and taking pride in following through, I’d love to hear from you.
